Staging an Event - introduction

The main concern of staging an event are as follows….


• Theming and event design,
• Programming,
• Choice of venue,
• Audience and guests,
• Stage,
• Power, lights and sound,
• Audiovisual and special effects,
• Decoration and props,
• Catering,
• Performers,
• Crew,
• Hospitality,
• The production schedule, recording the event & Contingencies,

• The theme of an event differentiate it from other events…whatever


the event, once the theme is establish, the element of the event
must be designed to fit with the theme…..theme gives meaning to
an event….
• Programming – is the flow of the performers, speakers, catering and
the other element of the event over time.
• Choice of venue – is crucial hence determine many of the element
of staging…..
• Audience and Guest - consideration concerning audience
are…position of entrance & exists, arrival times, seating and sight
lines and facilities.
• The stage – all stage require a stage map..showing the bird’s eye
view of the performance area .
• Power & Lights – type of power, amount of power, emergency
power, position of the power outlets….light allow everyone see what
is happening…include signage light, exist, toilet etc

• Sound – principal reason so that all of the audience can clearly hear
music, speeches, and audio effects
• Audiovisual & special effect – fully integrated system of film, video,
slides and special effect
• Props & Decoration – skilled usage can make attendees feel as though
they are in an imagery world
• Catering – food serving…consumption of alcoholic beverages at an
event give rise to many concerns for the event manager….possible
problems arises hence careful consideration needed
• Performers – can range form music group to speakers
• The crew – human resource management
• Hospitality – major package offered to sponsors is hospitality….tickets,
food and beverages, souvenirs and gifts
• The production schedule – rehearsal & production meeting etc
• Recording the event – good recording and to promote company and for
evaluation purpose…if necessary to settle disputes..

• Contingencies – allowance for what might go wrong…electricity,


performer delayed, etc.

Summary
All events share common staging elements, including sound, light, food
and beverages and performers and special effects. The importance
of each elements depends on the theme of the event, hence to
stage a successful event, a number of tools are used as reflected
below
