Job Summary Plans, implements and coordinates various details associated with alumni networking
events, social events, fundraising events, board meetings, and other related activities.
Responsible for coordinating promotion for events with marketing team. May be involved in
location, food, transportation, décor, and programming arrangements
Responsibilities 1. Plans, coordinates and follows through with details such as scheduling and catering for
alumni events, including networking events, social events, fundraising events, board
meetings, and other related activities.
2. Assists with preparation and distribution of promotional materials, letters, emails,
invitations, flyers and website.
3. Performs administrative duties related to alumni events such as ordering event supplies,
equipment, and décor, pay requests, filing, printing orders, travel requests and
reimbursements. Acts as a liaison with vendors. Maintains a budget for each individual event
and monitors financial records for donations.
4. Manages alumni events on-site and provides assistance to attendees.
5. Assists supervisors in evaluating event effectiveness and making adjustments for future

events.
6. Responds to questions, emails, and phone calls from event attendees with a high level of
customer service.
7. Maintains files, records and a computer database on event details and participants.

Minimum Qualifications One year administrative/business experience or experience working with and organizing
events, social schedules, conferences, etc., or equivalency; demonstrated human relations
and communication skills; and a commitment to provide excellent customer service required.
45 wpm typing may be required in some departments. Accounting/bookkeeping experience
preferred.
