General Rules
1. Bidder Identification. Each attendee (or couple) has a pre-registered number located on
the inside back cover of this bidding book that must be used for all bidding.
2. Services and non-tangible items (gift certificates) must be used within one year (March
30, 2020) unless otherwise specified.
3. Removal of sold items must be accompanied by a PAID receipt on departure and must
be taken from ACA Wilmer Bassett Gym on the evening of the auction unless other
arrangements are made. ACA is not responsible for lost items.
4. Condominium/Vacation Home conditions. Arrangement for the use of a condominium
or other privately owned property is subject to agreement between the donor and the
winning bidder. Specifications in the book are those made by the donor. ACA holds no
responsibility for their representation. Any cleaning or amenities charges made by the
Condo Associations or owner will be borne by the purchaser, as such charges are
variable.
5. A payment in full on the evening of the auction is mandatory unless other arrangements
have been made with the cashier.

Live Auction Rules


1. The Live Auction will begin at approximately 7:15 p.m. and continues until all items have
been auctioned.
2. To bid on an item during the Live Auction, the bidder’s numbered bid book must be
raised as the stated bid is made. Spotters stationed throughout the room will indicate
bids to auctioneer.
3. The winning bidder’s book number, the item number, and the final bid amount will be
recorded and transmitted with the item to the cashier.

Silent Auction Rules


1. Silent Auction tables open for bidding at 6:00 pm. White tables (clearly marked) will
close at approximately 8:15 p.m. Blue tables will close at approximately 7:00 p.m.
2. Each item in the silent auction has a corresponding bid sheet. To bid, the bidder’s
personal number and the amount bid must be written on the next blank line available
on the bid sheet.
3. Each increase in the bid must equal or exceed the minimum increase figure stated on
the bid sheet in order to constitute a valid bid.
4. The last bid on the sheet is the winning bid, provided it meets aforementioned
conditions. It will be circled by an auction official as the winning bid.

The following advisory is intended to help you more accurately determine the deductibility of your gifts
to Aucilla Christian Academy.

The IRS requires charitable institutions to provide adequate information to donors concerning not only
gifts in general, but also quid-pro-quo giving. Quid-pro-quo refers to donations made where some goods
or services are returned to the donor, such as auction purchases and admission. Current tax laws also
state that cancelled checks are no longer adequate proof of a single gift or $250 or more. A written
receipt or letter is now required and it must specifically state if any goods or services were received by the
donor in return. Otherwise, the IRS may not allow the deduction.

At the conclusion of the auction, we will provide you with a receipt declaring the estimated value of any
goods or services received.

Regarding auction purchases, the price paid for an item/service generally is NOT the deductible amount of
the gift. The purchase price of the item less its fair market value (FMV) is the gift amount/tax deduction.
This is shown in the example below. In addition, purchases of chances for raffles, etc. are generally NOT
deductible because the IRS states the FMV received is the “chance” to win a prize.

Admission donations can be partially deductible by the amount the donation exceeds the fair market

item(s). If you are the last bidder and it is circled, you are the winning bidder. Please
collect the bid sheet, your item or certificate from the clear frame and proceed to the
Silent Auction Only Checkout. Remember to request any additional cards or certificates
that are available for your item at the checkout table.

Live and Silent Auction Items


Silent Auction items will still be the same as above, collect and then proceed to Live
Auction Checkout. The checkout line will be divided by the Bidder numbers. Please
proceed to the checkout station with your bidder number. You will be presented with
Live and Silent bids your number attained. If any of your items have certificates, you will
get them at checkout. All bidders who purchased items will need to come to the
checkout prior to leaving. You may checkout with cash, check or credit card.
