SYSTEM ANALYSIS AND DESIGN

 PROBLEM FORMULATION

• Description of the problem

In the existing program they had to maintain all the information on the paper. The details
are to be prepared on paper. All the work is very difficult. It need more time to solve the
query. Few of the problems are:-

 They can’t share their work with anyone.

 The data cannot be easily available with anyone for the usage.

 In solving the queries it will take more time to solve them out.

 The work will be more complex.

 It will take more time to search a particular thing and to update that.
 Paper work will be more.

• Drawbacks of existing system

 Data duplication: The same data gets repeated over and over since the workers
find it hard to keep track of the documents, information and transactions
 Lack of security: Since data is stored in filing cabinets it is freely available to
anyone if information falls into the wrong hands it can be used against the
company and customers and can blackmail them.
 Common errors: When entering data customers might have accidentally
switched details and data since it is hand written.
 Inconsistency of data: There will be an unavailability for future use, since data
might get misplaced during manual filing so data wont be preserved properly for
future use.
 Repetition of work: If there are any changes to be made, the data will have to be
entered again at times the worker would forget to make the changes or forget that
they had already altered it and might redo it again, its again time consuming.
 Too much paper work: Since everything and every detail are written down
manually in paper there will be too much paper work!
 Space consuming: Since the data and paper is stored in filing cabinets it
consumes too much place, as the amount of work done on paper increases the
filing cabinets too increases.
 Slow retrieval of data: The information of customers and details are stored in
different parts of the site and so takes a long time to retrieve the data it takes a
long time to find the information about a relevant person in case of a Delivery, the
delivery will be held back. This results in a sharp drop in sales, unhappy
Customers and a bad impression on the company.

• Proposed System

The proposed system is the automated system the business and activities of the DMRC. It
is a secured system whereby the software can be accessed only by the authenticated user
using the password protection mechanism.

Features of the system are:-

 We can publicize our business, services or products to millions of potential

customers. Having a web site can increase your sales.
 We can update our web site with our latest news or prices much easier and
cheaper than print based media. A web site can save you a lot of money in
communication and administration costs.
 We can link our web site with other advertising campaigns therefore creating
brand awareness.
 Our business can advertise and publicise on the internet 24 hours a day, 365 days
of the year.
 Web sites are easier and cheaper to change / update, than conventional print based
media. Content Management Systems can be set-up so that we can update any
section of our web site, when ever we want as often as we want.
 Web sites make it easier for customers to do business. These customers can be
global or local
 We can now place our web site address on our business card to enhance our
image.
 We you can use your web site to network with other companies and build better
business relationships, locally and around the world.

 SYSTEM ANALYSIS

• Identification of need

In this stage the project planner takes a qualified prospect through a series of question
and answer sessions in order to identify the requirements of the project. During this step,
the project planner will attempt to help, identify and quantify a business need or a "gap"
between where the organization is today and where they would like to be in the future.
Based on that gap, needs can be clarified to determine if the solution will fill all, or part
of the overall gap.

From this procedure the project planner is able to come up with a proposal suggesting
various products/services that will suffice the need as presented by the prospect.

The Process consists of:

• 1- preapproach
• 2 -approach
• 3 -need identification
• 4 -presentation
• 5 -handling objections
• 6 -closing the sale
• 7 -post-sale follow-up.

• Feasibility Analysis

A feasibility study is an evaluation of a proposal designed to determine the difficulty in

carrying out a designated task. Generally, a feasibility study precedes technical
development and project implementation. In other words, a feasibility study is an
evaluation or analysis of the potential impact of a proposed project.

1. Operational feasibility

Operational feasibility is a measure of how well a proposed system solves the problems,
and takes advantage of the opportunities identified during scope definition and how it
satisfies the requirements identified in the requirements analysis phase of system
development.

2. Technology and system feasibility

The assessment is based on an outline design of system requirements in terms of Input,

Processes, Output, Fields, Programs, and Procedures. This can be quantified in terms of
volumes of data, trends, frequency of updating, etc. in order to estimate whether the new
system will perform adequately or not. Technological feasibility is carried out to
determine whether the company has the capability, in terms of software, hardware,
personnel and expertise, to handle the completion of the project

3. Economic feasibility

Economic analysis is the most frequently used method for evaluating the effectiveness of
a new system. More commonly known as cost/benefit analysis, the procedure is to
determine the benefits and savings that are expected from a candidate system and
compare them with costs. If benefits outweigh costs, then the decision is made to design
and implement the system. An entrepreneur must accurately weigh the cost versus
benefits before taking an action.

Cost-based study: It is important to identify cost and benefit factors, which can be
categorized as follows:
1. Development costs; and 2. Operating costs. This is an analysis of the costs
to be incurred in the system and the benefits derivable out of the system.

Time-based study: This is an analysis of the time required to achieve a return on

investments. The future value of a project is also a factor .

SYSTEM CODING

After designing the new system, the whole system is required to be converted into
computer understanding language. Coding the new system into computer programming
language does this. It is an important stage where the defined procedures are transformed
into control specifications by the help of a computer language. This is also called the
programming phase in which the programmer converts the program specifications into
computer instructions, which we refer as programs. The programs coordinate the data
movements and control the entire process in a system.
It is generally felt that the programs must be modular in nature. This helps in fast
development, maintenance and future change, if required.
