RESEARCH METHODOLOGY
In order to understand the satisfaction level of the customers, I have prepared a
questionnaire consisting of both structured as well as unstructured questions. Some of
the question are close ended where as others are open ended. To get the responses, I
went to Haryana region mainly Sonepat, Gannaur, Asandh, Karnal, Kurukshetra,
Yamunanagar, and Ambala. For the analysis of the responses, I have used excel sheet to
come to a conclusion regarding preferences and behavior of a respondent and continued
this procedure for all the respondents. I used pie charts to come to the final conclusion
as to determine the positive and negative attitudes of customer towards the Breakages
Settlement Process and Policies adopted by EVEREST INDUSTRIES LIMITED.

every possible thing that there should not be any counter of our competitors. This we do by
extensive brand promotion. It is a low freight area. We try to revamp the market. Generally
150 to 200 kms area around Factory and 100 kms from Depot is considered as primary market.

Strategic Market: Strategic market is that market where we fight with our competitors with
limited resources. The Freight is low freight there. And, the competition is very strong. In this,

brand promotion. This area accounts for the major revenue generation area.

Non-Strategic Market: Non-Strategic market is that market where freight is more as

ANALYSIS

1. Transit loss can be reduced by better packaging & supervision at the time of
loading of material.

2. Reclamation of damaged material, if completed without loss of time, salvage is

much better as such the net loss can be reduced.

3. Maximum net loss (%age) was occurred at Faridabad Depot among all the depots
taken together. It means that the functioning needs to be streamlined there.

4. Salvage should be done on monthly basis. It should not be carried forward to next
month.

5. Negative net loss tells that salvage given is more than the total breakage. This
might be the case if some breakage already there in the lot & that breakage plus
the current month breakage gets salvage against the current month breakage.

6. Minimum loss percentage is at Rajpura depot (except Muzaffarnagar which was

opened in the month of Jan’ 09). It means that the working conditions are good
there. And, the workers there are more equipped with the handling the material in
a right way.

81
7. Yamunanagar Depot was opened in Dec’08. But, the net loss is very high seeing
it worked only for three months. So, the worker there needs to be trained to avoid
the total breakage as well as the packaging should be done properly to avoid
breakages.

8. Among the four closed depots, Meerut depot, Chandigarh Depot, Kota depot and
Karnal depot, Karnal depot registered the highest net loss percentage of 3.57%.

82
Process of Breakages Settlement at EVEREST

The process of breakages settlement at Everest Industries Limited is as follows:

First of all, the production takes place at the plant and from there the goods produced
goes to the various depots. From depots as well as from Bhagwanpur Works, the goods
produced goes to Customers/Stockiest/Retailers/Project sites. Some breakages occur as
also quality complaints are received when the goods reached at the
Customers/Stockiest/Retailers/Project sites. Then, the
Customers/Stockiest/Retailers/Project sites inform the stockiest/Field Officers who in
turn log-in a complaint with the sales department, North Zone Office in a specified
format called a Breakage Report.

Then, the sales department sends the breakage report to the factory for the quality check
(QC) after compilation of all breakage report from all the
Customers/Stockiest/Retailers/Project sites. Then, a quality control officer or sales
officer of that particular territory goes and checks the quantum of breakages. A report is
to be prepared after the QC or sales officer visit to check the quantum of breakages. The
report prepared by QC is called CSR (Customer Service Report). And, the report made
by sales officer is called CIR (Complaint Investigation Report). QC submits his report
to the VP of that particular Works/Plant. And, the sales officer submits his report to the
Senior sales officer after signing who in turn sends it to the Deputy Manager/ Manager
of that particular region.

Then, the report comes to Zonal Office where Zonal Head signs the report and sends it
for the further processing. Here, the party has the option of either accepting the credit
notes or getting their defected materials replaced. Issue of credit notes is done as per
company policy. It is done according to a slab system predetermined by the company
which is as under:

Amount (Rs.) of the credit notes Handled by

1-8500 Zonal Office
8500 & above Head Office (H/O)

83
It means the cases in which the issuance of credit notes does not exceed Rs. 8500/- ,
those cases are to be handled by Zonal Office and credit notes are to be issued by them.

And, those cases in which the issuance of credit notes exceeds Rs. 8500/-, those cases
are to be handled by H/O and credit notes are to be issued by Zonal Offices after prior
approval from H/O.

If the case is being handled by Zonal Office and credit notes are to be issued by them to
the concerned parties, then the credit notes must carry the signature of Zonal Head
(DGM) and the Finance Head. The lead time (receiving the CSR/CIR and issuing the
credit notes) is 15-20 days in normal circumstances.

If the case is being handled by H/O then the credit notes are issued after approval from
the following persons:

Quantum of Credit Notes (in Rs.) Approval required from

8501-35000 Manager, MS
35000-50000 Product Head
50000 & above Executive Director

After the approval from the H/O, credit notes are issued to the parties and the claim is
settled.

84
Process of Breakages Settlement of Competitors (North India)

Hyderabad Industries Limited (HIL)

Stockiest bring the broken/damaged material to the nearest Depot/factory along with
full details of sizes and batch numbers, as also nature of breakages.

Company replaces the same as per the sizes received. Company also gives the option to
take the material in their next supply. To & Fro Freight is to be borne by the stockiest.

In case of projects, QC inspection is done and replacement, if required is done through

stockiest in case of small quantity, however, for truck load materials the same is
replaced by the company. Freight from the site to company’s depot/factory is to be
borne by the project party. The freight from Depot/Factory is borne by the company.

U.P. Asbestos Limited (UPAL)

UPAL’s policy is somewhat same as that of us i.e. credit note will be issued to the
customer after prior inspection by QC.
But, the difference is that their big stockiest provide replacement facility to their sub-
dealers. They ask sub-dealers to bring the broken material to them and take the fresh
material. And, the freight is to be borne by the sub-dealers themselves.
The company has no role in this whole process. This is done by Big stockiest on their
behalf. Then, QC will inspect the broken material collected at the stockiest and credit
note will be issued to the Big Stockiest.

Visaka Industries Limited

Visaka’s policy is also same as that of us but, some dealer gets replacement in areas like
Ferozabad, Mathura etc. from the big stockiest. The difference between Upal & Visaka
is that in Upal big stockiest has to replace the material but in case of Visaka
replacement is not compulsory. This trend was developed by Upal stockiest. Visaka
gives credit note after inspection by QC (generally take six months for one inspection).

Ramco. Industries Limited

The breakage policy at Ramco is that they pay 1% flat of net billing to the stockiest.
Inspection is done only if abnormal breakage is there in the truck and credit note is
issued to the stockiest after inspection.

Findings from the Survey
1. AC Sheets are more popular than GI Sheets in G.T. Road belt, Haryana.
2. Local billing is done from Yamunanagar Depot and CST billing is done from
Bhagwanpur Works.
3. Main competitors are Upal, Charminar, Visaka, Ramco & Super.
4. On an average 5-15 sheets are found broken in Everest Material on regular basis.
5. According to some stockiest, the quantum of breakages had been reduced when
the delivery is started from BW works.
6. The quality of material from Lakhmapur works is better than that of BW works.
7. Most of the stockiest find breakage settlement process of competitors is better
than Everest.
8. Delay in delivery is very common. Sometimes the delay is more than 3-5 days.
9. Due to late delivery of material, some stockiest lost 3-5 customers.
10. Some stockiest are of the opinion that the sales officer does not come to see the
broken material. Sales Officer should be more active.
11. Another complaint is that, Sales Officer changes on a frequent basis. So, they are
not able to make good relationship and understanding with the Sales Officer.
12. Quality Officer never came to some stockiest to check the broken material.
13. Stockiest are not able to get their claim because of difficult process of breakage
settlement.
14. Many stockiest are indifferent in getting their broken material replaced and
receiving credit notes.
15. There are very little complaints from end users of Everest products. It means that
the quality of material is good.
16. Rates are not an issue with most of the stockiest.

90
17. Some stockiest say that there should be a Customer Service Department in
Everest to look out for the complaints of customers.
18. Majority of the stockiest believe that the Normal time gap in settlement of one
claim and receiving the credit note takes more than two months. They consider
that the time gap is too long to be adjustable.
19. Thickness of AC Sheets is not equal. It varies many times.
20. Some stockiest say that sometimes bad material is loaded with good material at
the time of loading.
21. Credit notes of some stockiest are pending. And, in some cases the time gap is
more than 6 months.
22. Exclusive dealers of Everest are also facing the same problem with the breakage
settlement process. It impacts adversely on their loyalty towards the company.

91
Recommendations
1. Lead time should be minimized by making it mandatory for the Quality officers
to send in their reports next day to NZ Office after they have visited the stockiest
for Inspection. This will reduce the lead time considerably as the maximum time
is lost in this process.

2. Stacking should be done in such a way that the sheets of same dimensions should
be stacked with each other.

3. Sheets should be packed from all the sides and not from the bottom only to avoid
breakages in transit.

4. Transporter should also be called and given the instructions as to how to load the
material in the truck.

5. Due care should be given towards checking of thickness and weight

manufactured so that complaints should be reduced regarding thickness and over
or under weight of sheets.

6. Sales Officers should not over commit company norms.

Recent News about EVEREST

1) India’s Everest Seeks to Boost Exports to Gulf
Issac John

30 June 2009
DUBAI - Everest Industries Limited, an Indian manufacturer of walling and flooring
systems, said it expects to boost exports to the Gulf by up to 60 per cent as it saw a
bigger demand for affordable building materials in the region hit by a slowdown in
construction.

Everest, which generates $110 million in annual sales, plans to expand its dealer
network in the Gulf and enter new Middle Eastern markets including Yemen, Syria and
Jordan, said Manish Sanghi, the company’s Executive Director and Chief Operating
Officer.

“The nature of building projects in the UAE and rest of the region is changing in the
backdrop of the on-going economic meltdown. There is now a growing preference for
cost-effective, ready-to-use products by the region’s construction industry,” he said.

“We will boost our network from 16 to 25 dealers across the region. Also under way is
the launch of painted boards and floor boards to build on our current product portfolio
in Gulf countries.”

Everest provides building products and materials for housing, commercial and industrial
sectors in more than 15 countries. It has been present since 2003 in Dubai.

“Even during recession, we managed to post 80 per cent growth rate in the last fiscal
and target 50 per cent growth in 2009-10,” Sanghi said. Everest’s products in the Gulf
include heavy-duty cement boards, fibre cement siding and multi-purpose cement
boards that it says are resistant to fire, moisture and termites.

“The multipurpose cement board, which are in big demand in the Gulf region, gives
architects major flexibility of changing designs with thermal and acoustic insulation
besides being maintenance free and highly durable. These boards allow you to do the
finishes with paints, wall papers, texture coating and veneers,” Sanghi said.

Everest manufactures its products in India at facilities in Madhya Pradesh, West Bengal,
Tamil Nadu, Maharashtra and Uttaranchal.
