“Personal Information System in BCCT“

Chapter 1: The Problem and Its Settings

Background of the Study

The personal information system is an essential tool for the BCCT personnel to

easily identify the information and status of the students, teachers and the Admin. The

personal information can be easily access by the personnel through their computers.

This kind of machine is most used in other schools, universities and companies in

saving time and paper works, and also for the future use to the offices. This project is

designed to easily access information records of the subject and made by distributors in the

country where they will be used on the other hand, Bulacan College of Commerce and

Trade students in strand of Technical Vocational Livelihood and track of Computer

Programming are the researchers to help the BCCT officers.

The researchers provide personal information system in BCCT to minimize their

time and effort in searching for information of the subject. Thus, personal information

system is created by using the still of students or what they learn in computer programming.

Also, personal information system will be easily to use. The desire of the researchers might

be successful for helping the BCCT officers.

In overall, the researchers will provide personal information system to improve in

BCCT teachers, Admins, and especially the Principal.

Statement of the Problem

This research aims to determine the factors why the Bulacan College of Commerce and

Trade needs the Personal Information System specifically. This study aims to answer the

following questions:

1. What is the possible reason why officers need the Personal Information System;

1.1 minimize Time and effort

1.2 reduce Paperwork

2.3 Editable accurate Information

2. Is the information they provided is accurate?

3. What is the use of Personal Information System for the students and teachers in

BCCT?

Scope and Limitation

The Researchers determining what is the specific factor of having a Personal Information

System in Bulacan College and Commerce and Trade and This research will provide all

the personal and professional details of the employee and students in bcct. Details to be

stored are: Personal details: name, age, year of joining, address, date of birth, qualifications,

contact details. The researchers will be conducting the research on Bulacan College of

Commerce and Trade at San Jose del monte Bulacan in the year 2018 - 2019. The study

conducted the survey in total total of 75 respondents 40 respondents that came from the

grade 12 student. 35 respondents that came from grade 11 students and respondents will be

came from the teachers.

Significance of the Study

The result of this study will be beneficial involved in this study. The beneficiaries

of the study will be the following:

Students - guides the student in researching.

School Administration - The Signifance of this study for the Administration is will gain

information towards the more organized keeping of records.

Teachers – help them to look and modify information of the students.

According to Sedghi (2015) et al., the use of PIM electronic tools (e-tools) was

below expectations among the studied sample and just 37% had reasonable knowledge of

PIM e-tools such as, external hard drivers, flash memories, etc. However, all participants

used both paper and electronic drivers to store the personal information.

According to Wikipedia (2014), in the past, universities and large school districts

in particular have created their own bespoke student record systems. One such example is

the Repository of Student Information (ROSI) system at University of Toronto. With

growing complexity in the business of educational establishments, most organizations now

choose to buy customizable software, and increasing numbers are buying software as a

service (SAAS). Most student information systems in use today are server-based, with the

application residing on a central computer server, and being accessed by client applications

at various places within and even outside the school. But student information systems have

been moving to the web since the late 1990s and that trend is accelerating as institutions

replace older systems.

According to Bryan (2006) emphasized the information system is a set of people,

procedures and resources that collects, transforms and disseminates information in an

organization to do’s ends rely on many types of information system (IS). They might

include simple manual information system and informal system and also computer. Based

information system that uses hardware, software telecommunication and other forms of

information technology (IT).

Sander (2002) computers are an intelligence amplifier that can free human to use

their time effectively. Because a computer is a fast and accurate electronic symbol or data

manipulating system that design automatically accept and store input data process and

procedure output results under the direction of the stored program or instruction.

Synthesis:

Implementation of Student Information System it is a collection of related

components designed to support operations, management, and decision making in an

organization. Generally, IS supposed to inform people. Information System supports

people or users in making intelligent decisions based upon the information derived from

reliable data.

They might include simple manual information system and informal system and

also computer-based information system that uses hardware, software telecommunication

and other forms of information technology (IT).

Theories

The following are the theories that can be used for the study.

System Theory

System theory is the transdisciplinary study of the abstract organization of

phenomena, independent of their substance, type, or spatial or temporal scale of existence.

It investigates both the principles common to all complex entities, and the (usually

mathematical) models which can be used to describe them. A system can be said to consist

of four things. The first is objects – the parts, elements, or variables within the system.

These may be physical or abstract or both, depending on the nature of the system. Second,

a system consists of attributes – the qualities or properties of the system and its objects.

Third, a system had internal relationships among its objects. Fourth, systems exist in an

environment. A system, then, is a set of things that affect one another within an

environment and form a larger pattern that is different from any of the parts. The

fundamental systems-interactive paradigm of organizational analysis features the continual

stages of input, throughput (processing), and output, which demonstrate the concept of

openness/closedness. A closed system does not interact with its environment. It does not

take in information and therefore is likely to atrophy, that is to vanish. An open system

receives information, which it uses to interact dynamically with its environment. Openness

increases its likelihood to survive and prosper. Several system characteristics are:

wholeness and interdependence (the whole is more than the sum of all parts), correlations,

perceiving causes, chain of influence, hierarchy, suprasystems and subsystems, self-

regulation and control, goal-oriented, interchange with the environment, inputs/outputs, the

need for balance/homeostasis, change and adaptability (morphogenesis) and equifinality:

there are various ways to achieve goals. Different types of networks are: line, commune,

hierarchy and dictator networks. Communication in this perspective can be seen as an

integrated process – not as an isolated event. (Marx and Darwin, 1968)

Information Theory

Basic data communication theory that applies to the technical processes of

encoding a signal for transmission, and provides a statistical description of the message

produced by the code. It defines information as choice or entropy and treats the

‘meaning’ of message

(in the human sense) as irrelevant. Proposed together by the US mathematicians Clauge

Shanmon (1916 – 2001) and Warren Weaver (1894 – 1978) in 1948, it focuses on how to

transmit data most efficiently and economically, and to detect errors in its transmission

and reception.

This study makes the use of the terminologies within its concept and operationally

define as follows;

Research Methodology

This chapter presents the research design, population sample and sampling

technique, data gathering procedure, instrumentation and statistical tools used in data

collection.

Research Design

This study used qualitative research to assess the implementation of the system to

school officers as an enhanced technique in managing the personal information records in

Bulacan College of Commerce and Trade. This type of research is defined as a primary

exploratory research that is used to gain an understanding of underlying reasons, opinions,

and motivations. This design was effective to assess the current status and to suggest

recommendations.

The researchers also used a Descriptive Method for the purpose of analyzing the

perceptions of the respondents who would use the Personal Information System in an

accurate way. Descriptive method, according to Manuel and Medel (2012), describes “what

is”. It also describes the said topic with the help of respondents.

Population Sample and Sampling Technique

The respondents of this research were forty (40) Grade 12 students, fifty (50)

Grade 11 students from different strands, (8) Faculty Officers, the Admin and the Principal

in Bulacan College of Commerce and Trade which the students were randomly selected.

In identifying the population sample, the researchers used the Probability Sampling

wherein the target population are gathered in a process that gives all the respondents in the

population equal chances of being selected. In the chosen sampling technique, Sample

Random Sampling was done by the researchers.

Instrumentation and Data Collection

The instrument that will be use to gather information are Questionnaire and Survey

form.

Survey Form. The researchers will use survey form to know how this study affects the

respondents. This will serve as a reliable source as the data will come from various people.

Questionnaire. This instrument that was useful in the data gathering process was used in

order to assess the feedbacks of respondents in using the personal information system

accurately.

Data Gathering Procedure

The researchers sought permission to the school officers to conduct the research

inside the premises of Bulacan College of Commerce and Trade through a permission

letter. Therefore, the proponents of the study formulated the questionnaire and undergone

in approval from the research instructor for it was essential in the data collection. After the

approval, the researchers distributed the questionnaires to the selected respondents. The

answers were encoded, computerized and the statistical treatment was used to assess the

perception of the prospects. The questionnaires with answers were kept for future referenc
