Notes for Participants


in AOTS Management Raining Programs

These Notes provide the participant of Management Training Programs with the basic
information and conditions for
participation in AOTS Management Training Programs.

The participant should read these terms and conditions carefully and confirm
his/her acceptance by retuming the enclosed

“Acceptance at Conditions form” to AOTS together with the air ticket and its
receipt before the prescribed dgdline by e-mail.

The participant should obtain a passport and comply with the necessary immunization
regulations for the journey to
Japan. AOTS will not be responsible for any expense incurred in this procedure.

Afier obtaining a passport, the participant should apply for a “Training Visa" for
the prescribed period at the Japanese
Embassy or Consulate in his/her country by submitting the Guarantee Letter,
Training Schedule and any other
documents supplied by AOTS.

The participant should make photocopies of the Letter of Invitation, Training


Schedule and other documents sent from
AOTS and bring them to Japan for any clarification requested by the [migration
Officer upon an-ival at a Japanese
airport.

AOTS will not be responsible for any expenses incurred, or any troubles caused, by
obtaining the wrong kind of visa.
Visas for any countries other than Japan, if so needed, should be obtained before
departure for Japan, since no time can
be spared for such a purpose during the intensive training program in Japan.

Requirements for Participation:


The participant must attend all lectures, discussions, visits and ceremonial
programs arranged by AOTS, and
devote his/her utmost efforts to the training. No individual business activities
shall be expected during his/her stay
in Japan.
The participant is strongly requested not to have family members accompany him/her
during the training period in
Japan.
The participant should return to his/her country soon after completion of the
training program in accordance
with the AOTS Scholarship Rules and Regulations as the visa is only valid for
participation in the specified program.
The participant isrequested to arrive in Japan the day before the commencement of
the program and to depart from
Japan the day afier the closing day of the program in principle.
In the event that the participant has to withdraw from the training program, the
participant is requested to comply
with the following depending on the stage of his/her cancellation:

Before applying for a visa, the participant should return the ‘Letter of
lnvitation’ and the ‘Guarantee Letter’ to
AOTS immediately within one week.

Afier applying for a visa but before obtaining it, the participant is strongly
rguested to cancel the visa at the
Japanese Embassy/Consulate in his/her country and to inform AOTS of this within one
week, and to send
evidence of this procedure, i.e.l a copy of the canceled visa document, to AOTS by
e-mail within one week.
After obtaining a visa, the participant is strongly requested to cancel the visa at
the Japanese Embassy/Consulate

to make the visa invalid, and to send evidence of this procedure, Le, a copy of the
canceled visa document, to
AOTS by e—mail within one week.

4. Travel Arrangements:

Air Ticket

The participant is requested to purchase his/her air ticket for travel to/fi-om
Japan by him/herself in accordance with
the attached “Guidelines for the Arrangement of Air Tickets by the Participant”
(Attachment No. l). The participant
shall pay for the whole airfare by him/herself. The participant is entitled to
receive reimbursement up to the specified
maximum amount (amount of Standard Airfare Limits). Please refer to the attached
“Method of Reimbursement”
(Attachment No. 2) for details.

Note:

The cost of travel between the participants home and the international airport in
his/her home country, customs
clearance charge, excess baggage charge and any expenses other than those
particularly specified in these Notes
shall be met by the participant him/herself.
