Introduction

1. Introduction
1.1 Scope
This document helps the hospital and the Varian installation team to prepare for the forthcoming
TrueBeam, Clinac (C-Series Linac) or Acuity installation, which will have the Mission Critical
Application Protection (MICAP) setup to isolate the Varian private network related data
communication from the hospital network. This document is used to collect the information about
the site’s network infrastructure and configuration, so that the necessary preparations can be
done to make the installation as smooth as possible, and to avoid any unnecessary interruptions
to the operations of the clinic in case of an upgrade.
For details on MICAP, please refer to the MICAP Whitepaper, available from Varian.
Return the filled in survey prior to the installation or the upgrade to your Varian Project
Manager.

1.2 Conventions
This section presents the types of notes and precautionary notices used in the guide, along with
their icons. The following notational conventions are used:

NOTE: A Note provides non-critical information, such as user requirements, computer


messages, suggestions, and shortcuts, which can help the user to obtain optimum performance
from the equipment and software.

CAUTION: Describes actions or conditions that could result in minor or moderate injury or
damage to equipment or loss of data. All Caution notices must be obeyed.

WARNING: Describes actions or conditions that could result in serious injury or death.
All Warning notices must be obeyed.

STOP: Notifier to indicate any condition that must be verified and/or satisfied before continuing.

2.4 Domain Login Information


For the data transfer between the ARIA server and the machine console Varian requires one
Domain user with sufficient rights on the ARIA DB and Image servers. Details on user rights and
access permission can be found in the Security Implementation Guide (SIG). Varian will use the
default username and password of the DICOM Daemon according to the SIG. However, if the
password of the DICOM Daemon user has been changed by Hospital IT, provide the details
below:

2.5 Internet Access and Remote Access


SmartConnect is Varian’s Device Relation Management Tool for remote diagnosis and remote
support. In order to remotely support Varian Medical Systems medical device, both questions
need to be answered with ‘Yes’. Select ‘In Progress’, if internet access is planned, but not
available yet, or if SmartConnect is pending approval.

3. System Specific Information


The following information is required from the customer (hospital IT dept.) to configure the
TrueBeam, Clinac or Acuity Network Interface Device (NID) for a proper integration into the
hospital network.
Please copy this page if multiple machines will be and installed and fill in a separate form
for each machine:

TrueBeam User Accounts

Appendix A TrueBeam User Accounts


All users will use the auto logon user within the TrueBeam. This Windows user is the user that will be used
by the site for all purposes. The OSP login will still need to be used and the OSP user rights will be
dependent on the sites OSP server. It will be important to make sure there is a local user on the DB & Image
Server(s) that have local administrator rights. That local server user will be: dicomdaemon. The
dicomdaemon user on the TrueBeam will need to have the same password as the dicomdaemon user on the
server(s). This will be for file permissions when reading and writing DB and image file information. The
syncing of data generated by the TrueBeam will also use the dicomdaemon user.

Configure Local User Accounts


No workstation within the TrueBeam system will be joined to the hospitals domain. The local user that is
predefined as the auto login user will need to be used.

TrueBeam Server Side Share

Appendix B TrueBeam Server Side Share


The TrueBeam will generate data that the customer may want to have access to. This data will be
automatically copy from the TrueBeam to the provided server share. The customer will then be able to gain
access to these files via that share.

The Image Server for the site is the expected location the TrueBeam will sync/mirror with. If the Customer
does not have an Image Server or does not want to use their image server for this purpose then a different
computer outside the CNID can be used. The term “Image Server” in this section will refer to the computer
that is outside the CNID and being used to sync/mirror with the TrueBeam.

At a 3rd party OIS environment this share can be setup at the Image Server. We have discussed this with
Elekta and there are no issues. Access to that machine will need to be coordinated with the customer as
Varian may not have access to it or login credentials for it. If the customer does not want to use this machine
as the mirror location, please reference the first part of this note

1. This share created on the image server can be done at any time before the TrueBeam is
installed.

5. The Image Server (machine with VA_Transfer share) must have the following:
- local user: dicomdaemon
- This password can be customer defined.
- dicomdaemon - member of the Varian Applications and Administrators group
6. If the group Varian Applications does not exist then set the properties of the new
VA_TRANSFER share to be the same as the VA_DATA$ share that already exists.

NOTE: Refer to the ARIA Security Implementation Guide (SIG-SS-xx, where 'xx' reflects the
ARIA version) for additional details for the share and user setup on the ARIA servers.
