OVERVIEW & PURPOSE

Digital Newsletters have become part of the fabric of student affairs work to showcase department and
area highlights. A newsletter allows an organization to help tell its stories. These stories are meant to
evoke positive memories, motivate action, and inspire giving in all forms. The purpose of a Recreation
and Wellness Center digital newsletter is to tell powerful stories that stimulate feelings in our former
employees which reconnect them with the transformative work we are doing in the field of campus
recreation. As they establish that bond our hope is it might inspire opportunities to for future gift giving
with a program area of their interest.

TIES TO THE COLLECTIVE IMPACT

1. Harness the power of scale through storytelling.


2. Deploy our distinctive assets particularly inclusive recreation storytelling.
3. Create partnerships at every level through alumni outreach.

OBJECTIVES

1. Conceptualize, development, and circulate a newsletter that showcases story telling through the
student staff perspectives.
2. Build an alumni database of former Recreation and Wellness Center Alumni through social
networking, social media, and surveying.
3. Develop a creative and innovative of student staff writers who can help showcase impactful
stories from their own program areas.
4. Publish quarterly using an email distribution software (ie. Mailchimp or Constant Contact) to
ensure consistency, ease in distribution, and a promise of sustainability to our audience.
5. Develop student staff writers who can train future staff writers and ensure a smooth onboarding
process due to graduations or resignations.

MATERIALS NEEDED
1. Database of RWC Alumni built through:
a. Word of mouth
b. Qualtrics Surveys
c. Social media accounts:
i. RWC Facebook
ii. Twitter
iii. Instagram
2. Email distribution software (assess which accounts work best)
3. Staff writers
4. Google document or OneDrive sharing
5. Cameras, and video editing software through Adobe Creative Cloud

ASSESSMENT
Steps to check for student and alumni feedback
1. Annual assessment or satisfaction survey link in the the fourth newsletter of the year.
2. Contact information for all RWC Program areas within each section of the newsletter.
3. Create a “Meet our staff writers” section complete with contact information.

TIMELINE
Estimated time frames for building database, securing volunteer staff writers, and production of layout
1. June 4-June 8, 2018: Create outline and mission outline
2. June 11-June 15, 2018; Begin to build database of alumni through networking, surveying and
social media distributions
3. June 18-June 22, 2018: Began staff writer outreach with program leadership, outreach to other
campus recreation schools for email and design ideas,
4. June 25-June 29, 2018: First Staff meeting, and story idea exchange, Brainstorm on newsletter
name, schedule deadlines for first issue, chose distribution service, and work with marketing team
on design and layout,
5. July 2-July 3: Approve on design from Associate Directors and Executive Director, Story
assignments, continue to design layout, titles for each program area, work with Executive
Director on content for his first letter to our alumni and create title for message.
6. July 9-July 13: Deadlines for first content, create an introduction video to add to the newsletter
with testimonials from student staff on the power of storytelling, piece to layout together.
7. July 16-July 27: Edit content for consistency, grammar and spelling, piece together layout, and
finalize email distribution database for volume 1.

8. August 3-August 10: Distribute first ever RWC Newsletter
