Introduction & Scope

This document is the Administration Manual of Bayt.com. This aims to describe


escribe the administrative
processes and procedures used to manage the Human Resources and Administration Department.

This document will be reviewed at least annually or at the start ooff each new life cycle phase, and
updated as needed, as a result of continuous process improvement efforts by the Human Resources and
Administration team. Lessons learned will be captured at the end of each project phase and will be
incorporated to improve the division

On Boarding
Pre-Hiring Stage

The HR Specialist sends an email to Dubai Admin or local Admin Officer requesting the Offer Letter.
Required details:

 Updated CV of the candidate ((ensure

 TPS brief - Telephonic screscreening document (should mention the name of the employee
conducted the TPS)
 FTF brief– Face to Face Interview document (should mention the name of the employee
conducted the FTF)

 Gender of the candidate (to address tthe title of the candidate correctly)

HR Specialist should advise the Admin if the offer is accepted or declined.

1. If the offer is accepted request the HR Specialist to forward a scan signed copy of the offer
documents.
2. Update the *3New Joiner sheet with the salary and joining date so that HR department and
Accounts have a track of the New Joiners. (File is shared with the Finance dept.) (If the font is
Bold in the sheet the candidate has joined)
3. If the offer is not accepted Admin to update the new joiner sheet – the name of the candidate
has to go to the decline list and the folder created should be moved in the DID NOT JOIN folder.

Hiring Stage

Once the candidate accepts the offer, the candidate comes and signs the contract. HR Specialist gives
the Jump Start Handbook.

Admin Department Functions


1. Informs the Hiring Manager about the joining date of New Employee to ensure that a work
station is identified

2. Informs IT about setting up the phone and computer.
3. Prepares the New Joiner Documents prior to the Orientation Day and hands it over to the HR
Specialist:

1. You will be entitled to a paid annual vacation of 22 working days according to the Company’s Policy.
2. Bayt.com will provide you with ticket allowance as per the Company’s Policy.
3. Bayt.com will provide you with medical insurance as per the Company’s Policy.
4. Bayt.com will cover all required government expenses related to acquiring a work permit. Should you
resign from Bayt.com within the first 6 months of employment employment,, the cost of training (including
travel for it, hotel accommodation, meals, etc) shall be refun
refunded to Bayt.com.
5. All other benefits will be as per the labor law of your Home Base.

TAX LIABLITY
You are liable for all taxation charges on the above referred remuneration and benefits where applicable.

Your employment with the Company is subject to the terms of the attached Agreement for Maintenance of
Confidentiality and Non Compete that must be signed and accepted together with this Offer of Employment.

YOUR APPOINTMENT

 It is important to note that the first 3 months will serve as a trial period for both parties and that
the Company has the discretion to terminate the agreement within the trial period for reasons
related to work performance.

GRIEVANCES AND DISCIPLINE

 Your rights and obligations relating to grievances and discipline are set out in the Policies and
Procedures Employee Manual (as amended from time to time). You should note that the Company
may terminate
inate your employment for misconduct or unsatisfactory job performance (both of which
terms can include unsatisfactory level of attendance at work). In some circumstances this may
mean that you will be dismissed summarily (i.e. with immediate effect and wwithout
ithout payment in lieu
of notice). Examples of serious misconduct which will normally lead to a summary dismissal are set
out in the Employee Policy and Procedures Manual.

TERMINATION OF APPOINTMENT

 The Company or you may terminate the Appointment by giving one month (30 Calendar days)
notice in writing at any time.
 The Company may by written notice to you terminate the Appointment with immediate effect and
without notice if you:
• are ill disciplined, or fail
ail to adequately perform the duties as defined in this Agreement;
• are sentenced by competent court of a civil misdemeanor or criminal act;
• are found drunk or under the influence of a drug at work;
• are absent from work without valid reason or consent for m more
ore than seven continuous days in
any one year;
• assault any colleague, manager or a visitor to the Company;
• act in any manner which results in substantial loss to the Company;
• fail to comply with health and safety regulations of the Company; or
• falsify your identity;
 The Company may require you to take any leave to which you are entitled at such time or times as
the Company, at its sole discretion, shall decide during any period of notice of termination of
employment.
 On the termination of the Appointment you shall immediately surrender to the Company any
property belonging to the Company, all business cards issued to you by the Company, and all
effects belonging to the Company including but not limited to, all files, documents, diaries, notes,
notebooks (laptops),
aptops), manuals, correspondence, tools, insurance card, office keys and other
materials whatsoever, without retaining copies thereof.
 Your employment will in any event automatically come to an end and this Agreement terminated at
the normal retirement age as determined by rules and regulations in force from time to time in the
Territory.

GENERAL HR NOTE

 The Company reserves the right to make deductions from your salary or from your final settlement
or to require you to repay money to the Company with respect to:
• Advances made to you by the Company
• Loans made to you by a bank and guaranteed by the Company
• Any money due to the Compan

• Amount of paid holiday taken in advance or more than your entitlement
• Value of any Company's equipment not returned to the Company. This equipment represents
valuable Company property and you must at all time exercise all necessary care and controlcon
over these equipments to ensure that they are protected against theft, loss or damage. You
may be personally liable for the cost of repair or replacement of any item if damaged or lost.

 Smoking is prohibited in all of the Company’s premises.
 Alcohol is prohibited during working hours.
 Grievance and Disciplinary policies are available on the Bayt.com web site.

Any notice to be given by any Party to this Agreement


shall be in writing and shall be deemed duly served if

10.. GOVERNING LAW and JURISDICTION CLAUSE

Labor Law. Any dispute that may arise between the

12. JURISDICTION CLAUSE


Any dispute, controversy or claim arising out of or
relating to this Agreement shall be decided by the Labor
Arbitration Council in Beirut to whose jurisdiction the
Parties hereby agree.

that the restrictions set out in clauses below are reasonable and necessary tto o protect the legitimate business

 You shall neither during your employment (except in the proper performance of your duties) nor at any time
(without limit) after the termination of the employment hereunder directly or indirectly divulge or communicate,
to any other entity or individual, aany
ny trade secrets or Confidential Information (as hereinafter defined) relating to
the Company.
 “Confidential Information” shall mean details of suppliers and their terms of business, details of customers and
their requirements, the prices charged to and terms of business with customers, marketing plans and sales
forecasts, financial information, results and forecasts, any proposals relating to the acquisition or disposal of a
Company or business or any part thereof or to any proposed expansion or contract contraction

Employees and Officers and of the remuneration and other benefits paid to them, information relating to research
activities, inventions, secret processes, designs, software, formulae and product lines, any information which has ha
been given to the Company in confidence by customers, suppliers or other persons and any other information
which possesses on to you, either expressly or by reasonable implication, on a confidential basis.
 You hereby undertake with the Company that you s shall
hall not, either during your employment or within 3 years after
the termination of employment with the Company, directly or indirectly hold a position or appointment and/ or set
up or participate in a business and/ or be employed within the entire region o off the Middle East and North Africa
(including Jordan, Kuwait, Qatar, Bahrain, KSA, United Arab Emirates, Egypt, Morocco, Algeria, Tunisia) with any
Company that is reasonably considered by the Employer to be in direct competition with the Employer. Such
companies including the following job sites (or their subsidiaries or holding companies) considered as competitors:
akhtaboot.com, Joob.com, monstergulf.com, gulftalent.com, naukrigulf.com, linkedIn.com and
careermideast.com, to name a few few, but are not limited
ted to, any recruiting companies, whether traditional (including
but not limited to head-hunters,
hunters, executive search companies, human resource consultants, etc.) or online
anywhere in the Middle East.
 By signing this Agreement, you hereby undertake to abide by the confidentiality and non-competition
competition covenants in
the above clauses. If (in the reasonable opinion of the Company) you violate the said covenants, you agree to pay
the Company, by way of compensation, a sum equivalent to the total of 1 year of the yo your
ur salary, irrespective of
the length of your employment. The compensation amount shall be determined by reference to the rate of
remuneration at which you were being paid at the time of termination of your Employment. Such amount is the
estimated loss thatt will directly result from any breach by you of the covenants and undertakings given by you in
terms of this clause.
 By signing this Agreement, you hereby undertake that in the event of breach or in the event such breach
threatened, Bayt.com Inc may elect to seek an injunction restraining you and if Bayt.com Inc prevails, you shall
pay all costs and reasonable attorney’s fees incurred by Bayt.com Inc as well as liquidated damages.

Performance Letters Issues at Bayt.com

Process for Issuance


The Direct Manager (UM/BM)
UM/BM) and the HR Specialist keeps a close track of the employees’ performance.
If targets are not met and the employee does not show potential for improvement, then the UM/BM
consults with the Regional Manager/Senior Hr Consultant. This can be done via email em or verbal
conversation. Once the Senior HR Consultant gives her approval, Administration then prepares the
letter, gets it signed by the Regional Manager and send
sends it to the UM/BM who presents it to the
employee.

Email Chain
Administration and/or HR receivess email request from Regional Manager regarding any performance
related letter. This email should contain the metrics against which the performance letter is to be
issued.
Administration sends an email to Finance Department for notification, finfinal
al settlements etc. Exit
formalities are completed with the employee once the UM/BM has discussed this with the employee.

Time Line
Since the Finance department does payroll for the entire company on the 22nd of each month, they need
to have information about Confirmations and Terminations by the end of this day.
Since Administration has to get several signatures from Management before issuing any performance
letters, it would need to have this information on or before the 21st of each month. This gives Admin a
day to get the signatures needed and to inform Finance in a timely manner.

Confirmation Letter

Upon confirmation of the employee (usually after 3 months), the HR Specialist sends a request to Admin
to issue a Confirmation Letter.

Medical Insurance

Upon confirmation, an employee is automatically added to the Medical Insurance policy.


In order to add an employee to the policy, the following information is required:

Dubai Admin adds the employee by filling up the *1Nextcare Addition Form. (Fill up the highlighted fields

For Jordan confirmed employees, Admin Officer fills out the Insurance Application Form stamped and
send it to Arab German Insurance.

Dubai Admin/local Admin Officer will update the *2Insurance List adding the confirmed colleague. It
takes a week for the Insurance Card to be delivered. Once the Card is received, the Insurance list is
updated mentioning that the card was received. Dubai Admin / local Admin Officer informs the
employee to collect the Insurance Card and records acknowledgment signature that s/he has received
the card.

Policies and Procedures

Document Tracking / Reference Numbers

Dubai Admin/local Admin Officer tracks/records official letters that are being issued to employees
whether it is requested or issued for an employee.

Dubai Admin/local Admin Officer tracks/records official letters to have an assurance that letters given
to employees are official and approved by the Management.

Letters that are being tracked are the following:


 Performance Letters
 Salary Transfer Letters
 Salary Certificates
 Letters addressed to Embassy
 Termination Letters
 Employment Certificates / Experience Letters
 Offer letter Amendment
 Confirmation Letters
 Extension of Probation Letters

Tracking sheet shows the following details:

 Name of employee (to whom it was issued)

Document Tracking sheet is saved under HR Folder, saved by a file name of Document Tracking Sheet in
excel format. *Go to HR Folder – Document Tracking Sheet Folder – Open Document Tracking Sheet
(excel format).

Tracking orr reference numbers starts with 0001, continuously numbered and then dash (-) ( with 00,
which indicates the year it was created. The last number on the sheet shall be the reference number of
the official letter. Once you open the letter template (which ever it is), open the document tracking
sheet and get the last number as the reference number of the official letter you are creating.

As shown in the screen shot example above, the last reference number useused was 1482,
1482 this shall be seen
in the upper left side of the letter as BCI/HR/01482-09. On the next letter that you will create the
reference number shall be 1483 as this is the next number after the last issued letter.

There will be cases that letters made and that was given to the Direct Manager or Unit Manager to
present it to the employee however is not given to the employee, the letter should be cancelled. The
Direct Manager or Unit Manager shall inform Admin and HR if they have given the letter to the
employee or not. Admin will update the document tracking sheet by marking the whole row in red and
put in remark that the letter was cancelled.

Personal Loan Policy

What is the Loan Policy?


The loan policy is a benefit from Bayt.com to help our employees in case they need any
additional amount for any purpose.

Who is eligible for a loan?


Any employee who has completed a minimum of one year with Bayt.com

What is the loan amount?


The Loan amount should not exceed the equivalent of a one month salary of the employee.

How many loans can an employee request for?


An employee can request for a maximum of one loan per year

What is the payment schedule?


The Loan amount should be deducted in a maximum of 4 equal instalments, first deduction
being from the next payroll.

What is the process?

1. The employee should submit the request on Zoho


2. The Administration Manager will assess whether the employee is eligible as per the above policy
and then request for approval from the Direct Manager and CEO.
3. Only after approval from the CEO

If the loan is not approved:

The Administration Manager will reject the loan request on Zoho and mention the specifying the reason

Business Card Policy

At Bayt.com, Business cards are issued only for positions that involve client interaction. Hence,
Researchers (all offices) are not issued Business Cards.

As a company policy:

1. Business cards are issued only for confirmed employees


2. For employees who transition into a new role, Business cards are issued subject to the approval
of the Regional Manager.
3. Job Titles are not mentioned on the Business Cards except on discretion of the Department
Head.
4. For the Sales Department:
Job Titles are subject to the approval of the Regional Manager.
Current designations within the Sales Department include and are not limited to:

• Relationship Manager
• Relationship Manager – Enterprise

Flight Reservation

 Admin Manager/Assistant sends an email request for flight reservation for the Baytheads
traveling outside UAE.

of the person traveling.
Information needed by the travel agent:
• Passenger’s name(s) as per passport copy.
• Travel dates: departure and return
• Sector: Person coming from and going to
 Travel agent sends flight options which will be forwarded to the Admin Manager for approval.
 Once approved, sends out an email to the travel agent to purchase the ticket.
 Travel agent sends you the itinerary which will be forwarded to the Admin Manager/Assistant so
they can inform the passenger his/her trip details.
 Prepares the LPO and givess it to the Admin Manager/Assistant
Assistant for CEO’s signature.
 Once signed, scanss the LPO and sends the copy to the travel agent and ask for confirmation.

REMINDER:
a) Never purchase the ticket unless you have the approval.
b) Always ask the cheapest flight option.
c) Compare fare rates to at least three travel agents.

Travel / Training Allowance Policy

All Business travel is approved by the CEO. All Bayt employees who travel for business purposes are
entitled to economy class tickets. Only Management (Grade 9 and above) will be provided with business
class tickets, subject to approval of the CEO.

As a company policy:
 All employees who travel for business/Training purposes are provided with Hotel
accommodation
modation and a daily allowance equivalent to AED 125/

Resignation and Termination Procedures

Should an employee resign or have been terminated:

Admin will receive a notification of resignation or termination email from HR Specialist/Direct or Unit
Manager. The email should mention the last working day of the employee that Admin can prepare the
Exit Documents prior to his/her last working day.
 Resignation email/Termination should be saved in the soft and hard file of the employee.
 Files should be transferred to the Resignation Folder
 Prepare the Exit checklist
 Admin Manager will coordinate to Accounts for the Final Settlement.

Petty Cash Policy

Petty Cash refers to the small amount of cash funds kept at hand in each office for making immediate

If a Bayt employee purchases items not mentioned in the above list, he/she will only be reimbursed if
approved by Bayt Finance.
If a Bayt employee utilizes petty cash to purchase items not mentioned in the above list, petty cash will
be reimbursed if approved by Bayt Finance

Bayt employee’s salary.

Responsibility towards Petty Cash


It is the RIGHT of the Petty Cash Caretaker to:

Alternative Custodian
In case the assigned Petty Cash Caretaker is planning a leave of absence, the Business (Unit) Manager
must ensure that a substitute Caretaker is available and suitably informed of duties.

Dubai Office Petty Cash Flow

 Personal Assistant sends petty cash report to Finance before 3rd of each month.
 For cash replenishment, original receipts should be forwarded to Finance.
 A request should be submitted when there is only 1,000 cash on hand. Monthly petty cash
allowance is 5,000 AED.
 For direct reimbursement, original receipt has to be signed by the person who paid for the
item/service & signed by the direct manager.
 For advance payment, petty cash voucher has to be signed by the person who received

 Double checks the prices with the corporate rate list and prepares the final LPO.
 Forwards the LPO to the Admin. Manager/Assistant so they can check your order and get CEO’s

 Upon delivery, double checkchecks the items delivered especially the cartridges codes and brand

JORDAN LPO’S

1. Admin. Manager will send an email to print the LPO(s) attached for filing or Admin.
Manager/Assistant will print the LPOs and handed over for filing

LPO will be send to the Administration Manager with the approval email/Quotation for CEO’s signature.

Reception

A warm smile always gives a positive impression to the guest. As a front line, the impression received in
the reception is the impression for the company as well.
Ask for the relevant information from the visitor:
 Name
 Company name
 Name of the concerned party whom he/she needs to meet with

Check from the Google calendar if there is any specific room booked for the meeting and direct the
guest accordingly, offers drink: water, tea or coffee and notify the concerned party

Receiving a call
 Receptionist answers calls in a professional manner with a warm welcoming tone
 It is important that calls are not abandoned. If in case a call is missed, it is a must to return a call.
 If the person is not available, always take a message from the caller. Get his/her details and send
an email update to the concerned person.
Transferring a call
 Ensure that calls are transferred to the concerned department accordingly.
 For sales related inquiry, always check in the CRM who is the assigned RM.

Sending Courier (International or Local Courier)

Sending / Outgoing Courier


 Complete the Air way bill sheet (AWB) by filing out the needed information
 Call Courier company and arrange the pick up
 Note down the reference number given by the customer service representative
 Send out an email
mail update to the receiver putting in detail the AWB number, date of pick up and
to whom the contents/envelops inside for
 Upon sending, put on cc: the person who requested the parcel for courier (HR/Admin, Sales,
Accounts, Management, etc.)
 For personal shipment, always ask for an email confirmation regarding the payment. After so,
forward the said email to accounts
 Keep track of the outgoing parcel by updating the monthly courier report

Attendance System – Time Trex

It is the duty of every Bayt employee to duly register their arrival and departure from the office using
the fingerprint reader called TimeTrex.

TimeTrex is a payroll and time management software that tracks each employee’s attendance

out log. This log assists Bayt Finance and Bayt HR with monthly payroll
and leave calculations.

TimeTrex is located at the entrance of each office. Every employee is responsible for the verity of their
attendance andd departure as doing so directly affects the payroll to be paid to the employee.

How does non-registering


registering in TimeTrex affect each employee?

Unaccounted registration / absences are considered as unpaid leaves and the amount is adjusted in
payroll. To be accounted, the
he absence must be approved by the employee’s line manager within 3
working days from the date of absence / missed punching.

To log in to Zohopeople, go to the URL: www.zohopeople.com

Type in your username and password (ensure that you created the account as per the guidelines
mentioned in the email sent out by Dubai Admin)

Apply Leave: this iss a history of all leaves that you applied and leave status; whether approved, rejected,
or still pending for approval: leave type, from

Let’s start by knowing how to apply for certain request. You will notice different forms or requests. But
the most important ones that you will use frequently are “Leaves” and “Letters”.
Go to Forms and click on Add from “Apply Leave”

Once clicked on add, the leave details will appear to you in which yo you
u will start filling the required
details – check the “Stars”.
In Leave type, you have to select first the leave that is related to your respected region, and then choose
the leave type accordingly. Note that some leaves apply to all offices: UNPAID leave, CSR leave,
Emergency leave, and Religious holiday leave.
Once done, click on “Save”. The leave request will be sent to your direct manager for approval.

The other important request is Letters for bank or embassy.


From Bank, EMB (Embassy), DIC (Dubai Internet City) Cert’s (Certificates), click on Add

Once clicked on add, the letter details will appear to you in which you will start filling the required

Choose the letter type as per your needs. Once all details are filled in, click on “Save”. The request will
be forwarded to HR for approval.
