III. DEFINITION OF THE TOPIC:

3.1 Project Context


Today, the computer is used in every field and has made our day to day task very
easy. It can operate and process data accurately and faster. Computers also minimizes the
time and effort of doing task and helps people do their work better and easier just like in
Booking Tour System.

Booking Tour System is a Reservation System for tour and sightseeing trips. This
system helps Travel Agency in their daily activity by booking one step at a time dealing
with seat allocation, accommodation choose, and pick-up point selection. Booking Tour
System also had payment processing.

Journey Begins (JB) Educational Tours is an agency that offers educational tours
and other packages to their clients. They are accepting reservation and booking and offers
Education Tour Package, Team Building Packages, Environmental Science Show
Packages, Kidz Play Packages or Journey to the South & North Packages. It was
established last 2016 by Mrs. Virginia S. Dela Cruz at 088 Likod, Bisita Poblacion Loma
De Gato Marilao Bulacan. Their office has four staff that consisting of The Booking
Officer, The Finance Officer, Account Executive, and a General Manager. Their Office is
Available at 8:00 am to 5:00 pm. JB Educational Tours has an average of 10 client school
per month.

There current Booking process of the JB Educational Tours starts with the Account
Executive as she outsources or find clients here in Bulacan and offer variety of custom
packages for tours. She has to present and explain the details of each packages to their
client’s door to door. She has to wait for the client’s decision whether to accept the offer
or not. Upon confirming the offer, the client has to give the information needed for booking
such as the desired package, contact details, and time and date of the tour. If the Account
Executive gets the client she will report it in the Booking Officer. Then the Booking Officer
will check their reservation and the booking details if it is not conflict to any reservation to
inform the client for any adjustment to their booking details. Then the Finance Officer will
compute their expenses in the bus, incentives, venues and mark up. Then the Finance
Officer will report the computed amount to their General Manager and then the General
Manager will approve the bookings of their client. Then she will inform the Booking
Officer to issue the booking contract. Then the Account Executive will go back to their
client to fill out the contract form including the booking details and its signature.

All Booking contracts that will be collected and placed in a blue folder and placed
it in a file cabinet. Booking contract has the terms and condition of the agreement regarding
the Payment, Rescheduling, and Cancellation.

For the payment, a week before the tour or at least two weeks prior to the scheduled
tour or trip, they will collect the 50% down payment. The remaining balance will be settled
before the departure. All check payments will have to be cleared at least three days prior
to scheduled trips. Allowing rescheduling or changing of time and date of tour or trips will
be forgiven at least one month before the scheduled trip. Cancellation of scheduled trips
must be at least one month from the scheduled trip. If cancellation has made two weeks
prior to the schedule due to any reason, 20 % of the contracted price will be forfeited.

Going to and pro to the prospect clients gives a hard time to the Account Executive
or to any represent of the travel agency. They are having a manual process when it comes
in retrieving of book information whenever there is a rescheduling or cancellation of trip.

The area of outsourcing their client lies only on Bulacan and Tarlac. As of now they
are targeting school within this area since finding other client away from this location is
costly to them and requires them manpower. However, they are planning to expand their
business and gather more client aside from school. But on their current situation their
opportunity to find more client is very limited.

There current business hours only open in 8:00 am in the morning and closed at
5:00 pm in the afternoon. Client’s booking beyond the business office hours can no longer
be accommodated and entertain since the working staff is not available. However, they can
still accept inquiries thru phone calls.

The File on their office can be seen by any of their staff since there are no file
confidentiality on it and different booking contract are filed together in one blue folder.

Apparently, their promotion of their service is done thru Facebook. The events,
announcements, and their services offered is also posted in their page. Facebook is essential
in any promotion of business because of its easy management and user-friendly
environment. However, the management of user paged is limited in some ways. Such as
content, layout, and feedback management.

The proposed online Booking Tour System for JB Educational Tours which will
provide basic processes of the booking and reservation, will inform their clients regarding
the promos, freebies etc. and will provide quick or immediate retrieval of client’s
information. A system that will provide access to the clients through internet in booking
and reservation.

3.3 Objectives of the Study


3.3.1 General Objectives
The general objective of the study is to develop an Online Booking Tour System
that will provide client’s assistants to the JB Educational Tours with regards to their
daily transactions.

3.3.2 Specific Objectives


The study specifically aims to:

1. To develop an online booking system that will allow clients outside the area of
Bulacan to do inquiry and reservation

2. To create a fulltime availability of booking services through online transaction.

3. To design easy customization of and user-friendly website for promoting their


services and events.
3.4 Purpose and Description

This part of the study will discuss who will benefit the most of the system
development, this includes:
3.4.1. Journey Begins Educational Tours

The system will be a great help to the JB Educational Tours in managing


every transaction such as booking, reservation or inquiry of their clients. The
system will be helpful in organizing information, maximizing the system’s capacity
and retrieval of information.

3.4.2. Owner

The system will be helpful to the owner in managing each request and
inquiry of the clients. It will be a great help in attaining everyone’s goal in the
business which more profit gaining.

3.4.3. Client
The study will help the clients by providing them easy access on the agency
with great mobility. It will help the client feel at ease when providing their personal
information used for booking.

1.3.4. Proponents

The system will help the proponents apply their knowledge and skill in
developing a project as partial fulfillment of the Bachelor’s degree.

1.3.5. Future Researchers

The system will help the future proponents to provide and guide them in
relation with this study.

3.5 Scope and Delimitations of the Study

The study focuses on developing an Online Booking System for the JB Travel
Agency that will provide basic booking transaction such as Inquiry, Booking and Payment.

Inquiry module will have the capability to allow a client to make conversation
regarding the reservation or booking. In this module, comment or feedback about the
services from customers can be posted. Availability of the packages, price and process of
tours or trips will be displayed in this module.

The booking module will be capable in accepting and confirming bookings. It will
validate the information from the client in the inquiry module. It will able to notify the
client if the desired schedule has been already reserved or free.

Payment module will have the capability to compute total cost per each booking,
calculate the discounts or promos if necessary and accepts payment through Online
Transaction. Payment could be in a form of cash (Payment upon Arrival) and credit card.

System or user’s account will be distributed to the General Manager as


administrator, to the Account Executive, to the Booking Officer,to the Finance Officer, and
for the clients. Each account will be given access rights depending on their position.

The system will provide user’s and tour management for maintenance. User
management will have capability to make basic changes such as adding, updating and
activating and deactivating accounts. Even the registered clients could have user
management specially in changing username and passwords. Tour management will allow
the user to add or update availability of slots or schedule.
The system will be having utility modules such as Backup and Restore and Audit
trail. Audit Trail will provide monitoring of the events or actions done by any user. The
system will allow the administrator to manually or automatically back up data.

The study will be developed through Wide Area Network or online. Physical
components such as printer will be needed to print the generated daily, weekly or monthly
reports such as sales, tour packages, audit trail, total bookings, inventories and total client
count.

The study will focus only on the Tour Booking System along with Luzon. However,
inquiries from Visayas, Mindanao and abroad can also be assisted with the presence of
their relatives here in the Philippines. The online Tour Booking System can only be
accessed through the use of internet. Automatic Backup can only be done until the
administrator sets the time, and location of the files to backup. In this study, proponents
will be using MySQL Query Browser, Twitter Bootstrap, Window Based OS.
