FABRICATOR PACKING AND

SHIPPING PROCEDURE
1. PURPOSE
The purpose of this document is to outline the general procedures and documentation
requirements for the packing, marking and shipping of Baltec IES products in the absence of
client packing and shipping procedure. The client packing and shipping procedure, when
provided, will take precedence over Baltec IES Packing and Shipping Procedures.

2. SHIPPING PREPARATION PROCEDURE


2.1. Request for Packing List
1. Fabricator shall Notify Baltec that the items are ready for shipping at least two
weeks in advance of the date of shipping.
2. Baltec will provide the fabricator with a Packing List Template for all the items,
pre-filled as far as practicable.
3. The fabricator shall pack the Items in accordance with the provided Packing List.
In the event that changes are required to the Packing List, the fabricator shall
immediately seek approval from Baltec IES who, after ensuring the changes are
acceptable, will send a revised Packing List to the fabricator.
4. Baltec shall maintain control of the Packing List at all times and any changes
needed must be approved by Baltec.

2.2. Pre-Shipping Inspection


1. Fabricator shall notify Baltec that the packing is done and pre-shipping inspection is
about to be carried out.
2. While conducting the pre-shipping inspection, fabricator shall ensure that the
following requirements are met (Refer to Packing Specification):
o Item quantities are as per Packing List
o Items are correctly packed to ensure no damage can occur in transit
o Items are properly marked or tagged
o Proper packing list copies are attached
o Packing Inspection reports are made for each package
o All other shipping criteria's specified by Baltec IES are adhered to

Note: In order to carry out the Shipping Inspection properly, when applicable, the
Fabricator shall take care to keep the boxes open to allow easy access to all the items.
If the boxes are closed, the Fabricator shall be responsible for ensuring the contents
inside are packed suitably and are in-line with the Packing List

3. Fabricator shall send the Packing Inspection Reports to Baltec. (Refer Packing
Inspection Report Procedure).

2.3. Responsibility for Inspection


Fabricator shall conduct all inspections during the different stages of packing, on behalf of
BALTEC or the CLIENT, unless Baltec or the Client request to witness the inspection being
conducted.

3. PACKING SPECIFICATIONS

3.1. Proper Packaging


• Export packing shall be suitable and adequate to protect the goods against damage
during handling, loading, marine and inland transportation, offloading and storage at
the job site.
• Equipment that may be affected by humidity or water during transport or storage
must be packed in waterproofing packaging.
• Any timber packaging used shall be treated to ISPM15, unless advised otherwise by
Baltec

3.2. Item Tagging/ Marking
• Each item must be individually tagged or marked for identification (See Tagging
Template). If small items are supplied in bulk (e.g. Bolts, nuts, washers etc) they are
to be packed together in one package (e.g. bag, box, sack, etc.), then only the
individual packages need to be tagged.

• Large Items are to be marked individually. Marking will be stamped, engraved or


stencilled painted when physically possible and will contain the following:
o Drawing number and item number based on Baltec IES drawings
o The Country of Origin
o The Manufacturer/Supplier Name
o Unit Number, where applicable

• Handwritten tagging will not be accepted.


• Where possible items are to be grouped together with items of the same unit.
• Any tagging or marking will be done in English unless specified otherwise by Baltec.

3.3. Packing list copies


• One Packing List copy will be available inside the package and one copy will be inserted
in a strong waterproof plastic envelope attached to the package.

3.4. Package Marking


• Package marking will be inserted in a strong and waterproofed plastic enclosure
attached to the package.
• Package marking will contain (See Package Marking Example)
o Shipper
o Consignee
o Baltec Project Number
o Description of the Contents of the Package
o Package Number as indicated on the Packing List
• Hand written package markings will not be accepted.
• Where multiple units are shipped together it is recommended to utilize different
colour package markings to identify individual units

3.5. Break Bulk Item Markings


In addition to the package markings, break bulk items will also include the following:

• Gross Weight in kg
• Lifting / Handling points:
The lifting points will be clearly marked on the package for attachment of slings,
chains, etc

• Centre of Gravity

The centre of gravity in each axis should be marked on the Package – fabricator should
contact Baltec for advice if in doubt.

3.6. Temporary materials marking


• If any temporary packing, bracing or protection material is installed to the goods that
has to be removed prior its installation or commissioning at site, it shall be painted
bright yellow.

4. PACKING INSPECTION REPORT PROCEDURE


1. High resolution pictures of each individual item shall be taken with item tag visible and
clearly legible.
2. Multiple pictures shall be taken of each individual container and break bulk item showing
overall container as well as all container markings and package markings.
3. Picture will be compiled in a file with titles identifying each item and submitted to Baltec
for records.

5. DEFINITIONS/ GLOSSARY
Item/ Goods: An item is an individual article, a piece, an assembly or a component. The item
number is defined and available on the related drawing.

Package/ Container: The package is the containing part (crate, case, box, frame, plastic bag
etc.) in which are placed the items.
