1) NAME OF THE ASSOCIATION/SOCIETY
The association/society will be called FRIENDS IN NEED ( Henceforth referred to as FIN).
The registered office will be situated at 68/2/2, Raja Rammohan Roy Road, Behala, Kolkata,
West Bengal, PIN‐ 700008.
2) AIMS AND OBJECTIVES OF THE ASSOCIATION/SOCIETY
The objectives of the society will be:
A) To help the needy students of all communities/castes for the prosecution of their studies.
B) To help the aged, sick, helpless and indigent persons using the following plans:
9 Helping the aged attain more secured place/life to live.
9 Helping the sick to get proper medical assistance in time.
9 Helping the helpless and indigent persons(male/female) attain financial stability in
terms of providing them some opportunity to earn.
C) Free medical camps shall be organized for the grass‐root level of our society.
D) Surplus food from Hotels/Restaurants/Sweet Shops shall be collected and distributed it
among poor People.
E) Medical plans shall be initiated in order to facilitate common people.
F) Serve the community by service, in kind or monetarily for betterment.
3) MEMBERSHIP
A) Membership will consist of the governing committee and the association/society members.
B) All members( including governing committee) will be subject to the regulations of the
constitution and by joining the association/society will be deemed to accept these
regulations and codes of conduct that the association/society has adopted.
C) Members will be enrolled in only one category i.e. MEMBER.
D) There will be no lifetime membership.
4) MEMBERSHIP FEES
A) To be registered as a member of FIN one has to pay no cost.
B) A monthly fee of Rs.200 (INR) has to be paid by every member of the association/society.
C) Monthly fees must be paid to the Treasurer within 10th of the month in advance.
D) Monthly fees can be paid in quarter‐year/half‐year/annual basis also. That has to be
declared by the to be member at the time of registration.
E) Monthly fees can be given in form of cash, cash deposit in bank account, cheque or demand
draft. In every case the member will be provided a receipt upon payment from the society.
This must be teken care by the member for any further references/disputes.
F) In any kind of membership fees payment terms, if the member fails to pay the fee within 10
days of the scheduled time, the member has to pay a fine of Rs.50 (INR).
G) For those members who are / will be staying abroad will be treated as a normal donor to
the society.
H) No fee for renewal of membership will be charged to the member after uninterrupted
completion of one year of membership.
I) Any changes/amendments to the membership/monthly fees will have to be agreed by the
Governing Committee and determined at the Monthly/Annual General Meeting.
5) DONATION
A) Those persons who will not be a part of FIN as members but will donate money/ raise helps
to the association will be called DONOR.
B) There will be no rules and regulations on the help of the donor.
C) Donor can help the society in any means.
D) Donor can donate money in cash/money through the official website/account payee
cheque/banker’s cheque/demand draft. In every case the donor will be provided a donation
receipt from the association/society.
6) GOVERNING COMMITTEE OF THE ASSOCIATION/SOCIETY
A) The Governing Committee will be consisting of the following posts:

9 VICE‐PRESIDENT
9 SECRETARY
9 ASSISTANT SECRETARY
9 TREASURER
9 COMMITTEE
B) The Governing Committee will be formed and elected one time only during the registration
of the society.
7) COMMITTEE
A) The society will be managed through the Governing Committee consisting of:

9 ASST. SECRETARY: SANDHIKHAN MUKHERJEE

9 COMMITTEE MEMBERS: SOUMYA BASU, SUMIT GHOSH, ARKA SARKAR,
TIRTHANKAR GHOSH, ABHISHEK PAL MAJUMDER.
B) Only these posts will have the right to vote at meetings of the Governing Committee.
C) The Governing Committee will be convened by the Secretary of the club and held no less
than 6 meetings per year.
D) The quorum required for business to be agreed at Governing Committee meetings will be:

E) The Governing Committee will be responsible for adopting new policy, codes of conduct and
rules that affect the organization of the club.
F) The Governing Committee will have powers to appoint sub‐committees as necessary and
appoint advisers to the Governing Committee as necessary to fulfill its Aims and Objectives.
G) The Governing Committee will be responsible for disciplinary hearings of members who
infringe the club rules/regulations/constitution.
H) The Governing Committee will be responsible for taking any action of suspension or
discipline following such hearings.
8) FINANCE
A) All money of the association/society will be banked in an account held in the name of the
society.
B) The society Treasurer will be responsible for the finances of the association/society.
C) The financial year of the society will end on: 31st March of every year.
D) An audited statement of annual accounts will be presented by the Treasurer at the Annual
General Meeting.
E) Any cheques drawn against society fund should hold the signature of the Treasurer and
secretary/Asst. Secretary.
9) ANNUAL GENERAL MEETING (AGM)
A) Notice of the Annual General Meeting will be given by the Club Secretary/Asst. Secretary.
Not less than 14 days notice to be given to all members.
B) The AGM will receive a report from members of the Governing Committee and a statement
of the audited accounts.
C) The Governing Committee has the right to call Emergency General Meetings (henceforth
referred to as EGMs) outside the AGM. Procedures for EGMs will be the same as for the
AGM.
10) DISCILPLINES AND APPEALS
A) All complaints regarding the behaviour of members should be submitted in writing or email
to the Secretary and cc to the Assistant Secretary.
B) The Governing Committee will meet to hear complaints within 7 days of a complaint being
lodged. The committee has the power to take appropriate disciplinary action including the
termination of membership.
C) The Governing Committee may expel any member if guilty of violating any Rules or
Regulations of the Club, or of any conduct, which in the opinion of management is
detrimental to the welfare, good order and character/goodwill of the association/society.
D) The outcome of a disciplinary hearing will be notified in writing or email to the person who
lodged the complaint and the member against whom the complaint was made within 7 days
of the hearing.
E) The decision of the Governing Committee in any disciplinary actions will be final and biding.
11) AMENDMENTS TO THE CONSTITUTION
The constitution will only be changed through agreement by majority vote of the
Governing Committee at an AGM or EGM.
12) PLEDGE
The functions and objects of the Association/society shall always remain restricted
within the meaning of section 4(2) of West Bengal Society registration Act 1961 irrespective of
any object mentioned in the present document in agreement or opposed to the paper.
The income and properties of the Association/Society whatsoever derived or obtained
Shall be applied solely towards the promotion of the object of the Association/Society and no
portion – thereof shall be paid to or divided amongst any of its members by way of profits.
13) DECLARATION
FRIENDS IN NEED(FIN) hereby adopts and accepts this constitution as a current
operating guide regulating the actions of members.
