03 DEFINE SCOPE

PLANNING PROCESS GROUP

Define Scope is the process of developing Project Scope Management

detailed description of the project and product. Define Scope

Detailed project scope is critical to project

success and builds up on major deliverables. So,
incomplete project scope can be a problem to
the project, because the deliverables may be
sorted out from the customer expectation.
During the planning, define Scope subdivides the major project deliverables into smaller
and more manageable components when more information about the project is known,
that may provide the following benefits:

• Improve the accuracy of time, cost, and resource estimates.

• Detail the baseline for performance measurement and control.
• Determine specific responsibility assignments.

INPUT: Define Scope

• Project Charter

• Organizational Process Assets

Organizational Process Assets:

This will be the assets of the organization that will be used for the project; for example,
accounting department for payroll and accounts payable, human resource department for
hiring and supporting staff on the project, and Mechanical shop for equipment repairs.
These assets must be identified and a clear written statement describing how the different
departments and equipment will be used. This must to be signed off by each of the key
stakeholders concerned.

TOOLS & TECHNIQUES: Define Scope

• Expert Judgment

• Facilitated Workshops

• Alternatives Identification

Product Analysis
Product analysis is an effective tool for projects that have product as deliverable, which
converts into tangible deliverables. Typical techniques used are product breakdown,
systems analysis, requirements analysis, systems engineering, value engineering, value
analysis, and functional analysis.

Alternatives Identification
Alternatives identification is identifying alternative solutions to a problem. It is used
instead of the conventional approaches to solving problems. For example, brainstorming,
lateral thinking (it is a solution to problems through an indirect and creative approach. It
involves reasoning that is not immediately obvious, and about ideas that may not be
obtainable by using only traditional step-by-step logic) and pair wise comparisons (i.e.,
tests all possible discrete combinations of parameters, using carefully chosen test vectors,
which can be done much faster than an exhaustive search of all combinations of all
parameters).

Project Scope Statement

Project scope statement is an important piece of information in a project that describes
the purpose of the project. Project Scope Statement is the definition of the project
requirements, project deliverables and work required to create deliverables. It also
provides a common ground for project stakeholders and helps to manage stakeholder
expectations.

• Project Scope and product objectives

• Product or service requirements and characteristics
• Product acceptance criteria
• Project boundaries and Project Exclusions defines in scope and out of scope
• Project requirements and deliverables
• Project constraints & assumptions
• Initial project organization
• Initial defined risks
• Schedule milestones
• Initial WBS (Work Breakdown Structure)
• Cost estimate with plus or minus of the estimate that would be acceptable
• Project configuration management requirements
• Approval requirements that is determined by designated body
