Abstract

The project titled 2 + 1 Library System is library

management software for check-in and check-out of books and

reservation of books or discussion rooms in the library.

This project is developed in Visual Studio 2015, which

mainly focuses on the reservation of books and discussion

rooms and notifying of return dates and reservation of

books or discussion rooms.

The main objective of this system is to help the

Librarian computerize one of their manual and to help the

University through the means of technology. 2 + 1 Library

System is designed to help users to keep track of return

dates and reservation in the library. This software is easy

to use for both beginners and advanced users, but the use

of this software is only limited to Librarians and the

Administrators.

The proponents developed this library System mainly

focusing on the reservation of books or discussion room.

Chapter I

INTRODUCTION

University of San Agustin Library is a collection of

sources of information and similar resources, made

accessible to a defined community for references or

borrowing. It provides physical or digital access to

material, and may be a physical building or room, or a

virtual space, or both. A library’s collection can include

books, periodicals, newspapers, manuscript, films, maps,

prints and documents.

A library is organized for use and maintained by a

public body, an institution, a corporation, or a private

individual. Public and institutional collections and

services may be intended for by people who choose not to or

cannot afford to purchase an extensive collection

themselves, who need material no individual can reasonably

be expected to have, or who require professional assistance

with their research. In addition to providing materials,

libraries also provide the services of librarians who are

experts at finding and organizing information and at

interpreting information needs. Libraries often provide

quiet areas for studying, and they also often offer

common areas to facilitate group study and collaboration.

Libraries often provide public facilities for access to

their electronics resources and the Internet.

Project Context

This project was mainly created for the use of the

Librarians of the University of San Agustin who aspires the

day that they would have a better technology where it is

easier to check-in and check-out of books and reservation

of books or discussion room, where all of the section of

the library is computerized. The proponents developed a 2 +

1 Library System, where the current system of the library

is not yet fully computerized, some of the parts are still

manually written particularly in the reservation section of

books or discussion room. Also in this section the

reservation inventory and scheduling are separate. The

Librarian cannot immediately notify the students of their

expired reservation of books or discussion room and for the

returning of books.

This is why the proponents developed this library

System mainly focusing on the reservation of books or

discussion room and to fully computerizes the Library

system not only for the check-in and check-out of books and

reservation.

Purpose and Description of the Project

The main purpose of this project is to help the

Librarians computerize one of their manual works, the

reservation of books or discussion room, where this section

is still manual on the current library System. The

proponents developed the 2 + 1 Library System for the very

purpose of computerizing the reservation of books or

discussion room.

The basic functions of check-in and check-out of books

with a notification features (the notification feature only

notifies the librarian) and search box. A computerized

version of reserving books or discussion room that also

includes a notification feature and search box. 2 + 1

Library System is designed to assist the librarian in terms

of having better management as well as fast and easier to

handle daily operational.

Objectives of the Project

I. General Objectives

The main objective of this system is to help the

Librarian computerize one of their manual and to help the

University through the means of technology.

II. Specific Objectives

This study aims specifically the following listed

below:

1. To computerize the reservation of books and

discussion room process so that the Librarian

does not need to put it in written records.

2. To create a notification feature in reservation

process for the Librarian to be updated on the

scheduled time in reservation of book/s or

discussion room.

3. To create a system that has basic functions of

borrowing and returning with a notification

feature and search box along with the proponents’

reservation system.

Scope and Limitation of the Project

This study is made for University of San Agustin Main

Campus; the Researchers noticed that the Library System of

University of San Agustin is not yet updated compared to

other school in terms of system which there is some parts

that still manual. The System is not accessible via

internet, you still need to go to the library and search in

the OPAC section for the book that you need to borrow and

check if it’s still available or not, this system, only the

administration and librarian have the access.

The system includes check-in and check-out of books in

addition to reservation of books or discussion room. The

basic functions of check-in and check-out of books with a

notification feature (the notification feature only

notifies the librarian) and search box. A computerized

version of reserving books or discussion room that also

includes a notification feature and search box.

Chapter II

REVIEW OF RELATED LITERATURE

Related Literature/Theoretical Background

Foreign

According to Robson (2001), usability is a key

requirement for users, says Elizabeth Robson, Product

Manager for Online Computer Center. The catalogue has

become a way to pull together disparate resources,

including check-in or check-out and enable libraries to

purchase materials and track where they are.

According to Chad (2009), Consulting is at major point

of change in the wider information economy within which

library system form part of a larger whole. He was writing

in a briefing paper about the study in library management

system. This study examined the system used in higher-

education libraries across the UK and came up with some

significant observation and recommendation. It noted that

the LMS market in UK higher education is already mature and

that four main vendors (ExLibris, Innovative, SirsiDynix

and Talis) have almost 90 percent of the market. This

market maturity means, according to the study authors, that

the benefits to libraries of changing LMS provider are

limited.

Library uses expect to find everything together says

Stephen Abram, vice president for innovation at SirsiDynix,

the leading provider of software solutions and associated

services for libraries. According to her traditionally, the

library management system or integrated library system

(ILS) was responsible for running libraries efficiently and

effectively. Over the last few years, the role of the ILS

has been expanding from meeting library needs to delivering

users experience.

Local

According to Eden (2011), views the most libraries are

forced to work with fewer staff because of the having more

improved and modernized system for their library. According

also to the study, the library administration need to

emphasize to their staff that the organization has vested

interest in providing them with the tools and training they

need to assist the organization in the new information

marketplace. These may include search engines, circulation

system, and the online public access catalog.

According to Lopez (2002), University of the

Philippines-Mindanao when UP Mindanao accepted its first

batch of students in 1996, the Main Library System

collection was integrated with the core collection of the

School of Management (SOM) Library at the Stanfilco Bldg.,

Ladiswa Avenue, Buhangin, Davao City. The Filipiniana and

General References were housed together with the College of

Arts and Sciences (CAS) collection in Room 2 of the

Philippine Coconut Authority. In the Second Semester AY

1996-1997, the CAS Library moved to its main campus in Bago

Oshiro. Upon the recognition of the UP Mindanao by the

Board of Regents (BOR) as a constituents unit (CU) of the

UP System, the CAS was split into two (2), namely: College

of Humanities and Social Sciences (CHSS) and the College of

Science and Mathematics (CSM). The Main Library transferred

to the newly renovated building where the main collection

was set-up beside the books of the CHSS and CSM. In July

2012, the Library established the Library Educational Media

and Information Technology Office (LEMITO). The LEMITO

handles the audio-visual services, internet and the

connectivity of the library. It currently holds office at

the Elias B. Lopez Hall Dormitory. Later, the Main Library

collection which grew from 100 titles to 6,191 volumes at

the end of May 2004, and was transferred to the

Administration Bldg. Today, the Main Library occupies the

former UP in Mindanao Cultural Center (UPMCC) building.

Related Studies

Foreign

According to Charuasia (2010), connotes the term

library with the use of automatic data processing machines

to perform routine library activities. It implies a high

degree of mechanization of various and repetitive task &

operation and processes are left to be performed by human

beings. The study stresses library automation as the

application of computers and utilization of computer based

products and services in the performance of different

operations and functions or in the provision of various

services and output products. In addition to computer

advancement, telecommunication and audio-visual

technologies gives away to new possibilities in information

processing.

According to Back & Baily (2010), explored the design

space of mash-up techniques for the faultless inclusion of

information from Web services into websites. They

considered the case where an Online Public Access Catalog

(OPAC) is either the target of such addition or the basis

of the information being included. They focused on client-

side techniques in which each user’s browser contacts Web

services directly because this approach lends itself to the

creation of HTML widgets. The widgets allow the integration

and customization of Web services without requiring

programming. They also described in detail the

functionality and use of several widget libraries and Web

services we built. Although the specific requirement for 13

each system differ because of the respective nature, all

system are designed to be deployable with minimum effort

and resource requirements. This low entry cost, combined

with the provision of a high-level, non-programming

interface, constitute two vital precondition for the broad

adoption of techniques in libraries, which in turn has the

potential to vastly increase the reach and visibility of

their electronic resources in the wider community.

Local

According to Lou (1986), a survey on the computer

application in 223 libraries in Metro Manila. The studies

revealed that they prioritize the three library functions

to be computerized as catalog, indexing, and circulation.

However, the plans for automation for the libraries cannot

be implemented due to financial incapability of the

libraries, and the lack of funds from the government.

Despite of this backwards, the libraries are not turning

their backs unto the automation of their libraries.

According to Agena (2008) made a study the collection

usage of the students of the Jose Rizal University in a

period of three years using the quantitative and

qualitative approach. The goal of the study is to access

asses the usefulness of the faculty of students to their

library and it been revealed that it is generally important

for them to go to the library for their academic needs.


Chapter III

TECHNICAL BACKGROUND

Technicality of the Project

Two plus One Library System is an improved version of the

library system that students currently use in the

University of San Agustin’s Learning Resource Center. The

improved system did not alter the old version but has new

features. The proponents have included these features in

the system to let the Librarian have an easy access to the

library system and it is also convenient for all because it

does not only help the Librarian but also the staff for

them to have a stress-free working place.

Details of the technology to be used

This project uses Microsoft Visual Studio as its front

end and MySql as its back end, Visual Studio’s advance

support system makes this project clean and organize and

it’s backed by the MySql which is directly connected to MS

Visual Studio, making any updates of the format in terms of

data or data types can easily be corrected.

How the project will work?

The improved version of the library system includes the

Reservation Inventory, and the Notification. The

Reservation Inventory has two categories- reservation of

books and reservation of the discussion area. The

reservation of books lets the student able to access to,

and have a reservation of various books. The reservation of

the discussion area caters both the students and teachers.

It allows the student or the teacher to reserve a room

ahead of time so they may use the discussion rooms without

interference. The Notification alerts and notifies the

admin, the librarian, or whoever the person in charge if a

book has been borrowed, returned, or reserved. Some old

features of the library system remained unchanged because

the proponents still find it useful for the system.

Chapter IV

Methodology

We search for a methodology that will be applicable

for our proposed system and we decide that the appropriate

model is water fall.

Waterfall model is sequential software development


process, in which progress is seen as flowing steadily
downwards (like a waterfall) through the phases of
Conception, Initiation, Analysis, Design, Construction,
Testing and Maintenance.

Project Identification and Selection

The proponents conducted brainstorming and do the data

gathering in choosing a system.

Requirement Analysis

The proponents gathered all possible requirements of a


system that are needed to be developed. This involves
understanding what are needed for the design, its function
and purpose.

System Design

The proponents start creating and formulating a design


of the system that could meet the satisfaction of the user.

Implementation

The proponents start implementing and coding the

system.

Testing

The proponents will test the system and fix issues if

there is a problem and to have system maintenance.

The proponents start implementing and coding the

Maintenance

The result obtained from the evaluation process help


the organization to determine whether the system is
effective and efficient.

Requirements specifications

Operational Feasibility

The proponents ensure that the system is

operationally feasible. In using the system, the users must

know how to use basic operations of a computer. The

proponents make sure that the system is easily understood

by the user and easy to operate because it has simple

features.

Technical Feasibility

This area will determine the technicality of the

project what will technologies to be used. It will discuss

compatibility checking and relevance of the software and

hardware requirements to the development of the project.

Relevance of the technologies

The researchers used Visual Basic 2015 for developing

the System. It also used for programming of codes and to

design the system. We used MySql as our backend because not

only we can create our tables there but also it is easier

and faster to revise tables and connect it to the front

end.

Schedule Feasibility

The system was measured to be completed on September

19, 2018 as outlined from the planned schedule in

accordance to the Waterfall model of the System Analysis

and Design. Every accomplishments and deliverable of each

phase of the development is used to proceed to the next

phase and the other phases.

Economic Feasibility

This project is economically feasible. This will

determine the expected cost and benefits of the system. It

will also determine the positive benefits of the proposed

project. Below the Cost and Benefits Analysis and

Conclusion

In doing this System, both documentation and the

system requires a lot of time, patience and dedication to

have a successful system. Having the required materials,

creativity, skills and knowledge is a must in order to

develop the system. The proponents conclude that this

project can be helpful to the library and a source and a

reference to other researchers/proponents to their proposed

projects.

Recommendation

If ever our intended audience or targeted

audience do not take interest in using our system, we, the

proponents, to advice them (the Librarians). To have or to

update their system in having a reservation section that

has an inventory system along with a notification feature

and a search box. Having this will not only save physical

space for them to use, but also prevent data loss in case

the written data is damaged or lost.

Glossary

Visual Basic – is a programming environment from Microsoft

in which a programmer uses a graphical user interface (GUI)

to choose and modify reselected sections of code written on

the programming language.

Microsoft Sql Server – is a relational database management

system developed by Microsoft.

Library System – is an enterprise resource planning system

for a library, used to track items owned, orders made,

bills paid, and patron who have borrowed.

Check-in – To bring, give, send, or take (something) to the

place that it came from or the place where it should go

Check-out – Something that is borrowed; the act of

borrowing something

Computerized – convert to a system that is operated or

controlled by computer.

Reservation – the action of reserving something.

Librarian – a person, typically with a degree on library

science who administers or assists the library
