User Interface & Navigation: Navigation Bar
To provide a more intuitive user experience Docked Expanded
and optimize screen space, Clarizen recently
introduced a redesigned left-side Navigation
Bar.

By default, the bar displays actionable icons


representing each module the user has
permission to access . Hover over an icon to
see the label or click it to navigate to the
desired module.

At the top, click Menu or Global search to


expand the navigation bar. Hover over the
blue icons to display a list of custom actions,
recent items, favorites, or create a new item.

User Interface & Navigation: Global Search
Begin Typing in the Global Search and a helpful auto-complete feature will return
matches based on your entry. Detected items populate the panel below the search bar
and are ordered according to relevancy.

Press “Enter” or click “See more results” for full search results as shown below. Results
are grouped by item type and the number in parentheses indicates the number of
results returned.

User Interface & Navigation: Actions Menu

Quick Actions allow organizations to add triggers


that initiate activities unique to their deployment of
Clarizen such as Request Forms and Administrative
Options.

Click Quick Actions to view a list of custom


actions, if available, and place the mouse pointer
over your selection then click.

Some custom actions trigger automatic events,


others require the user to enter data.

Click Recent Items to open the list of all recent


Items, and hover over the choice then click

The screen will display the user’s most recently


viewed Items grouped by Item Type, order
depending on the amount of time last visited.

User Interface & Navigation: Clarizen Modules

Each Item Type in Clarizen can be accessed within a


dedicated Module. We will discuss each Module in
detail over the next few days.
Special Modules:
If enabled on your Environment, the “Portal Home” Module directs users
to a simplified screen showing the areas of the tool most common to their
job.

The “Home” Module allows a user to see a complete view of everything


they are working on and managing as well as the Newsfeed which houses
all discussion posts for that user’s attention.

Note: the icon on the right side of the expanded Navigation Panel indicates
which Module has been selected as the logged in user’s Landing Page. This
can be configured in your preferences so that you can most easily access what
is most important to you at any time with a single click.

Clarizen Views: Column Management

• Column order in a Grid display can be re-


arranged by clicking on a column heading resize
and dragging and dropping into its desired
location.

can be resized automatically by hovering

Clarizen Views: Add/Remove Columns in a Grid View

You can use the gear icon to add/remove


columns in the current view.

This does not change the actual view for Search or select
everyone, but only for you. Next time you the columns you
come back to this page, you will see the want to add, click

the view.

Clarizen Views: Filter and Search by Data Attributes

Filters – you can slice and dice your data set or list
of items by any field criteria.

To do this, click on the funnel icon located near the top


right. When the funnel is green, filters are active. A
gray funnel means there are no active filters.

If you do not see the field you want to filter by, click on
the “Manage” button to add the field into this window.

Filters can also be set inline when viewing a grid by


selecting the icon next to a column name

Search – near the top right corner, next to the filter


icon, is the in-context search bar. This search gives
you results pertaining to the current data set you are
viewing.

Clarizen Views: Filter by Time Range

Filtering by Time Range allows you to isolate


results by their schedule.

For example, if we filter by the month of April,


it will return tasks A, B, C, and D in the
scenario above.

• Task A started earlier, and finishes in April


• Task B starts and finishes in April
• Task C starts in April and finishes later
• Task D is ongoing during the selected month

Clarizen Views: Sort Results by Column

A column highlighted in gray and


underlined in blue indicates the data is
Sorted by that field.

Clicking a column heading will sort


Ascending. Click again to sort
Descending, and a third time to clear
the Sort.

When a data set is being sorted, there


will be text in light grey above the
Ribbon next to the number of results
indicating which field is being used for
the sort.

Personalize Display and Add Conditional Formatting

To fine tune the display of data in


a view, follow these steps:

1. Click the Gear icon and select


“Columns”*
2. Find the field you would like to
work with and click the hyperlink
under the “Format” column
3. Choose the display option and
add any rule-based formatting

* Formatting can be accessed inline by


clicking the icon while hovering on
any column header in Grid View.

Note: Updates made from the Gear Icon or done inline will not
save permanently. If you want to lock in changes, Edit the view
from the View Navigator menu.

Clarizen Views: Edit or Create Views

From the View Navigator, choose New to


create a unique view or select an existing
view and choose Edit.

The View Editor allows you to create the


exact view of your data that you need to see
by defining attributes such as:

• Display format
• Default filters
• Field set
• Related Items and display format
(grid/thumbnail)
• Sharing permissions

If you make edits to an existing view and


want to return to its default settings, you can
select “Revert View” at any time.

Clarizen Views: Sharing
Sharing information via links or
widgets in Clarizen makes purposeful
collaboration a breeze inside and
outside of the company.

• Share any view, report, roadmap, or


Gantt with licensed or unlicensed users
• Embed Widgets in a web site for clients

Clarizen Views: Best Practices

• When creating views for yourself, make sure you set the permissions correctly and add your
name to the view name so you can distinguish your views from organization views

• Keep views simple, do not clutter them with too much data

• Ask yourself whether you need to create a new view or whether you can personalize an
existing view using the gear icon to edit the columns
