Word processing refers to the use of a computer program to prepare and print
documents. Through this software, a user enters the text with the help of input
devices. views it on the monitor. changes it as necessary, saves the document on disk
and gets a hard copy of it from the printer.
Other useful functions of word processing software are setting of margins, line
spacing. automatically wrapping the text around the margins inserting, deleting, and
searching the document for a particular sequence of characters, underline, boldface or
italicized material. An important operation with word processing software is the
ability to electricity "cut'' or ''copy'' a block of material from a document and "paste'
it any number of times, somewhere else either in the same or some other document.

Some advantages of using MS-Windows include these factors:
• The ability to run more than one application at a time.
• The ability to copy and move information .among application.

• The ability to display on the screen what you will get from the printer.

What are the different levels of formatting a document?


Answer:
The changing of the appearance of text in a document is referred to a text
formatt.ing. There are (our difterent levels of text formatting .
CHARACTER FORl\1ATTING
Selection of typeface. font sizes and styles for text is called character
formatting. The most common way to emphasize text is to apply bold face, italic or
underline character-formatting styles.
PARAGRAPH FORMATTING
· A paragraph varies in length from a single line to a full page, and may
formatted independently from the rest of the document. Paragraph formatting
includes text alignment; line spacing, indentations, tab settings and borders.
SECTION FORMATTING
Section formatting specifies page number, headers and footers for different
sections or chapters of a document.
DOCUMENT FORMATTING
Document formatting specifies the overall page layout for printing. [t includes
choosing the paper size page orientation and margins.

Q.8: Why· is it significant to know that the default mode in word is the
Insert mode?
Answer:
In in sert mode. text is inserted into the document at the insertion point. This is
the default mode. When yo u type any character it appears at the insertion point while
the ex istin g text on the right moves forward to make room for the new text.

Q.9: Why is it important to close a document before retrieving another


file?
Answer:
When yo u are working on a docu ment a reco rd of what yo u enter is .kept in
the co mputer· s memory. If the computer is turned off, or if there is even a momentary
interruption of povver t the computer~ every thing in this memory will .di sappear and
· ~1 Ii ~ ·o ur vvork \ vi 11 be lost if you ha ve not saved it. Therefore it is necessary to save a
document before v'vt retrieve another fi le.

TYPEFACE

There are two general categories of typefaces: surf(and sans ser{f Sans serif
typefaces are composed of simple lines, whereas serif typefaces use s1nall decorative
1narks to em be I Iish characters and make them easier to read. Hcl vetica is a sa ns serif
type and Tin1es Roman is a serif type.
FONT
A font is the combination of typeface and other qualities. such as size. pitch.
and spacing. For ex.ample, Tin1es Roman is a typeface that dcfin~s the shape of each
character. Within Ti1nes Ron1an. however. there are many fonts to dioose fro1n --
different sizes, italic, bold, and so on. (1 he term f(Jnl is ohcn used incorrectly as a

Answer:
Before you pass a document for printing, it is better to look at the document
how it would appear when printed. Word provides the facility to preview document in
full-page display before sending them to the printer. There are two modes available in
print preview, which are as follows
• Zoom Mode
• Edit Mode
Select Zoom mode to view your document or edit mode to modify and format
your document without leaving print preview.
