1. Login.
Before logging in, it must be noted that this Mobile applications is strictly for the official
usage only.
It is strongly recommended to use their own login credentials on their devices.
When this application is opened for the first time after installation on their device login page
will get opened as mentioned in below screen shots.
Enter your current Thermax windows user name and password. When trying to login
without Internet connection or with incorrect login credentials user will get the error
messages as mentioned in below screen shots. Click on the SETTINGS option to go to your
device setting for turning internet connection on.

After logging with correct credentials click on Login button to proceed further.

Note:

This Application is built for use by Thermax Employees who are


Permanent/Trainee/Apprentice/Contractual/Temporary and essentially should have Thermax
Window Login and password and Thermax email id.
This application is currently built for Android Operating System and is comfortably suited
for Android devices having display size ranging from 4 to10 inches with Operation System
version:4.1 and above having minimum 2 GB and 8-16 GB Internal storage memory.
Avoid multiple application running on your devices while working on this app for its
smooth performance.
To work in offline mode (No internet connection) user must login in online mode (With
Internet connection) once and also should not logout from this app.
This app will get timed out after 5 hours if not in use, user will have to login once again in
online mode.

2. Accept/Decline Terms & Conditions.
After successful login user need to read and accept “Terms and Conditions”.
It is mandatory to click on “Accept” button for using this application.
Clicking on “Decline” button will exit from this page and re-directed to login page.
This has to be performed only once when application is installed for the first time on the
devices. For subsequent login this page will not be displayed.
In case of when application is re-installed on your device same step of accepting “Terms and
Conditions” will have to be performed.

3. Setting Preferences
After clicking on “Accept” button on Terms and Conditions page, Preferences (Mandatory)
page will get opened.
Click on Division button arrow to select your Division.
Click on SBU button arrow to select your SBU.
Click on Region button arrow to select your region.
Enter your Thermax email address.
Click on “Set Report Duration” button arrow to select the duration to view your reports with
default set duration.
Click on Save button to save the entered Preferences.
Please Note:
Values which are available for selection has been provided by Safety Coordinator’s. In case
if some required values are missing or incorrect, need to contact your respective Divisional
coordinators to make it available.

4. Side Menu Bar

5. Enter Reports
Click on Home button, Reporting options page will get opened having 3 option buttons.
1. Incident
2. Near Miss
3. Observation

Click on any one of the option button for which report has to be entered, respective option
page for entering details will get opened.

Incident Reporting
Values for Divison,SBU and Region will get defaulted from the preferences which can be
changed if required by clicking on the respective button and selecting the new values.
Select values from the list where ever down arrrow buttons are provided and enter the text
where the text fields are provided,also voice can be converted to text and will get typed in
the field by enabling the MIC feature from your mobile keyboard if availiable and can be
edited.
Upload the desired photo’s from your device camera and gallery.
Upon entering all the details ,click on the Save button ,incase the mandaory field are not
entered error message will be prompted ,after filling all the mandatory fields click on the
Save button.This repprt will get saved in the application and will be availiable in Awaiting
page for view/edit and submit.
Upon enteing all the details one can submit this report from the same page by clicking on
Submit button.
Report can be submitted in Internet On condition only or will else error message will be
prompted.
Upon successful submission of report ,report reference will be generated and displayed on
the screen which shall be referred throughout the life cycle of this report.
In Occurred Date & Time field ,future date & time from current date is not allowed and
back date and time beyond 7 days from current date and time is not allowed.

6. Report Submission Status-Awaiting
After the reports are saved, go to side menu bar, go to Awaiting button, count of reports
awaiting for submission will be indicated in bracket beside this button.
Clicking on Awaiting button will open Awaiting for submission page.
Click on record to be submitted, respective reporting page will get opened, click on submit
button to submit this report to server.
Upon successful submission of report, report reference no will get displayed which needs to
referred throughout for the life cycle of this report.

Click on + button which will open Reporting Option page to generate new report.
To delete the specific report from this page swipe your finger left or right by touching
device screen selecting the report to be deleted.message will be prompted for deletion of
this report,if clicked on NO button will not delete this report ,if clicked on YES button will
delete this report from mobile.
To delete all reports from this page click on Delete button, message will be prompted for
deletion of this report,if clicked on NO button will not delete reports ,if clicked on YES
button will delete all reports from your device.

7. Report Submission Status-Submitted

A. View Reports

To view the submitted reports, go to side menu bar, click on Submitted button to open
Submitted Reports page.

Based on the Roles and Responsibilities defined by Safety Function below are the actions
which can be performed.

1. User’s---Create all types of reports. view all his submitted reports, perform corrective,
preventive and closing of only his Observation Type of reports. Re-open his closed
observation reports.

2. Safety Manager’s-- Create all types of reports. view all his submitted reports, perform
corrective, preventive and closing of all Types of reports which are assigned to his name/
locations. Perform Manager follow up, additional view access for other SBU assigned to his
role. Re-open all closed reports.

3. Divisional Coordinator’s-- Create all types of reports. view all his submitted reports,
perform corrective, preventive ,closing and deletion of all Types of reports assigned to his
SBU. Preform Manager follow up. Re-Open all closed reports.

4. Corporate - Create all types of reports. view all his submitted reports, perform corrective,
preventive and closing of only his Observation Type of reports. View all reports for all
Division’s (BU), SBU’s, Region’s and Location’s.

5. Superuser-- Create all types of reports. view all his submitted reports, perform corrective,
preventive ,closing and deletion of all Types of reports. Preform Manager follow up. View
all reports for all Division’s ( BU), SBU’s, Region’s and Location’s. Re-open all closed
reports.

Initial status of the submitted report will be Open, if one of the listed manager takes action
on this report the status will get changed to In progress, name of the manager will get
displayed in the Modified by field.
To view the Managers list who would be acting on this report, click on blue colored link
provided at the bottom of the report section, manager who takes action on this report his
name will get displayed in Modified by field.
When the corrective and preventive actions are closed and Report status is closed by
Manager the report status will be Closed.

B. Perform Action on Reports
Click on report textual section to view submitted report in details to take action.
All users can perform actions on Observation type of reports as per the Roles and
Responsibilities mentioned in page no#37.
For performing actions on Incident and Near Miss type reports one should have either one
of the roles as mentioned .in page no#37.
For user’s who has submitted Observation type of report will have to click on “Take action
on Report” button as displayed on the below screen shot, Action Report page will get
opened. On this page 2 buttons have been provided 1.User Report 2.Manager comments.
Click on User Report button, the report details will get displayed, edit the text/values in the
editable fields if required, click on “MANANGER COMMENTS” button, fill up required
fields and click on submit button to save and submit the report. If thermaxglobal email
address (only allowed) is provided in the Corrective employee email and Preventive
employee email fields, email with the contents will be forwarded to the respective employee
for taking action.
Once the Report status is “Closed” it cannot be opened. “Closed” status report can be
opened by the Manager’s having special privileges for their respective division.

After entering details for corrective action and preventive action, click on submit button,
message will be prompted, click on YES to initiated email to the corrective employee email
and preventive employee email.
After updating report status to Closed, click on Submit button and click on YES button to
initiate email for Overall status.

Once the report get closed will not be availiable for any update.Click on the report textual
section to open Action Report page to view User report and Manager comments.

Click on “Forward/Send Mail” button to open email page for sending Followup email to
user’s for closure of report and sending information email after closure of the reports to
concern higher Managers.

C. Report Filter
Click on Report Filter button, Filter page will get opened with below filter parameters.
1. Entering correct report reference number.
2. Submitted date from and To (initially the dates will get defaulted as set in Preferences
which can be changed as required)
3. Division.
4. SBU.
5. Region.
6. Location.
7. Report Type.
8. Report Status.
9. Category.
10. Person Classification
11. Hazard Class.
Select the required parameter and click on submit button to get required list of reports in the
submitted report page.

D. Submitted Report For Managers
Safety Manager/Divisional Coordinators/Superuser will have below screen to perform
action on submitted reports based on assigned roles and responsibilities.
In case incorrect or duplicate reports get submitted by the users, the above roles can delete
these reports by providing the delete reason.
Once report is deleted it will not be available of any kind of action, in dashboard and report
filters and hence needs to be performed very judiciously.

8. All Reports
Go to side menu bar, click on “All Reports” button. This feature is provided for only Safety
Managers, Divisional Coordinators, Corporate and Superuser roles.
For emailing followup action on “Open” status report click on “Forward/ Send Email”
button to open “Followup” email page,enter Thermax email id in To and CC to whom this
follow up email has to be send.
Also you can type your comments to be send along with email.
For informing Closure status of the “Closed” report, click on “Forward/Send Email” button
for the Closed status report. Follow same actions for “Closed” status reports as mentioned in
Point no#7B

9. Dashboard
Go to side menu bar, click on “Dashboard” button, Dashboard page will get opened.

Dashboard will be displayed based on user Roles and Responsibilities.

Click on Filter button to select the parameters for viewing Dashboard.
Click on “Refresh” button to view latest data when connected to Internet.

10. Logout
Click on Logout button to logout from the application.

When if reports are pending in “Awaiting for Submission” page and when trying to Logout
button ,message will be prompted “You have pending report for submission,do you still
want to logout”,if clicked on YES button ,application will be logged out,if click on NO
button will not logout,go to “Awating for Submission” page and submit the pending report.

When if reports are pending in “Awaiting for Submission” page , after logging in message
will be prompted “You have pending report(s) in your “Awaiting for Submission” page .Do
you want to submit them now?”,if clicked on YES button “Awaiting for Submission” page
will get opened and submit the pending report ,if click on NO button it will open
“Reporting Options” page.

All the data mentioned in this User Manual are not real, only meant for
