Coordination
For technical assistance please call the Service Management group 24/7 on the helpline
number 730-1999 (24 hours).
This portion exposes the main operating routine of all the modules within APL IOD.
Process Flow
After the user has logged into the system, a module or a QuickTap tab must be selected in order for the
program to determine the user’s target process. The system would conclude the operation according to
the selection made by the user. After the user has completed his/her tasks within the system, he/she
should log out in order to protect both the system and his/her user account.

The following elements are required to access the APL IoD:
General Constraints
For data security, authorized personnel can configure the modules and
operations shall only be allowed for a certain user account for access.
End-user passwords are modifiable, upon request to the enterprises‘ assigned
administrative users.
System will be up and running 24/7.
No direct access to the Database is allowed. The Master DB system has admin
tools to protect the integrity of the data.
CAD will have no direct access to the database or the system once it’s in live
production, in case of support (by level), CAD will define support roles.
Below table provides a thorough breakdown of the operations cited in the user manual and the
respective group of users which are allowed to execute given activities.

Operations Definition
All operations users are enabled to perform are grouped into activities in order to implement better
organization of the system. Below defines the operations given in the APL IoD User Breakdown table in
page 16.
Manage Customer Adding a new customer, edit existing customer entry(ies), delete
Registry customer entries.
Set Intra-Customer Defining the specific relationship of the customers to one another.
Relationship
Upload Vessel Voyage Specifying all the vessels content registered under APL, associating
Details Bill of Lading and Arrival Notice for packages being shipped.
Generate Report Retrieve reports according to the report type and date span specified.
This chapter was included to orient the user on the parts, functions and processes used in creating the
document.

The common parts of an IoD screen are marked on the figure above. They are as
follows:

Module Tabs
This portion is where the modules the IoD features are being displayed.
By clicking any of the modules in this portion, the user would be able to
shift from one module to another. This remains constant and static
within all pages and screens of the IoD. ™
Left Panel
The Left Panel contains direct links to the pages within the system that has been
marked by the user as favorite. This portion was only designed to display up to
five (5) favorite pages.
QuickTap Tabs
The QuickTap Tabs are links that leads to pages of supporting system
functionality. These tabs are present on any screen the system features.
These tabs consist of four (4) links, three leading to a setting and details
modifying page, one for marking the currently loaded screen as a
favorite:
1. Reports
2. My Profile
3. Transaction History
4. Add to Favorites
This document is composed of several chapters where each portion features its own respective
elaboration of data. The first few chapters are centered into all systems, flows and information through
which IoD operates. The latter portions pertain on giving proper instructions on how to perform specific
recording and managing tasks through IoD.
Concepts and figures significant in presenting information and operations are presented. Supporting
images such as screenshots and flowcharts have also been provided.
Logging In
In able for the user to gain access and control over APL IoD, he/she must first log in to the system.
1. Load your preferred Web browser. IoD has been designed to work well
under common Web browsers, specifically Internet Explorer and Mozilla
Firefox.
URL
3. Enter your username and password. These details would be given to you by
your enterprise’s administrative user(s).
Data Filtering
By default, the Volume of SMS Request graph in the Dashboard page presents data accumulated by the
system since the first day of the month. However, data being presented can be filtered by specifying
date spans.
1. Login to the system. Enter your username and password, then click the
Login button.
2. Next screen would be the Dashboard page. From the Volume of SMS
Request graph area, either click the From data field or the date picker icon
beside the data field.
4. After entering the From date, proceed to the To data field. Specify the
target end date by doing the same steps done in specifying the From date in
this data field.
6. Graph would refresh its contents, now presenting the information that falls
under the specified dates.
Security
First module in the IoD screen is the Security module. This module is only composed of one sub-module,
which is the PIN Generation page. Through this page, the system would send customers a six-digit PIN
which shall be their passcode in obtaining AN and/or BL information through SMS.
PIN Generation
In order for the system to make sure that AN and BL information would be sent to the rightful
customers, it would assign each customer a PIN which shall be sent to the mobile number given by the
customer. This PIN shall be later be provided to the system when requesting for AN or BL information.
1. Login to the system. Enter your username and password then click Login.
2. Dashboard screen would first appear. From this screen mode, hover over
the Security module.
3. From the menu that would cascade, click the PIN Generation option.
Vessel Voyage ID *
The unique identification code to be given to the vessel voyage being
registered. May consist of a maximum of six (6) alphanumeric
characters.
Vessel Registry
Identify of the vessel as assigned by APL. First data field may consist of
four (4) numeric characters, while second data field may only consist of
two (2) numeric characters.
Port
The port/pier to harbor the ship carrying APL’s cargos. Only
accommodates upper case alphabet and numeric characters.
The XLS format file containing the details of the clients with items being
transported by the vessel voyage being registered.
XLS Format
XLS if the default file format for all documents being generated by
spreadhseet applications, such as Microsoft Excel, OpenOffice.Org’s Calc
and Lotus 1-2-3. Other than the said format, system would no longer be
able to acquire content data from the file being uploaded.

1. Login to the system. Enter username and password then click the Login
button.
2. Dashboard screen would first appear. From this screen mode, proceed to
Security -> PIN Generation.
3. Next screen shall be the PIN Generation screen. From the radio button
options available, select the Update/ View Existing Vessel Voyage radio
button option.
4. Target Vessel Voyage can either be specified by directly encoding the Vessel
Voyage ID, or by selecting from the drop down window, which can be
activated by clicking the View All button.
6. To upload a Report File, Tick on the checkbox and click on Choose File.
7. Once done with all the modification, click the Submit button.

2. Dashboard screen would first appear. From this screen mode, proceed to
Security -> PIN Generation.
3. Next screen shall be the PIN Generation screen. From the radio button
options available, select the Update/ View Existing Vessel Voyage radio
button option.
6. A confirmation message would appear to verify the process. Click the Delete
button to continue.
Customer Maintenance
It is important that APL should keep a copy of each of their customers details, may it be for future
reference purposes or for present operations related reasons. The Customer Maintenance facility of
APL IoD was designed for managing customer information. Through this page, the system would be able
to acquire the necessary contact details, identify roles and mobile messaging permissions, either
through single entry or by bulk data upload.
1. Login to the system. Enter username and password then click the Login
button.
2. Dashboard screen would first appear. From this screen mode, hover over
the Admin module.
Company Number*
The Company Number assigned by APL for the particular
customer being registered. May only consist of eight
numeric characters.
Company Name*
The complete name of the customer company. Can consist
of alphanumeric characters, including symbols.
Address 1*
The business address of the company.
City*
The city where the company is situated.
State/Province
The State or Province where the company is situated.
ZIP/Postal Code
The Postal Code of the company client’s address.
Country*
The country where the company’s address is located.
APL Representative
The name of the Shipper’s contact person to APL.
Include AN Clause
Tick this checkbox if an AN clause should be included to the
Shipper.
Shipper (Roles/Function)
Tick this checkbox if the role of the customer being
registered is Shipper.
Forwarder
Tick this checkbox if the role of the customer being
registered is Forwarder.
Consignee
Tick this checkbox if the role of the customer being
registered is Consignee.
Name
The complete name of the contact person authorized to
request.
Fax Number*
The official Fax Number of the contact person where
notifications can be sent. Can only consist of numeric
characters.
Email Address*
The official email address of the contact person where
notifications can be sent. Can consist of alphanumeric
characters, including symbols.
6. From the File Upload window that would appear, locate the
target XLS file from the computer.
8. Screen would revert back to its original state. Once done with
the XLS file selection, click the Submit button.
SMS Blast
There are certain instances wherein the company might need to disseminate quick information or short
announcements to their customers. Through APL IoD, this can now be done through its SMS Blast
feature. With only a few rule conditions to be met, sending an SMS Blast Message is just as easy as
sending an SMS message through a mobile phone.
4. Next screen shall be the SMS Blast screen. Select first the
group(s) receipients of the SMS message.
Reports
Aside from storing shipping and transporting related data, APL IoD also stores past activities and figures
data. The Reports interface was created to cover this function. By specifying the particular time span
and by selecting the proper report type, the user would be able to obtain a copy of the report straight
from the system’s report containment facility.
3. Next screen shall be the Reports screen. From the drop down
window available, select the target Report type.
Changing Password
Changing of password is necessary in maintaining security of accounts from being accessed by
unauthorized parties. Users are recommended to change the default password they have been given
with on their first login into another they are personnaly familiar with.
Current Password*
The present password of the account being used to access
the system.
New Password*
The new password to be set for the account.
Confirm Password
Re-enter new password in order to verify the accuracy of
the security character string provided.
User Activity
Significant system activities committed by users can also be recorded by APL IoD. Under the User
Activity interface, operations that are committed by the logged in user can be viewed, complete with
the other details of the access. Through this feature, staffs would be able to track their system activities
for the sessions.
1. From any screen within APL IoD, click the Logout link.
2. Next screen shall be the system’s login page. At this point, you
are now officially logged out of the system.
XLS is the only format the file uploading facility of the PIN
Generation page only accommodates. Other than the said
format, system is not capable of reading information from other
word or spreadsheet document formats. Check if the file being
uploaded is on XLS format.

No Internet Connection
If the system has failed to pull Reports data after specifying limiting parameters, it is possible
that there is no transaction or figure that the IoD has recorded on the given date for the report
category selected. Make sure that the date span and Report type being selected is correct, and
that an actual transaction has really occurred on the target conditions.
All three data fields within the Change Password screen are
mandatory, therefore must be completed with their respective
values prior submitting. Failure to accomplish any of these data
fields would result the system to reject the password changing
request.
To make sure that the user has entered the right password, IoD
requires the user to enter the new password twice. These two
password entries should match each other. However, if the
system detects that they are different from one another, IoD
would immediately inform the user of the discrepancy of
character entry.
No User Activity
Under this facility of the system, APL IoD searches through the
activity logs which are automatically recorded by the system
everytime a user commits an activity in the system. However, if
the system did not present any information upon retrieval, it
could be that the user did not commit any operation within the
date span specified.
