BACKGROUND
With reference to the current damaging security situation in Pakistan. The demand of self
security is at its peak. The organizations in Pakistan is now working on the self sustained /
maintained security solutions by keeping in view that the security agencies of Pakistan is not
that much resourced enough to counter each corner of the every organization.

The Education Nurseries all over Pakistan, desired to have to self maintained / designed
security solution, to counter any regression and secure the students of this university. It is to
desire that there should be a workable solution for the student track and security.

SOLUTION & SUGESSTION:


With reference to National Education Policy 2009;

a) Every child, on admission in Grade I, shall be allotted a unique ID that will continue to
remain with the child throughout his or her academic career. (Chapter 5.2, Policy Action - 10)

b) Modern information and communications technologies (ICT) are essential to enhancing


efficiency, efficacy and impact of programmes of development in the higher education
sector. (Chapter 8.2, STRATEGIC VISION – 24)

c) It is necessary to focus on implementation excellence, which will require adoption of


modern project management and reporting techniques as well as computerized financial
management systems. (Chapter 8.2 Policy Actions – 30)

As Government of Pakistan has limited resources and lack of funds to execute the above
mentioned policies and before said security in real terms, we at Analytical Solution is going to
suggest following;

1) Every Student of Private and Government Schools will be given an ID, ir-respect of their
education circle.

a. This ID, will remain to the student till his life as normally people used to have
CNIC

2) Every Student will then be provided with the RFID LF (Radio Frequency Identification
Device – Low Frequency) Card, with “In Chip Unique ID Data Storage Facility”
(Introduced First Time in Pakistan).

a. Each Student will be provided with the RFID Machine Readable CARD as a
Student Identity Card, with Card Holder and Neck Band.

3) Full Campus will be secured with the LF RFID READER at the main Campus Entrance
Point.

a. With the Reader, only specific school Student / Staff can pass through into the
school by ensuring school security.

b. Student Management Software will be provided to each school for tracking and
management of Student / Staff Attendance.

4) The Student / Staff Individual Record will be captured under specific data form (Annex-
1-2) and will be used as;

a. Individual Student will be linked with the Provincial EMIS

b. In linkage with father’s CNIC, NADRA record will in-linked and updated

5) One week training will be provided to the Senior Teacher of a School and Security Guard
will be trained on field for two days.

6) By considering Electricity issues, One Computer Machine and UPS will be provided to
the School.

7) All student data and Attendance records will be made available on Net.

Note: The exact same suggested price has already being charged to students since years in the
above sectors on the name of Student Card and if we provide so much facilities for the National
Cause, there is no harm in that idea.

Student Security Cards


Scanning is considered as electronic imaging. An electronic imaging system usually consists of
an input scanner which converts an optical image into electrical signal. This is followed by
electronic hardware and software for processing or manipulation of the signal and for storage
and/or transmission to an output scanner. The latter converts the final version of the signal
back into optical (visible) image, typically for transient (softcopy) or permanent (hardcopy)
display to a human observer. The scanning system can be divided by using infrared technology
and radio frequency technology.

Since CMS solution working with all the digital records of the students enrolled in the
University, the “Student Security Cards” system will be integrated with this and it will log all the
detailed activity of the students. The Radio Frequency Identification Device (RFID) will be use as a
student security card which more reliable, less temper possible and have long life with multipurpose
usability, this one single RFID card is of latest state of the art technology with multipurpose usability and
Single Student Security RFID card can be for:

1) Library
2) Attendance
3) Transport
4) Exams
5) Medical
6) Hostel

The suggested “RFID Proximity Card” can contain data in a card and it comes with guaranteed solution
that no one can forge this card with re-generation.

RFID is the radio identification its an ADC (automated data collection) technology which uses :

1. Radio frequency waves to transfer data between a reader and movable item to identify
categories and track.

2. It is fact and does not require physical sight or contact between readers/scanners and tagged
item.

3. It performs the operation using low cast components.

4. It attempts to provide unique identification and backend integration that allows for wide range
of application.

The following diagram simply explains the communication between tag and the reader. There is
a communication channel between the tag and the reader

The RFID reader continuously emits radio waves up to certain range. The passive tag receive
energy form the radio waves and get activated. The reader then gives command to the tag. Tag
receives command and gives response to the reader. It can be easily understood from above
diagram

This RFID technology comes with two options:

a) Passive Tags (Recommended for this project)


b) Active Tags

A. Passive tags
1. These tag do not contain internal battery that is why these are known as Passive
tags. It draws energy from interrogator field.
2. It has lower storage capacity.
3. Shorter read range (4 inch to 15 inch).
4. Usually read-ones-write-many/read only tags.
B. Active Tags
1. Battery Powered.
2. High storage capabilities (512kb).
3. Longer read range (300 feet).
4. Typically can be rewritten by RF interrogator.
5. You can trace the card holder from any place to any where

Features of web portal of Particular School

Tasking
To cater the background problems and make it state of the art, paper less, fast and easy
system. We have to develop and implement the web enabled system for each school with the
approval of Education Department and implemented them in both Government Schools and
Private Schools for one year of successful implementation containing the following module:

1) School Profile:

This module will hold the profile of the School / Branch with its contact details such as address,
phone number, email addresses etc. The School Profile will contain the following sub modules

1.1) School Structure


This module will define the structure of the School’s Time Table and defines the Term details.

1.2) School Holidays


This module will store all the list of holidays of the school.

1.3) School Events


This module will store all the Events that is going to happen in the current calendar year of the
school.

1.4) School Rooms


This module will store the room information of the school.

1.5) School Classes & Sections


This module will store all the school’s classes and their sections details.

1.6) School Hostel Rooms


This module will store the hostel rooms information. This module is useful only if the school
has the residential students.

1.7) School Fee Types & Fee Amounts


This module will store the Fee Types details and Fee amounts for each class in the school. You
will define the types of Fees your school is offering and the fee amount class wise.

Here you will define all the departments exist in the school and the designations associated
with it. Then you will also define the Salary details and Leave details designation wise. This
module is dependent on Salary Types and Leave Types.

3.2) School Salary Types


Using this link, you will define the Allowance or Deduction type for each designation.

3.3) School Leave Types


This module will store all the type of leaves that your school is offering. Ex: Casual Leave, Sick
leave etc.

4) Others

4.1) School Vehicles


This module will use to store all the school vehicle details.

4.2) Question Difficulty Levels


This will store the question difficulty levels which will be useful in selecting questions while
preparing the examination papers.

4.3) Library Settings


Here you’ll define the library setting values like the No. of due days that a student will keep a
book etc.

4.4) School Forms / Brochures


This module will view and print the student registration form and the data like school’s
calendar, school fee amounts class wise etc.

4.5) School Accounts Settings - Accounting Module


Here you’ll define your accounting settings like Bank accounts, Account names. This data is
then used in the Accounts module while entering accounting vouchers.

4.6) School Inventory Settings

This module will add the Inventory Items data that you are going to maintain through the
Inventory module.

4.7) Attendance Settings


This module will store the attendance setting values on how the Attendance module has to
calculate the attendance of the students and employees.

4.8) Auto email Responders


This module will help in enabling or disabling the auto email responders to be activated or not.
This will have 6 types of Auto email notifications.

4.9) Certificate Issuing


This module will create and store school Certificate Templates that are going to issue to the
students.

5) Employees
This module will store the employee’s information such as Personal Information, Contact
Details, Qualifications and the classes he is teaching in the school and the login details etc.

6) Students
This module will store all the student information of the school such as Personal Information,
Contact Details, Parental Details, Class and section he is allotted to; roll number, admission
number and his login details etc.

7) Subjects
At the time of adding a student to the school, by default the system treat his subjects as all his
class subjects assigned in settings module. If you want to un-assign any of the subjects, you will
use this module first link “Modify subjects to students” to un-assign few of the subjects.
The second link of this module “Subject Details” will be used to store details of the subject class
wise in detail like Subject Outline, Objectives and very importantly its Syllabus. This syllabus
data is essential for Question Bank module while adding the Questions to question bank.

8) Time Table
This module will help you in preparing Time Table of your school for each class. It requires all
the teacher names who are teaching various subjects and the total class rooms of the school.
Timetable will be prepared in two ways.
 Manual
In manual preparation of Timetable, you have to manually select the teacher, classroom
number and need to prepare the timetable for each class.
 Automatic (System)
In this option, the system will provides you the time table automatically by calculating
the teacher’s and rooms availability. The systems asks for few preferences on how you
want to prepare a class attendance i.e., the number of periods that each subject will be
taught in a week and the preferred rooms.

Apart from preparation of Time Table in two ways, the system also lets you view the
attendance Teacher wise, Class wise and Room wise.

9) Attendance
This module will capture the Students and Employees attendance details. The attendance will
be taken period-wise or on a daily basis. This flexibility has been provided in the settings
module wherein you will define the frequency of the attendance taking whether it is to be
period wise or on daily basis.

10) Assignments
This module will assign each student his Assignments by his class teacher or any other teacher
to their class teachers. Assignments will be assigned to a whole class student or by selecting
each individual student.

11) Examinations
This will be one of the major and key modules in the EMIS. The major functionalities of this
module are:
 Prepare / View Examination Schedule:
Here you will prepare the schedules for each examination that are conducted by the
school class wise. You need to select the subjects for which you are going to conduct
the examinations along with the timings and room numbers. Then all the students and
teachers will view the schedule.
 Create /View question papers:
Using this, you will create question papers for each test you are conducting
examinations. You will select the questions created from the Question Bank module
and you will create a question paper. You will view these question papers from the view
link.

12) Question Bank


This module will use to create and store questions at the Question Bank. Question bank is the
place wherein you will create and store various types of questions. These types include
Objective, Descriptive, True/False and Fill in the blanks. You will create the questions along
with their answers and you will set the difficulty level for each question. You have to define the
class and subject for each question. These questions are the source while creating the question
papers in Examinations module.

13) Performances
This will be the place where you have to enter the marks scored by the students in the
examinations. You will select a class and will select the subjects to enter the marks for the
entire class at a time. Based on these marks, the system automatically calculates the Grades
and generates grade cards and report cards and will be accessed with the respective links.

14) Discipline
This module will create Student disciplinary records. And the same will be viewed by the
students / parents.

15) Fees
This module will assign the fee details to each student. You may assign / un-assign the fee
details to each student from this module. You will also give concessions or put penalties for the
students. The main feature of this module is the Fee Collection section. Whenever the student
comes to pay his fees, the accounts person will quickly enter the details and will generates the
fee receipt. The reports link offers you various repots on fee collection etc.

16) Accounts
This will be a tiny accounting module exists with EMIS. It offers you almost all the functionality
of a basic accounting system. You will create vouchers like Debit, Credit and Journal. This
module is depended on the master setting values (Ex: Account names etc) from the SETTINGS
module. The other features available are Cash Book, Journals, Ledger, Trial Balance and
Balance Sheet.

17) Payroll
This module will generate the pay slips for each employee with his relevant info provided at the
SETTINGS module. The pay-slip will have two main sections. One is Allowances and the other
is Deductions.

18) Library
This module will maintain and keeps track of all the books available with the school. You will
add the books to system and maintain them category wise. The module also maintains all the
book issues and returns. You will fine the students who are failed to return the book in time
(i.e., within the due date). The other functionalities included with this module are : Issues,
Renewals, Returns, Losses and Update number of copies..

19) Health
This will be basically to maintain the health records of a student. You will maintain the health
history and treatment records of a student.

20) Hostel
This module is for a residential school (not for a day scholar school). This module offers you the
Room allocation of student in the hostel, changing his room from one to other, removing a
student from a room. Admin will keep track of the FREE (available) rooms easily.

21) Cafeteria
This module will be useful for a school which is maintaining a Cafeteria. You will create the
menu of the items available. You will also maintain the inventory of the items available in the
cafeteria using the “Stock” link. “Transaction” link is your POS (Point of Sale) where you will

enter all the transactions made in the cafeteria. Here you will accept the payments via Cash or
you will deduct the money from his personal account maintains with the school.

22) Inventory
This module will help you maintaining the school’s inventory for all the items that you want to
maintain. Ex: Furniture, Books, Laboratory items etc.)

23) Transport
This module will enable you to manage the students who are traveling through the school
buses. You will add / delete and move a passenger student from one vehicle to another and will
view the list of students who are traveling on which vehicle.

24) ID Cards
This module will generate the ID cards for the student’s class wise. You will customize the
format of the ID Card easily with a little knowledge of HTML. This module gets the school info
from the school settings module.

25) Appraisal (Teacher’s performance appraisal)


This module will help you in assessing the teacher’s performance. The performance will be
assessed based on the student’s marks for which the teacher takes the classes and their
attendance etc.

26) Reports
This module will generate several reports for the School from all the modules. The reports
include student strength, student performance, student birthdays, student attendance, fees,
etc. The customizable report writer will gives you more flexibility in getting student
performance report.

27) Admin Tasks


This will strictly for school / branch Administrator. Following are the functionalities what he will
exclusively have.

27.1) Start a new Academic Year


This will be used to generate a new database for a new academic year. Clicking on the button
will create a new database and stores the present data into that new database.

27.2) User Privileges


Admin will define the privileges for each employee who is accessing the EMIS. He will assign /
un-assign the modules to each employee. Only the employees with the valid privileges will
access the respective modules in the EMIS.

27.3) Database Synchronization


This module is for the schools who are implementing the software both at Internet and Offline
at their school premises (i.e., Intranet). If you want to do your day to today activities from the

Intranet and want to update the data in the Internet, you will do it using this module. You need
to provide your remote database details in order to do this.

27.4) Database Backup


This will takes your entire database backup of the software. It is a good practice to take the
database backup every day at COB.

27.5) Letter Wizard


This module is to send bulk emails or bulk notifications to the students / parents or any other
group of people. You will compose the text and send the emails with formatting text and few
HTML controls like inserting hyper links and tables etc. You will preview your email before you
actually send it and store.

27.6) Security Logs


This link will display you all the database related transactions like add / edit / update of any
records to verify if anything goes wrong with the data.

27.7) Inspection Details


This module will keep track of all the inspection details of your school by the superiors /
correspondents or any other officials.

27.8) Teacher comments on Student’s Performance


This is the place where a teacher will write their comments on the students about the student
performance both academically and personally. These comments will be published on the
report cards.

27.9) Certificate Issuing


This module will keep the tracks of the certificate issuing transactions of each student.
Certificates like T.C., Report Cards or any other certificate that is issued will be recorded and
will be retrieved any time as a reference.

27.10) Mailing List


Mailing list will also like letter wizard with only change that these are sent to the students /
employees as emails (not real emails). Students and employees will check these mails by
logging into EMIS.

28) Mail
This is not a REAL mail application. This is EMIS’s internal mail kind of module wherein you will
send / receive messages across the students and employees of the school.

29) Forums
This is a third party Forums component embedded into EMIS. This is a full featured Forums
application wherein you will post / reply to the topics available in the Forums. The

administrator moderates the forums and will create the forums so that employees and students
will use the module.

30) News
This module will to store the latest news of the school. Admin will add news and they will be
published and will view by employees, students and parents.

31) Archives
This module will maintain your schools achieve database and to go back to the previous years
data. Not sure how good this module is working. Need to work on it and it is still in BETA state.

32) Organizer
This will help you in maintain your day-to-day activities and organize your appointments and
contacts. You will also set the reminders.

33) Quiz
Admin / employees will create a quiz and let the students ask to take the quiz. The students
will take these quiz from the logins.

34) Help
A detailed help will be available for each module using this Help.
