Books For A Cause – Terms & Conditions & FAQ

1. Q: How do I participate as a book collector?


• A: Send in a completed sign-up form either by our online form, or
fax, e-mail or post to our office.

Deadline to sign-up to participate - We must receive no later than


Monday 15th April 2011 at 5:00pm.

2. Q: What happens next after I sign-up?


• A: After you have signed up, you will receive a confirmation e-mail
within one week to acknowledge receipt of your sign-up form. You
will receive in early April an e-mail inviting your assigned
coordinator(s) to attend a briefing session to be scheduled on a
several separate sessions on a weekday at 6:30pm. A “Welcome
Starter Kit” with detailed instructions of how to promote, how to
collect, how to sort the books collected will be given by a Crossroads
representative who will be conducting the Briefing Session with
Kids4Kids.

3. Q: What do schools and corporate have to do as a collector?

• A: Schools and Corporate, which are participating in this event, to


help promote BFAC (details of how will be included in the “Starter
Kit’), set up collection boxes for books donations and will be required
to assist the sorting, counting of books collected and packing into
boxes afterwards. You will also need to keep in touch with the Books
For A Cause team.

4. Q: Where are the books going to end up?
• A: The books are going to be redistributed to charities in Hong Kong,
China and rest of the world working with less privileged kids with
little or no access to books.

5. Q: What sort of books are you looking for?


• A: We are looking for books to help kids with their education and to
give them a better future. Imagine what sort of books you would read
at school. All books need to be in good condition (no scribbles or torn
pages please) and suitable for children as well as a variety of cultures.
The categories needed are:
o English textbooks (primary, secondary and tertiary)
o English Children’s Picture books (primary aged)
o Chinese Children’s Picture books (primary aged)
o English learning materials/handbooks (suitable for teachers)
o Reference materials (Dictionary, encyclopedia, fact books)

6. Q: What happens to the books collected that are not in the above
categories?
• A: The books will be macro sorted in the above categories. If they are
not in those categories, they will be sorted as “Other” and “Recycle”.
All books collected will be processed and cataloged by the Crossroads
Foundation. If none of the “Other” books collected have a request for
redistribution, then they will be sent to be recycled.

7. Q: Will Kids4Kids retain any of the used books collected? If so, how
many and what for?
• A: Kids4Kids will “retain” no more than a nominal percentage of
books collected from this event for fund raising purposes. The books

retained will be sold by Advocates organized book sales. The net
proceeds from the used books sales will be donated to the
transportation costs for redistribution of the books to the recipients.

8. Q: Why should schools and corporate get involved?


• A: To get them to be a part of a project that does good and makes
you feel good to help other kids.
• We all believe in KNOWLEDGE IS A GIFT - KNOWLEDGE CAN CHANGE
LIFE. Anyone can help. All you need is to donate one Children’s book.
• To get them to be a part of a project that does good and makes you
feel good to help other kids.

9. Q: What can schools’ do besides collecting books for the project?


• A: They can volunteer to help with the sorting and packing into
boxes at collection points.

10. Q: How long are we going to keep the books (in terms of schools’
point of view since we are going to occupy their space)?
• A: Once the collection ends at 8 am on June 6, organize a time to
sort, pack and box the books. Kerry Logistics will call the
designated coordinator to arrange a time to pick-up the boxes. All
boxes needs to be picked up from all collection points and dropped
off by Kerry Logistics at Crossroads Foundation by 24th June, 2011.

11. Q: Who’s going to collect the books and are we going to supply
boxes?
• A: In the “Starter Kit’ which you will receive in early April, you will
be asked how many boxes you require and when. Kerry Logistics
will drop off boxes from mid May onwards.

12. Q: Do all participating collection points have to sort into different
categories of books collected?
• A: Yes. As a participating collector in Books For A Cause, it is
necessary to sort, count, pack and label the boxes before we have
it picked up by Kerry Logistics. Imagine the whole of Hong Kong
collecting at the same time. If we don’t help to sort, the many
books collected will cause a huge mess when it goes to Crossroads
for central warehousing. If the books collected are not counted, we
will not know how many books are inside each sealed box and how
many books we have collected in total from this massive book-
drive.

13. Q: Can I participate as a volunteer or a sorter?


• A: Yes. We will be recruiting volunteers as sorters when we know
who may need help. Please visit www.kids4kids.org.hk to be
updated and join our mailing list so we can notify you when we are
calling for volunteers.
