ADMINISTRATIVE COORDINATOR II

JOB SUMMARY

This position is located in various departments throughout the City of Oklahoma City, and
usually reports to a section or a division head. An employee of this classification is responsible
for providing standard research and analytical staff support by evaluating previously identified
problems, developing alternatives, and making written and verbal recommendations for program,
policy, and procedural changes based on independently conducted operational assessments. A
variety of administrative duties in support of work activities are required, such as budget
preparation, goals and objectives development, staff report writing, and some special studies
including feasibility, time and cost, and costing-benefit analyses. Essential job functions
include: coordinating, directing, and supervising administrative and clerical staff; reviewing
documents for accuracy, completion, and timeliness; implementing special projects, programs or
policy-related functions; performing tasks specific to the assigned department, program area or
office function, such as processing specialized business forms and documents, completing
payroll or purchasing functions, initiating personnel actions, and interpreting or categorizing
codes. An Administrative Coordinator II may design and coordinate large projects and functions
by determining work procedures and personnel requirements, assigning work tasks, leading and
instructing others, assists in establishing and/or interpreting policy, and making administrative
decisions. The job requires frequent contact with other City personnel, outside organizations, and
citizens in order to exchange information related to work activities, policies, and procedures.
Assignments are both general and specific in nature, and may be received in verbal and written
form. Information exchanges are made in support of well-defined administrative or operational
policies or procedures.

JOB REQUIREMENTS

-Knowledge of and skill in utilizing basic research principles and practices.


-Knowledge of and skill in utilizing various word processing and spreadsheet software packages.
-Skill in verbal and written communication, using tact and diplomacy.
-Skill in supervising and coordinating activities of assigned staff.
-Ability to apply a general knowledge of business and/or public administration principles and
practices to work performed.
-Ability to organize and assess large quantities of data.
-Ability to utilize standard municipal budgetary principles and procedures.
-Ability to prepare and present narrative and statistical reports.
-Ability to use logical thinking to solve practical problems.
-Ability and willingness to recommend program changes based on operational assessments.

WORKING CONDITIONS

-Primarily indoors, subject to sitting, standing, walking, or using a telephone for extended
periods of time.
-Subject to continuous exposure to light and glare from a computer monitor.

PHYSICAL REQUIREMENTS

-Arm and hand steadiness and manual finger dexterity enough to use equipment such as, a
keyboard, ten-key, telephone and other office equipment.
-Near vision enough to read and draft written and machine generated communications such as
standard records, reports, computer printouts, etc.
-Hearing and speech enough to communicate in person and by telephone.

EVALUATION CRITERIA

-Difficulty

The Administrative Coordinator II position provides standard research and analytical staff
support for work sections or divisions. A general knowledge of business and/or public
administration principles and practices, basic research methods, and an accrued knowledge of
municipal budgetary/goals and objectives, principles and practices is required. While standard
guides, methods, and precedents exist in each of the above areas, interpretation and adaptation of
methods is required to fit specific programs or projects. Alternatives and recommendations are
studied and developed based on own research, discussions with the supervisor, and application of
precedents. Recommendations are made through the supervisor on matters which impact
primarily on work unit activities. Logical thinking must be used to solve practical problems.
Variables encountered are both concrete and abstract in nature.

-Interpersonal Relations

The employee has frequent contact with other departmental and City personnel, outside
organizations, and citizens in order to exchange information on situations of a recurring nature
but requiring some explanation or interpretation of facts.

-Supervision Given and Received

The Administrative Coordinator II oversees the work activities of clerical support staff by
ensuring efficient workflow and checking work product for accuracy and completeness.

Regular assignments are made without instructions. The supervisor may provide and explain
new policies and procedures, or changes to existing policies and procedures. Assistance is
readily available for solution of problems not readily covered by precedent or reference material.
Work is checked occasionally in progress and reviewed upon completion for adequacy of final
results. On novel problems and the new procedures the work is critically examined for accurate
and effective application of directives and adequacy of results obtained.
