CIRCULAR
Dear Students,
The hostel rooms for the academic year 2019-2020 will be allotted based on the
seniority of the hostel students.
The hostel rooms for NRI / Foreign students / Non stipendiary research scholars
will be allotted as per their merit within their group.
For the purpose of Hostel Room Allotment Counseling the hostel students will be
categorized into three groups namely, G1, G2 and G3 based on year of study as
follows:
Group I (G1)
1. III Year – B.Tech and B.Arch.
2. III Year & IV Year (M.Tech. Software Eng. - Integrated) and M.Sc (Integrated)
3. I year M.Sc, MBA & MCA
4. II year B.Sc., BCA, B.Com. and BBA
Group II (G2)
The percentage of beds (for students in each group) will be allotted as follows.
Room Type G1 G2 G3
Single bedded 45% 45% 10%
Double bedded 45% 30% 25%
Three bedded 40% 30% 30%
Four bedded 30% 30% 40%
Six bedded 30% 30% 40%
Counseling Process:
NCGPA ranking (Serial No.) of the students taking part in the counseling
process will be displayed in their respective student login one day in advance
only.
Student, who is not in a position of attending the room counseling process due to
any unavoidable circumstance, may nominate a friend to attend the counseling
on his behalf and the authorization has to be given to the nominee which will be
verified and signed by the concerned Block Supervisor well in advance (at least
one week in advance).
For allotment of rooms, students will be called as per their NCGPA ranking
(Serial No.) in descending order (higher to lower). The highest NCGPA of the
student in the group will be considered as the NCGPA of the group in the shared
room allotment. In the shared room, room allotment will be done only if the
group has full room strength (Ex: For a 4 bedded room, 4 students should be
identified by the group to reserve the room).
Roommates:
o The students can select their room partners falling within that group only
(Example G1 with G1).
o Only the topper in the group will be allowed to enter the counseling hall
for selecting the room. During the counseling, the topper should bring
original student ID card of all the intended roommates and get the room
allotment for all of them.
Mess
o Initially Mess will be allotted to the students nearest to their allotted room.
Students can change their mess in the routine mess change process being
done every month.
Student has to pay an advance amount of Rs. 20,000/- (by way of Online Payment
or Demand Draft in favour of Vellore Institute of Technology payable at Vellore)
on or before 11th March 2019.
The balance hostel and Mess charges shall be paid between 1st April, 2019
and 25th April, 2019 to confirm your room allotment failing which the
provisionally allotted room will automatically be cancelled without any notice.
The students can pay their fee online through their student login using
Internet Banking / Debit Card / Credit Card or Demand Draft. Student can
generate their fee receipt online from their student login and get it printed.
Due to security reasons, hostel students will not be permitted to become day
boarders. However:
1. Final year students who want to become day boarders should submit the
Consent Form signed by Proctor with parent’s approval and Hostel Vacating
Form as per existing practice.
2. Other year students who want to become day boarders must bring their
parents in person for a meeting with the hostel authorities on 23rd and 24th
February 2019. After the meeting, if parents accept and sign the consent
form, then students will be permitted to vacate the hostel. This permission
will be granted only for unavoidable cases.
If a student has not attended hostel counseling AND has not taken permission for
vacating the hostel, then he will NOT be allowed for Fall semester (2019-20)
course registration.
NOTE: Once the group leader decides on a particular room type / block during
counseling that is considered final. No student belonging to that group can
later contest the group leader’s decision.
