Applying for Masters in Germany: step by step guide

- Apply for passport AS EARLY AS POSSIBLE


- Get passport sized pictures
- Get all documents scanned (certificates, work experience letters,
transcript,degree,O A level results etc. all documents)

- IELTS (6.5 or above): British council website… Register for IELTS … book a date
that’s convenient… pay the fee within 1 week….prepare by IELTS material that
British council emails or through YOUTUBE –LIZ videos etc. take copies of CNIC
and print of mail along with you on test days.

and/or English proficiency certificate ( from university that clearly mentions that
the 4 year BSc program was entirely in English and the student has a good command
over the language)

- Transcript and degree attested from HEC along with O A level attestation and
equivalence: Make an account on HEC portal… upload all scanned documents...
Register. ..Book date.... take CNIC with you on date given along with printed
documents ; challan form, appointment sheet/mail screenshot, all documents that need
to be attested and 2 sets of photocopies. In case you have registered incorrectly or you
decide to get an extra set of photocopies attested, on the day of
attestation/appointment ask the person on first counter to change it.

- In case your degree is not issued yet : Get a print of official transcript from
university. Also, please make a note of the anticipated date of issue. Get documents
of the corresponding transcripts for each degree, including your cumulative grade
point average (minimum requirement is the proof of credits of the term before last)
AND THE GRADING CRITERIA OF YOUR UNIVERISTY.

- Decide what subject you want to pursue masters in- write down a
MOTIVATIONAL LETTER for it. Maximum 1.5-2 pages.

- To convert Pakistani CGPA to German grade use this site;

You can take a screenshot and attach it wherever required.

- Get at least 5 reference letters from 2 professors/teachers (5 from both, that makes
total 10refernce letters). Make sure they are signed and sealed. Also request them to
mail you the scanned copy of the same letter because at times you’ll have to upload
the letter on online portal etc.

- If you have worked on FYP or any project or research/thesis, make a 3-4 page
summary of that work. Keep it short, to the point and make sure you know the details
just in case you have to appear for an interview or test. Few universities ask for this
summary- also it is a plus point.

- Get your documents notarized. Maximum 5 copies of each document (for example: 5
transcript copies. 5 degree copies etc). Charges. Rs 8-10 per page. Any lawyer can do
that.
- Get all documents scanned after attestation and notarization Convert these scanned
documents in PDF format, and compress them as well. This will help in uploading
them at various portals etc as most of them ask for PDF format files and have a limit
for size. Change into pdf and compress, also make a combined pdf for all university
certificates, all university degree/transcript/equivalence or O level result and
equivalence etc.

- Search on DAAD.DE website –use FILTERS to narrow down your search and get
to your desired courses without wasting time. Filters are on the left hand side of the

Open all the courses that appeal to you, in a new tab.

- Make a word document for desired courses: Easier way to keep a track of all
courses, deadlines,etc. For any course that you find interesting; write the course
name, university name, and important details like deadlines, application requirements,
address of university, mailing address for any query, application via uni-assist or
direct application and any other information so all the things are at one place.
CHOOSE AND APPLY FOR AT LEAST 3-5 PROGRAMMES.

- Create an account on uni assist portal. https://www.uni-assist.de/en/ ( top right,


first option) List out all universities that require application through uni assist. Find
the universities by clicking on “SEARCH STUDY OFFERS”, left side of the page
after you log in. Create applications for desired study programs. .

- Tackle each application one by one: Upload documents, fill the application form,
save the files. You need to upload most of the documents once (degree, results, work
experience, reference letter,IELTS result etc.) but make sure to upload specific letter
motivation for each university. Give the files proper names.
- Print all required documents and send them to uni assist: For each program, print
out application form from uniassist, attach all documents (motivational letter and
recommendation letter etc) and make a separate folder. Recheck all documents in
each folder and the required document list of university as well as uniassist

Put all the folders/packs in one FEDEX/M&P package and send.( can send via any
other service but this one is reliable, comparatively cheap and documents reach within a 4-6
days) Ask for student discount/charges that will cost you 2180RS.

- You can send one set of documents for multiple programs if applying through uni
assist. EXCEPT FOR MOTIVATIONAL LETTER AND REFERNCE LETTERS
AND APPLICATION FORM (obviously). For all the other documents like; passport
scanned copy, Ielts result, transcript, summary of thesis etc, make one set of all these
and send it along with the applications. You do not need to put separate copies of
transcript for each university or application. Make sure you mention uniassist
applicant number on your documents.
- Pay uni assist fee : Mentioned on portal, pay the amount to uniassist so the
processing can start as early as possible. https://www.uni-assist.de/en/how-to-

Uniassist takes 2-4 weeks before processing documents so make sure the documents
reach them as early as possible. Just in case you get late, make sure the documents
reach before the university DEADLINE. For example, if university deadline is 25
august, your documents must reach uniassist on 20-23rd august. Better to send them
earlier.

- For all the programs that do not require uni assist, make sure to find the right
detailed address of university. Fill the application form, attach all necessary
documents and dispatch as early as possible. FedEx/M&P charges 2180Rs for one set
of documents/one address. You can apply for 2-3 programs of same university and
send them all in one package (the application forms and documents must be separate
for all programs though. Also clearly mention the program on set of documents or
make 2-3 individual packets, write name, program of interest etc on each pack and
put all of them in one FedEx/M&P package).

- Universities respond usually within 1-3 months some might contact earlier than the
given time. Make sure the email ID and other contact details you provide are checked
regularly. Do keep a list of email IDs of people from each university whom you can
contact in case of any issue etc. (usually each university website has a contact page
with such details). Remember, uniassist only checks and forwards your
application/documents, they do not guarantee admission so it is better to directly
contact university for enquiries related to admission.

- Punjab and KPK residents: Register for Visa appointment at least 5 months prior to
enrollment deadline of universities (take a rough idea of enrollment dates of all
universities you have applied to ). Apply to German embassy Islamabad for
appointment.

- Documents for Visa interview :

Prepare your documents and bank statement for visa interview. Approximately 8640 euros are to
be placed in a blocked account (for scholarship holders: you need the scholarship letter and its
