Chapter 1: Estimation Management

Use the Estimation Management module to generate the price of a part based on the estimated cost of its manufacture,
so that you can quote the price to the customer. Typically, a quote containing one or more quote lines is passed to the
estimator to calculate the price for each line, and the resulting estimated price is passed back to the quote.
To calculate the cost of manufacturing a part, use the Estimate Entry program to divide each quote line into a hierarchy
of estimate parts, and then calculates a detailed manufacturing plan for each of them.
Use the manufacturing plan to detail the operations and materials required to create the part. The result is the estimated
cost of manufacturing the part. The final price is calculated by adding the correct markups and margins to the cost,
and this price is handed back to the quote to inform the customer.
The process responsible for generating a detailed manufacturing plan for a part is known as the Planning Wizard. Using
data that is pre-populated during setup, the Planning Wizard elaborates on the specifications of the part required,
known as the Part Intent, and proceeds to expand on each of those requirements to build a manufacturing plan, which
contains the required list of operations, resources, and materials for this part.
After you create the manufacturing plans for each of the estimate parts, you can calculate the total costs, and with
added markups and other margins, you can estimate the final price.

New Estimates

Use Estimate Entry to calculate the estimated price for a priced part by first splitting it up into a hierarchy of
estimate parts, and then creating a detailed manufacturing plan for each of those parts.
Use the application to combine the results of the manufacturing plans together to calculate the total cost of
producing the priced part. You can then mark up that cost to determine the final estimated price for manufacturing
the part.
Using Estimate Entry, you can create standalone estimates or, most often, estimates linked to quote lines.
Main Menu Path: Sales Management > Estimation Management > General Operations > Estimate Entry

Create a Linked Estimate


To create a linked estimate in Estimate Entry directly from a quote, navigate to Opportunity/Quote Entry.

Quote Entry

1. Enter a quote.

For more information in how to enter quotes, refer to the


Application Help.

2. Navigate to the Summary > Lines sheet.

3. Verify the Create Estimate check box is selected on the line you need.

4. Click the Create Estimates button. This creates a new empty estimate that is associated with the quote.

5. Right-click the Estimate ID field in the grid, and select Estimate Entry. The Estimate Entry window
displays, and the estimate you just generated displays.

Open a Linked Estimate Manually


To open a linked estimate manually, navigate to Estimate Entry.

1. In the Estimate field, enter the identifier of the estimate you generated from the quote, and press Tab.
The estimate opens and the values entered in the quote auto-populate.

Enter a Standalone Estimate


To create a standalone estimate, navigate to Estimate Entry.

If the estimate is linked to a quote, these details are pulled in


from the quote and are for display only. You only need to enter
them if you are creating a standalone estimate.

1. Click New on the Standard toolbar.

2. In the Part field, enter the name of the estimated part.

3. Enter a Part Description.

4. Click the Estimator button to find and select the estimator name.

5. In the grid, enter the part quantities to be estimated.

6. To add further rows, click the Add button.

The Add button is only available if you are entering a


standalone estimate. If you are entering an estimate linked
to a quote line, the grid displays the quantity break or
breaks you entered on the quote, and you can only make
changes in Opportunity/Quote Entry.

Hierarchy of Estimate Parts

Create the hierarchy of estimate parts using the Estimate Tree pane, which is the tree view of the program,
typically located on the left.
There are three types of estimate parts you can add to a tree and arrange in a hierarchy:
• Finishing Part – A part that gathers finishing manufacturing elements such as binding, packing, or shipping.
A finishing part is the only part type that can become the parent in the part tree to one or more subordinate
printing, prepress, or other finishing parts under it. Every finishing part can have more parts as children, so
the part tree can have multiple levels.
• Prepress Part – A standalone part that gathers prepress manufacturing elements only. Use the estimate in
this way to calculate the cost of prepress work that does not involve any printing, or that is common to all
other parts in the tree.
• Printing Part - A part that requires printing. Within this part’s manufacturing plan, there may be elements
of prepress, cutting, printing, folding, sheet-based-finishing and finishing.
A manufacturing element is a manifestation of one of the estimate standards in the estimate. It includes the
corresponding standard setup data, links to one or more operations and materials, and the business logic to
calculate the derived number of units (material units for operating hours), their cost, and their impact on other
manufacturing elements.

Create a Finishing Part


To create a finishing part:

1. Right-click the quote line in the Estimate Tree and select Add Finishing Part.
The Planning Wizard sheet displays the Finishing Part Intent window for finishing parts.

2. In the Part field, enter a descriptive name for this finishing part.

3. In the Part Description field, you can optionally enter a longer description of the part.

4. The Binding Style field contains the various binding types recognized by the application.

5. In the Finishing Default ID field, a predefined finishing default displays. You can replace it with another
default, if necessary. The grid below this field displays the standards grouped under the selected finishing
default. Once you load a finishing default into the estimate, you can remove, add or replace any of the
standards in this list.

6. In the Book Part Type field, select the type of book part for the finishing part; either Book Main Part for
the main part of the book, Book Block for the signatures of a hard cover (case bound) book or Not a Book
Part if the part type is not a book part.

If you select a finishing default, this value will default to


the value entered for the finishing default. You can
override it as needed.

7. In the Finishing Standard grid, press Add to add a finishing standard. Navigate to the finishing part, select
it and click OK.

You can also select a finishing standard in the grid and


replace or remove it.

You define finishing standards in Sales Management >


Estimation Management > Setup > Finishing.

8. When you finish, click the Create Mfg Plan button to exit the Planning Wizard and display the
manufacturing plan for this part. Refer to the View Manufacturing Plan Results section for details about
the resulting manufacturing plan.

Hierarchical estimate trees are required so that:


• Finishing activities such as binding or saddle stitching
can be applied to several printing parts that were
printed independently.
• A parent finishing part allows you to define multiple
finishing parts connected under the parent. To define
a parent finishing part, a finishing part must exist.
• Scheduling a finishing part can only occur when all of
its subordinate parts have been successfully
manufactured.
• A finishing part needs details from its subordinates
(printing parts and other finishing parts) to estimate
its own requirements. For example, a finishing part
needs the weight and number of signatures of each
printing part.
• A printing part needs details of its parent finishing
part, such as its estimated spoilage ratio, to know the
quantity of printed goods to be delivered to that
finishing part to meet the required quantity.

Create a Parent Finishing Part


To create a parent finishing part:

1. Right-click the quote line in the Estimate Tree and select Add Parent Finishing Part.

7. In the Finishing Standard grid, press Add to add a finishing standard. Navigate to the finishing part, select
it and click OK.

You can also select a finishing standard in the grid and


replace or remove it.

You define finishing standards in Sales Management >


Estimation Management > Setup > Finishing.

8. When you finish, click the Create Mfg Plan button to exit the Planning Wizard and display the
manufacturing plan for this part. Refer to the View Manufacturing Plan Results section for details about
the resulting manufacturing plan.

Create a Prepress Part


To create a prepress part under the finishing part:

1. In the Estimate Tree View, right-click the finishing part you created and select Add Prepress Part. A
prepress part displays one level below the finishing part, creating a tree hierarchy.

The Planning Wizard sheet displays the part intent screen for the prepress part.

2. In the Part field, enter a descriptive name for this prepress part.

3. In the Part Description field, you can optionally enter a longer description of the part.

4. In the Prepress Default ID field, a predefined prepress default displays. You can replace it with another
default, if necessary. The grid below this field displays the standards grouped under the selected prepress
default. Once you load a prepress default into the estimate, you can remove, add or replace any of the
standards in this list.

Some of the fields in steps 5-10 may be unavailable,


depending on which prepress standard you select.

5. If the part calculation for one or more or the selected prepress standards is based on finished piece size,
enter the Width and Length of the finished piece size.

6. If the part calculation for one or more or the selected prepress standards is based on prepress sheet size,
Enter the Width and Length of the press sheet size.

7. If the part calculation for one or more or the selected prepress standards is by page number, enter the No.
of Pages to undergo the prepress operations specified for this part.

8. If the part calculation for one or more or the selected prepress standards is by the number of colors, enter
the No. of Colors to undergo the prepress operations specified for this part.

9. If the part calculation for one or more or the selected prepress standards is by the number of layouts, enter
the No. of Layout Groups and No. of Layouts to undergo the prepress operations specified for this part.

10. If the part calculation for one or more or the selected prepress standards is by the number of plates, enter
the No. of Plates to undergo the prepress operations specified for this part.

11. When you finish, click the Create Mfg Plan button to exit the Planning Wizard and display the
manufacturing plan for this part. Refer to the View Manufacturing Plan Results section for details about
the resulting manufacturing plan.

Create a Printing Part


To create a printing part:

1. Right-click the name of the finishing part in the Estimate Tree and select Add Printing Part.

Each printing part must have the following attributes:


• All pages have the same finished piece size
• All the pages use the same stock
• All pages are printed on the same press
• All pages use the same set of inks

The Planning Wizard sheet displays the part intent screen for printing parts.

If an estimate printing part has more than one type of any of these elements, split the definition into separate
estimate parts so each part has only one of each of the product intent elements.

Planning Wizard Step 1: Product Intent


The Product Intent stage of the Planning Wizard for a printing part comes first in a five-stage process.

1. In the Part Intent field, select the predefined part intent default that is the closest approximation to the
details of this part. Choosing one of the part intent defaults automatically fills the fields in this sheet with
default values.

You configure these values during the setup of the


defaults and standards for the Estimation Management
module. For more information, refer to the Application
Help.

2. Enter the name of the printing part in the Part field. When you press Tab, the name of the part displays in
the Estimate Tree. Enter a longer description of the printing part in the Part Description field.

3. Click the Binding Style drop-down list and select Flatwork for brochures that have no binding, Collecting
for cases like saddle stitching, or Gathering for cases like perfect binding.
If the selected binding style is Flatwork, the fields in the Folded Flatwork pane enable and you can enter
flatwork details.

4. In the Pages field, enter the number of pages.

5. Select a default finished piece size from the Finished Size drop-down list, or enter a custom Width and
Length.

6. In the Grain field, select the direction of the stock's grain required for this part.

7. In the Bleed Size field, enter the bleed size required for this part. This area is subtracted from the sheet
space to be used to calculate the imposition.

8. In the Register field, enter the level of accuracy of the color alignments of the press.

This field corresponds to a matching adjustment table


defined in the estimation setup entries. A higher accuracy
slows performance and raises costs.

9. In the Binding Side field, select the side of the paper which is bound.
• Left - Books are typically bound on the left side of the page.
• Right - Books written in right-to-left languages are often bound on the right side of the page.
• Top - Wall calendars are sometimes bound on the top side of the page.
• Bottom - The binding is at the bottom side of the page.
• None - No binding, when it is a flatwork.

10. In the Book Part Type field, enter the part type of the book part.
• Not Applicable - Not a book part.
• Book Block - The signatures of a hard cover (case bound) book. This is only available for finishing parts.
• Book Main Part - The main book part. This is only available for finishing parts.
• Case - Used for one piece book case binding. The book is fastened into the case. This is only available
for printing parts.
• Case Panel - Used for three piece book case binding. A three piece case binding includes two case panels
(front and back) and a case spine strip. This is only available for printing parts.
• Case Spine Strip - Used for three piece book case binding. A three piece case binding includes two case
panels (front and back) and a case spine strip. This is only available for printing parts.
• Soft Cover - Used for soft cover books. You can select to include front and back flaps.
• Main Text - Main text of the book cover. This is only available for printing parts.
• Addl. Text/Flatwork - Additional text and flatwork for the book block. This is only available for printing
parts.
• End Sheets - End sheets for the book block. This is only available for printing parts.
• Cover Boards - Two piece cover boards. This part is modeled as a folded flatwork part with 4 pages.
This is only available for printing parts.
• Cover Board - Single - One piece cover board. This is only available for printing parts.

• Jacket - Removable book jacket. This is only available for printing parts.

Book estimates require that an Estimate Product Default


is defined in the Product Defaults sheet on the top
estimate level.

11. In the Final Parts Duplicate field, enter the number of duplicates in the final part.

The default values for this field comes from the Part
Intents defaults value. This number is copied over to the
Quantities sheet and displays in the Show more options
grid as the Qty/Per value. This impacts the total quantity
of this part in the Mfg Plan. The part quantity is a
multiplication of the estimate quantity and this number.

For cover boards, the final part duplicates parameter


should be set to 2 for 2 piece boards and should be set
to 1 for 1 piece boards.

12. Select the Cutting Only Part check box on a printing part if it does not require the actual printing but you
need the part intent information to calculate the number and size of sheets to cut.

When you select this check box, the icon on the part
changes so you can distinguish between normal printing
parts and cutting-only printing parts. You cannot add inks
to a cutting-only part and all presses used in this Mfg Plan
must be Web Sheeter Cutters.

13. Select the Cover Part check box if the printing part in this estimate is the cover.

If selected, the size of the spine is determined from other


text printing parts (under the same finishing parent) and
is automatically added to the open width of this cover
part. The spine's calculations occur in the background,
and are based on the stock caliper, the number of pages
in the book, and the sheet size of other text parts under
the same finishing parent.

14. Select the Zero Printing Cost check box if the printing part's cost is zero.

This check box is commonly used for cases where the


printing occurs in another context such as outsourced,
but is still required for modeling other operations like
binding or folding.

15. If the Binding Style is Flatwork, enter the following information in the Folded Flatwork pane:

a. In the Parallel Folds field, enter the number of parallel folds required for this flatwork part.

b. In the Right Angle Folds field, enter the number of right angle folds required for this flatwork part.

c. In the Open Width field, enter the width of the finished part before folding. The default value is the
Width and Length of the Finished Size

d. In the Open Length field, enter the length of the finished part before folding. The default value is the
Width and Length of the Finished Size.

e. In the Flatwork Multiples field, enter the number of flatworks within this part intent (the same ink,
stock, finished part size, sheet based finishing etc.) when the content is different for each one.

Example If a customer requires 1,000 copies of three


leaflets, each with content in a different language,
print them all in one run, and enter 3 in this field.

16. In the Element Markup Levels pane, click Add for each new markup level to add. Click the down arrow
and select the markup.
A new estimate may already include these markups by default, though you can remove any of them manually
through an estimate if required.

17. Click Next to move to the Mfg Intent stage of the Planning Wizard.

Planning Wizard Step 2: Manufacturing Intent

1. Review the selected Stock for this printing part.

2. If the part uses paper that is cut on a sibling cutting-only printing part, select the cutting-only printing part
that is the source of stock for this part in the Cutter Part field.

When you select a cutter part, the Stock Has No Cost


check box is automatically selected. This means the cost
of stock is already included on the cutter part.

If several printing parts are related to the same


cutting-only part, the application automatically calculates
the number of sheets required in that cutting part so it
can output enough paper for all of the printing parts.

3. Select the Stock Has No Cost check box if the selected stock has no cost.

When you select the Stock Has No Cost check box, the
cost per unit zeros out but the paper still appears in the
results screen with zero cost.

4. Select the Stock Reuse check box if this stock is reused.

When you select the Stock Reuse check box, the required
quantity of paper zeros out the required quantity of paper
and the paper does not appear in the results screen.

5. In the Ink grid, perform the following for each ink you want to add to the printing part:

a. Click Add.

b. In the Standards list, select the ink and click OK.

c. Update the ink description as needed.

d. In the Side field, enter the side of paper upon which this ink will be used, either Front, Back or Both.

e. In the Front % field, enter the percentage coverage of this ink on the front of the sheet.

f. In the Back % field, enter the percentage coverage of this ink on the back of the sheet.

Logic For purposes of calculating the number of


production units in the prepress manufacturing
element, the number of Pages is multiplied by one if
the ink coverage is on both sides, or multiplied by 0.5
if the coverage is on one side only.

To replace an ink, select it and click Replace. To


remove an ink, select it and click Remove.

6. In the Prepress grid, perform the following for each prepress standard if your part requires additional
prepress operations.

a. Click Add.

b. In the Prepress list, select the prepress standard and click OK.

c. Update the prepress standard description as needed.

To replace a prepress standard, select it and click


Replace. To remove a prepress standard, select it and
click Remove.

7. In the Sheet Based Finishing grid, perform the following for each side to which sheet based finishing
should be applied:

a. Click Add.

b. In the Sheet Based Finishing list, select the sheet based finishing standard and click OK.

c. In the Side field, select the side to which the sheet based finishing is applied, either Front, Back or Both.

To replace a sheet based finish, select it and click


Replace. To remove a sheet based finish, select it and
click Remove.

8. In the Finishing grid, perform the following for each finishing standard if your part requires additional
finishing operations.

a. Click Add.

b. In the Finishing list, select the finishing standard and click OK.

c. Update the finishing standard description as needed.

To replace a finishing standard, select it and click


Replace. To remove a finishing standard, select it and
click Remove.

9. Click Next to move to the Scenario Defaults stage of the Planning Wizard.

Planning Wizard Step 3: Scenario Defaults


The Scenario Defaults stage of the Planning Wizard expands on the information provided in the previous
step. It presents a high-level view of alternative scenarios to manufacture the part, derived from the chosen
Scenario Default. Each scenario is presented in a separate column in the grid.

1. Select the most appropriate Scenario Default for manufacturing this part. This field changes the default
values in the manufacturing scenarios.
The name of the press displays in the heading of each scenario.

2. Review the choice of cutters, folders, finishing defaults, binding defaults, prepress defaults, imposition inputs
and trims in each of the scenarios.

3. Click Next to move to the Scenario Editing stage of the Planning Wizard.

Planning Wizard Step 4: Scenario Editing


The Scenario Editing stage of the Planning Wizard expands on the previous step of the wizard. For each of
the scenarios, more details of the manufacturing elements' defaults display. The details can be modified to feed
manufacturing alternatives presented in the Select Manufacturing Plan sheet and in the final manufacturing plan.
The results of the imposition calculations that ran in the background when moving from previous stage of the
wizard also display.

The Filters bar contains viewing groups that filter the data displayed in the main grid. Each group is color-coded
to indicate its originating standard.
By default, the Imposition information is shown, which is colored green.

1. Click any field to edit its contents.

Some fields cannot be edited.

2. Expand a node to view the fields under it.

3. Alternatively, click Expand All to view all fields in the tree.

4. Select another viewing group to view its set of fields, which can be edited in the same way.

Press and hold the Shift or Ctrl key to select multiple


viewing groups for simultaneous viewing.

5. To recalculate the imposition values, perform the following:

a. Click Recalculate Imposition.

b. In the Recalculate Imposition window, select the scenario to recalculate or select Select All to
recalculate the imposition based on all scenarios.

c. Select the Reset Cutting and Folding check box to reset the cutting and folding calculations.

d. Click OK.

6. Use the View menu to filter the field types displayed in the main grid.

7. Click Search to locate a field name in the grid.

Add a Manufacturing Element


To add a manufacturing element to the manufacturing plan:

1. Click Add.

2. Select the manufacturing element type to add.

This list is based on the standards you set up when


configuring the application. For more information, refer
to the Application Help.

3. Select a manufacturing element from the list.

4. Select whether this element is to be added to just one or all the scenarios in the grid.

5. Click OK to close the window and return to the main screen.

6. Then click Next to move to the final stage of the Planning Wizard.

Planning Wizard Step 5: Select Manufacturing Plan


Use the Select Manufacturing Plan stage of the Planning Wizard to select one scenario for each of the
quantities in the estimate, based on their different costs and markups.

1. Choose the criteria for selecting a scenario in the Select Scenario By field.

2. Click Apply.
Notice how the different scenarios for specific quantities are highlighted depending on the selection criteria.

3. To manually override the choice the application made for a given quantity, select the check box on the
scenario you need.

4. Click the Create Mfg Plan button to exit the Planning Wizard and display the manufacturing plan for
this part.

Manufacturing Plan Editing

The complete manufacturing plan displays using the same format as was used previously in step 4 of the Planning
Wizard. Each column contains the manufacturing plan for a given quantity using the scenario you selected in
the Planning Wizard.

The Manufacturing Plan Editing sheet displays complete


manufacturing information. The Manufacturing Editing sheet
of the planning wizard displays only expanded defaults.

for more information on how to navigate and edit the details
of the manufacturing plan.

The details of each manufacturing element display, and the costs are calculated based on time, resources and
materials required for each of the operations.

Estimate Cost and Selling Price


The Results sheet displays the costs associated with manufacturing the part you selected in the Estimate Tree.

When you select the entire estimate in the Estimate Tree, the Results sheet is divided into an upper and lower
section.

1. Select the entire estimate in the Estimate Tree.

2. Navigate to the Results sheet.

3. The top half of the sheet displays the cost of creating the priced part. In addition, it shows the relative price
of each element, driven from a proportional distribution of the selling price to all elements in this grid.

4. The lower half of the sheet displays the selling price of the priced part, based on the production cost. The
price is generated using the targets defined in the pricing schema. For more information on pricing schemas
refer to the Application Help.

5. Select the Mfg Elements option to view the breakdown of costs by manufacturing element.

6. Select the Operations option to view a more detailed list of costs for each operation in the manufacturing
plan. Each element is color-coded with the same color as was used in the manufacturing plan.

7. Select the Materials option to view a more detailed list of costs for each material and subcontracting
elements in the manufacturing plan.

8. To view the results in relation to predefined targets, select a Pricing Schema.

9. Alternatively, manually set the targets by clicking the Set Targets button.

10. Set the criterion in the Target Type column.

11. Set the value of the target in the Value column.

You can set targets for added value, net profit, or gross
margin.

12. Click OK.

Update the Quote with Estimate Data


Once you calculate the cost and selling price, you can push this information into the quote to communicate it to
the customer. You can also select whether to return just the price information, or whether to also include the
detailed manufacturing plan, which would also detail the cost information.

This functionality is only available if the estimate is linked to a


quote. Standalone estimates do not have this functionality.

1. Navigate to the Detail sheet.

2. Select the quantity of the manufacturing plan to report back to the quote.

3. Click the Update Quote button.

After you click this button, the status of both the quote
line and the estimate changes to Planned, and the
estimate becomes read-only. You can change this on the
quote line in Opportunity/Quote Entry.
