Executive Summary

My motivation behind this project was to learn operational skills in project management
domain plus help and assist my father in our own business I was particularly interested in
observing the variations that occur in summer season because this business observes the
seasonal trend and it hits its peak in summer season so the summer season in this business is
very interesting.

completion or output of each task is related to other task.

The start date of my project was 10/05/2016 at the initial phase I have started with relation
management at automobile parts shopkeepers and petroleum owners this relation
management phase went on for the beginning of the two weeks of my project as it also
included the interaction with the site supervisors from customer side and to know what
problems they face to fulfill the order.

During the 3rd and 4th week of my project I learnt some skills of operations management as the
GPS providers had provided the mobile application so that I could personally track the trucks
from my mobile phone and also analyze the shortest route from the feeding point of the tanker
to the delivery of the water. Also the GPS system helped me to keep track on the mal-practices
of the particular tanker.

During 5th and 6th week of my project I studied some HR skills as to hire drivers and cleaners for
my organization the facts that were taken into consideration was
1. The experience of the driver
2. State Mentioned on the license of the driver.

During 7th and 8th week of my project I learnt some marketing and quotation preparation skills
as I had to prepare quotations and deliver it to every site before summer season as in this
season the trend was high rates for tanker and shortage of water as we as a supplier also
suffered water shortage.

As in the end of the 8th week it was my time to derive the conclusion out of my project hence
after data analysis and interpretation I went through that step.

Introduction:

was Pune city was near to Mumbai thus builder lobby in Pune was increasing. At the same time
the demand of bore-well water was also increasing due to increase in construction.
At the beginning Ulhas Katke and his brother started the business with two tankers in
the year , efore i s they ere i the usi ess of ri er sa d supply but as the time
passed the government norms on river sand supply became stricter and stricter it was difficult
to deal with the emerging new regulations for the use of river sand as the river sand business
went on to decrease they had no choice but to change their business.
From two brothers and two tankers in 2001 the business grew up to 10 brothers and 40
tankers as the success went on to increase from the initial stage 8 cousin brothers of Mr. Ulhas
Katke joined his business. The name of the business was given as Shri LaxmiNarayan Transport
Service it took 16 years for them to expand their business all over the Pune city the tanker
quantity is 10000 liters per tanker and rates are based on seasonal demand.

1.1 Basic Theoretical Concepts and Context of the Topic:

Basic concepts related to the topic are:

1. Relationship Management:

To manage the relation with the shopkeepers of spare parts or automobile parts it becomes a
important aspect as some times the cash outflow increases were there is no cash inflow or in
hand also payment for diesel required for trucks here the relation with petroleum owners
become important.

2. Human Resource Management:

In summer season the demand of drivers and cleaners is high but in rainy season the demand is
less so these human relations needed to be managed and given appropriate priority as
accordingly the salary is also high in summer season and comparatively less in rainy season.

3. Marketing:

Making the quotations Keeping the competition in mind and also setting the price according to
the seasonal trends.

4. Financial Management:

Managing the overall working capital plus assets and liabilities of the transportation business.


The theoretical context: - I completed my internship of two months as an owner plus an
operational manager my internship was based on operations at Shri LaxmiNarayan Transport
service the title of the project was managing supply and demand of water tanker in summer
season.

1.3 Need for the study:

Why this study (Significance):- The water tanker business observes a seasonal trend in
summer it is as high as 90%-95% of the overall average business but in rainy season it is as low
as 50%-60% and in spring season it is 70-80%. Thus it is important to study the business trend in
summer as no other business gets this much hike in summer season also the reasons of the hike
are important like the city is totally dependent on rain water if in some year there is shortage in
monsoon then the business goes on an average of 80% throughout the year. 

1.4 Statement of the Problem:

As this is the only season in the year where some extra efforts are required. 

1.5 Objectives of the project:

1. As an owner plus student you enjoy both the facilities as you are the decision maker and
you yourself are worker of your own decision.

2. To gain knowledge about operational work in the business.

3. As operations is interlinked with all the three fields i.e. Marketing, Finance, HR you get an
exposure of all the three fields.

1.6 Research Hypotheses:

The prescribed hypothesis is:


The business is about 90%-95% in summer season as compared to other season it is 60% to
65%.

contextual scope: - in the context to operational management this business is limited to
heavy vehicles automobile i.e. Trucks and it also covers the facilities that are required to road
line industries.

The Analytical scope of the business is its seasonal trend as the business is on the rise in
summer season it goes down in rainy season the percentage analysis are as follows:-

1. Summer 90% to 95%.

2. Rainy 60% to 70%.

3. Winter 70% to 80%.

4. Functional scope: - Its functional scope is the three models that are covered in the earlier
phase.

2.4 Different Departments of the Organization:

1. Financial Department: This department takes care about financial concern of the
organization like giving salary to drivers and cleaners paying the bills of spare parts shopkeeper
owners and petroleum owners etc.

2. HR Department: To hire drivers and cleaners in summer season that are extra required and
again to reduce them in rainy season it is more like hiring employees on contract basis.

3. Operations Department:- to manage the maintenance and road line services for tankers
operational manager is hired as he also have to attend customer calls.

2.7 Current Status of the Company:

Currently under Shri LaxmiNarayan Transport service there are many sub suppliers it is as
outsourcing in summer season when the load is huge generally the need arises of outsourcing
the business to different suppliers also as the city is on increase there is a continues demand of
water even in summer season.

As of now there is no plan to increase the number of tankers the company is trying to form area
wise association to reduce the threats from new entrants in the water tanker market.

Sampling Design:

1. Define population with respect to project:


Here the housing societies and industries that require bore-well as well as drinking water are
taken into consideration the population of these sources is in thousands and hundreds hence
their requirement is also huge. Hotel range from small hotels to 5 star hotels are taken into
consideration also this business has a wide applications in many other fields.

2. Sampling unit:

Residential societies in undri are the sampling unit considered the particular society name is
California housing society and the population is around 200 to 400 people.

3. Sampling Frame:

Sampling frame is the set of information used to identify a sample population for statistical
treatment. In this case sampling frame is under construction sites, Residential sites and hotels
under Pune city.

4. Sampling Size:

For sampling size I have considered three societies namely California, Bizz-bay, Hills & Dales.




Observations:

For this particular project my source of primary data collection was purely a observational
process as an owner plus an operational student of the organization. From the day one of my
internship to the last date of my internship I had gone through a very good experience of
operational management the operational part in the business was to find the shortest path or
shortest route from source to destination using GPS device that is fitted in each tanker. It was
also important that only one GPS monitoring company keeps the track of all 40 tankers as if
each tanker would have handled by new company than it would have created a mess.

2. Interview:

The regular discussion with drivers and cleaners makes the work environment friendlier also
they become a very important source of information to know the exact reason of reducing
profit and how the profit margin can be increased.
The interview process also helps in maintaining relationship with the shopkeepers of spare
parts owners and petroleum o er s regular discussion with this people help in reducing loss
and increasing profit margin. 

II) Sources of Secondary data collection:

1.Monthly report from site:

From the head office of a particular site first the purchase order is issued this purchase order is
sent to a particular sites supervisor than the supervisor according to Purchase Order issues
GR(Goods Receipt) to Shri LaxmiNarayan Transport Service so this GR becomes the secondary
source of information to me as an operational student.

2. PMC Documentation:

PMC keeps track of each water tanker supplier by keeping the GPS track report from the GPS
provider company for every 6 months the supplier must submit the document and all the
process in PMC now a days have computerized hence getting the information from PMC
database is my secondary source of information.

3. Informal Report:

Though this report is informal but it has an extreme importance in the business environment as
this report we obtain from watchmen of the sites and drivers and cleaners of the tanker this
report may be documented or many a times it is verbal it tells the number of trips particular
driver have done on a particular site also it gives a foresight that weather the particular
business is in profit or loss.



Now if we observe the above table we can interpret that during winter and spring season the business
remains in average position as there is no interruption or no need to change any strategy. Now if we

increase it requires more resources in the form of labor and more. In rainy season as the business hits
the low ground we need to reduce the resources.

Limitations of the Study:

1. The application of this study is only linked to service industry it cannot be applied to
manufacturing industry.

2. As this study is based on only summer season of the business the analysis of other season
may be approximate and not exact.

3. The study of finance and marketing done for this project limited scope.

As According to the norms of RTO (Pune) older tankers need to be replaced by new tankers
thus this organization is also in the same process of replacing older tankers to new ones.

Getting data ready for analysis:


Editing data 
1. The data received for editing purpose is in raw format so the person like me needs to make
this data editable like using tools like ms-excel.

2. To analyze and interpret the data we need to first collect the data from the field and then
interpret the data accordingly.


Coding data:
1. Here coding is the format in which we have to analyze the data for gaining the knowledge
about particular process.

2. If suppose to measure the overall trips of the month the raw data from the site is collected
but to make the concrete bill fixed coded data or purpose oriented data is required.


Looking at the above frequency table drawn we can come to conclusion that the frequency of
trucks on the NIBM road is more compared to the undri route and other routes also comparing both
the tables we come to know that the frequency of the bore-well water trips is more as compared to
drinking water trips as the construction in Pune is on increase and also people living in the
residential societies require bore well water for external usage purpose for washing clothes etc.

Looking at the response table we can analyze the response time of Shri LaxmiNarayan Transport

all from summer season to spring season in the given table.

For this business the major standard deviation occur in summer season for the first half of the
year as the business receives major hike of about 20% to 30% from regular flow. The second
deviation occurs in rainy season when the business hits its low ground as the 30 to 40 percent
of business is reduced in this period from the regular flow.

According to my study there is no correlation between the season trends this is independent
trend occurring with seasonal effects with no dependent cause.

D. Goodness of Data:

Reliability of the data is done on the analysis and interpretation of the data and how the data
can be used in the further decision making of the business the data I have provided to the
owner of the business helped them to control inventory and human resource in the rainy
season so that it can be used in other season mainly as summer and spring season where the
business is in real hike.

The validity of this project or report is applicable to this business in only Pune city as the
atmosphere in Pune or the season trend in Pune is like that as the city is totally dependent on
the rain water for its use and drinking purpose if the condition of drought arrives it become
boom in the business but at that time we also suffer from shortage of supply but as the demand
increases the rate goes high but still it is impossible to complete the overall demand vise versa
in the rainy season as the demand is low and the supply is abundant the rates becomes less but
as the winter and spring season arrives the business comes on normal track.

Thus this seasonal trend becomes the essence of the business as the business
continues in good flow throughout the year also the benefit of the rainy season is that we get
water availability in our business as our wells and bore wells get filled after rainy season so the
water available within it can be used in summer season so this is how the business cycle goes
on.

1. In the above diagram the two pie charts are given the first pie chart tells us about the
hypothesis that are linked with actual result in the next pie chart. 

Research Questions Answered:

The water tanker business observes a seasonal trend in summer it is as high as 90%-95% of the
overall average business but in rainy season it is as low as 50%-60% and in spring season it is 70-
80%. Thus it is important to study the business trend in summer as no other business gets this
much hike in summer season also the reasons of the hike are important like the city is totally
dependent on rain water if in some year there is shortage in monsoon then the business goes
on an average of 80% throughout the year.

As in this business it is very important to maintain a good relation with the automobile
part shop owners and the petroleum owners as every time it is not possible to get the
required material by giving cash as the payments from builders and residential societies
take six months to a year to recover thus payment to the shop owners and petroleum

This was the scenario of the organization before I joined for the internship as you can
see in the above table there are six different GPS solution providers for this transport
service agency as it creates a total mess for the manager to coordinate for the current
location of the tanker and to instruct the driver of the tanker accordingly. The GPS
system to each tanker was mandatory compulsion made by PMC to check that the
water from Pune city does not go out of the limits of the city so accordingly they also
keep track on the ongoing scenario also they are in coordination with the GPs provider.

5.3 Scope for further research:

1. The scope for further research is getting the water purified on private basis and
selling it at low cost then PMC.

2. As the filling charge of PMC water per tanker is 500 rupees so per day requirement
of Shri LaxmiNarayan Transport service is around 20 PMC tankers in rainy season and
around 40 Tankers in summer season.

drinking water by testing the water with some standard quality parameters.

2. This will in turn reduce huge cost of the organization and help the organization to
develop in future.

 As at first GPS device fitting seemed costly at first it has been proved effective in the
end.

 Managing your own business gives you extra edge because you are decision makers and
bearer yourself.

 Learning is never stopping process as a management student I have learnt to develop


strategies in deferent seasons.
My contribution: As a learning student I have experienced and gone through
responsibilities including PMC documentation and relation management.

Suggestions:

 As there is high requirement of human resources during summer season.

 The seasonal farmers are called for driving purpose and once the summer season is over
they are given enough money to go to village and start farming.

 The maintenance of GPS device fitted in all trucks must be done by single company.
