About the Role

Working as part of a proactive careers information and employer liaison team, you’ll deal with a range of
stakeholders in person, online or over the telephone, pointing them towards relevant guidance and advice.
As graduates face an increasingly challenging job market in almost every sector, the pressure is on
universities to give their students a head start in searching for the right role. By supporting Bath Spa
Careers, you’ll provide the bridge our students need to make a successful transition into the world of work.

You’ll be the main point of contact on the information desk, supporting the aims of the service and assisting
the Careers Information Officer and Senior Careers Advisor by providing a helpful and organised service.

On a day-to-day basis, you’ll manage the flow of information from employers, professional bodies and
other external sources and will distribute this to students via a number of different communication
channels. These include a physical resource centre, website, newsletter, social media and various on and
off-campus marketing materials.
To meet the challenges presented by this role, you’ll need the following qualifications, skills and
experience:

An education to A2 level or equivalent


Recent experience of working in a customer-facing environment and the ability to relate to a wide
range of students
Excellent administrative and organisational skills
Ability to manage and prioritise a number of different tasks simultaneously to a high standard of
accuracy and often within strict deadlines
Excellent IT skills and effective written and oral communication skills

JOB DESCRIPTION

Job Purpose:
To support the continuous improvement of the function, maintenance, provision and resources in Careers
Information, with a particular focus on online and IT-based provision within Bath Spa Careers.

To respond effectively and efficiently to all initial enquiries – be they from students, staff, employers,
graduates or members of the public – and to assist service users in the use of resources, to provide access
to guidance appointments.

To support the development effective relationship management with employers and other external
partners to maximize opportunities for students, staff and the University.

Main Duties and Responsibilities:

1. To be the receptionist/first point of call for all personal and telephone callers to Bath Spa Careers,
dealing with enquiries is a welcoming, friendly and professional manner
2. To assist the staff in Careers, in particular i) to work with the Careers Information Officer on the
updating and organisation of resources, both electronic and paper and ii) to support the work of
the Senior Careers Adviser, responding promptly to specific information requests from the Careers
Advice team.
3. To support the Careers Information Officer in outreach work as well as marketing promoting the
services of Bath Spa Careers.
4. To administer the monitoring, evaluation and feedback across the work of Bath Spa Careers
5. To manage the Careers email inbox
6. To run the appointments system for all careers staff and ensure smooth running of group sessions
timetable
7. To be responsible for the processing, and circulating of all incoming mail
8. To be responsible for maintaining stationery supplies and other equipment for the Careers Service
9. To assist the Careers information officer in communicating with academic schools/subject
departments regarding the promotion of subject based opportunities
10. To support the Head of Employability, Senior Careers Adviser, Careers Information Officer and
Jobshop Co-ordinator in positively promoting the services provided, both internally and externally
11. To provide administrative support to the department in relation to mail sorting, monitoring,
ordering and distributing careers materials, and to maintain displays of careers information.
12. To support ad hoc careers events throughout the year both presented solely by Bath Spa Careers
and those in collaboration with schools, departments and external partners.
13. To be involved in ongoing training and professional development.

14. To carry out any other duties required which are within the scope and grade of the post.

PERSON SPECIFICATION

Qualifications/Experience
Essential:
Education to A2 level or equivalent
Recent experience of working in a customer-facing environment

Desirable:
AGCAS careers information qualification or equivalent, or working towards such a qualification
IT qualification ECDL or equivalent
Education to degree level or equivalent
Recognised library and information qualification
Experience of working in a careers information environment, particularly in an HE setting
Experience of working in an information-related field with a strong IT dimension

Skills & Knowledge


Essential:

Excellent administrative and organisational skills, and the ability to manage and prioritise a number
of different tasks simultaneously to a high standard of accuracy and often within strict deadlines
Excellent IT skills with proficiency in Microsoft Office and databases
Effective written and oral communication skills and the ability to deal with students and staff at all
levels
Excellent interpersonal skills with the ability to relate to a wide variety of students, and understand
student perspectives, and aspirations, as well as sensitivity to problems encountered by students
Ability to work effectively on own initiative and as part of a team
Ability to maintain confidentiality and comply with the requirements of data protection
Commitment to equality of opportunities

Desirable:
Experience of maintaining and editing a website using a content management system, MS office
applications, spreadsheets, databases and PowerPoint, as well as using the internet effectively as a
research tool
Knowledge and understanding of equality and diversity issues and the implications of these for
careers advice and guidance
