Executive and Personal Assistant
As the Executive Assistant I supported the owner /Chief Executive Officer and Ex
ecutive Team including Vice President of International Sales and Finance, Chief
Operating Officer, Controller, former Vice President of Finance. This support i
ncluded but was not limited to correspondence both internal to the company but w
ith suppliers, consumers and vendors.
Managed extensive contact list for CEO, developed excellent rapport with each
contact. Maintained meeting calendar for CEO and companys major event calendar t
o track sales / marketing deadlines and various events including holidays for US
and Canadian operations.
Scheduled travel arrangements for Executive Team both domestic and internation
al, including Corporate Jet Travel. Negotiated Hotel and transportation rates f
or traveling employees. Scheduled training and company meeting events including
air, location, hotels. Researched and negotiated to obtain the best services f
or the least cost, saving thousands per meeting.
Designed and implemented quarterly/yearly spreadsheet tracking of all taxes to
minimize late fees and penalties. Filed all Annual Reports as required by each
State. Saved tax penalty and interest by reviewing Tax Returns received from a
ccounting firm and requested corrections as needed, processed check requests and
filed all returns certified mail in a timely manner.
Researched and Negotiated contracts for printer/copiers, maintained supplies,
including maintenance on as many as 6 copiers/printers. This included negotiati
ng upgraded leased equipment without an increase in contract prices for addition
al 2 year contracts. Maintained adequate inventory of office supplies, reorder
ed as needed.
American Express Account administrator for up to 60 employee cards in two coun
tries.
As Personal Assistant to CEO/Owner I maintained all aspects of his home(s) inclu
ding managing the move from one location to another.
Paid all bills and maintained check register and tax records. Maintained book
s and checking accounts for 7 (seven) additional businesses including the Family
Foundation. Established and maintained excellent rapport with personal bankers
.
Scheduled all travel for employer and at times family and friends. Planned ex
tensive 5 star vacations for trips to Europe, ski vacations and birthday trips.
Including Private Jet travel
Planned and executed A-List parties from beginning to end including catering,
alcohol and staffing for groups as large as 400.
Available 24/7 as needed by employer, maintained ability to fulfill any and al
l requests as they arose going above and beyond as needed.
