Heart of the Arts Month – October 2011

Dear Cultural Arts Council Member,

The Polk Arts Alliance, representing over 40 Cultural Arts Organizations in Polk County, is pleased to announce the
inaugural Heart of the Arts Month (HOTArts) month in October 2011. As a member of Americans for the Arts we are
excited this event will coincide with National Arts & Humanities Month!
This celebration of arts will be a major marketing opportunity for the Polk County arts organizations and invite the local
community, guests and tourists to experience the diverse and extensive cultural arts in Heartland Area.

Polk County has a broad range of exciting cultural activities for residents and visitors throughout the year. This October,
we will be celebrating our cultural diversity by uniting to showcase all of our arts, heritage and cultural programs,
exhibits, music, dance and performances in Polk County.

During HOTArts Month participating cultural arts organizations will host events that appeal to a broad spectrum of the
community, as well as to our visitors and tourists. Special discounts and packages will be provided that will serve to open
the arts organizations and events to allow us to showcase the finest Polk County has to offer in the arts.

The Polk Arts Alliance is developing a solid, wide-spread marketing plan that includes partnering with local agencies to
provide the marketing vehicles to promote the festival. By partnering with Visit Central Florida, the Polk County Tourist
Development Council and municipal Chambers of Commerce, we will collaborate on promotions to be woven into
existing marketing efforts both inside and outside Polk County.

HOTArts Month will showcase the vast array of cultural experience opportunities in Polk County’s cities, towns and
greater communities a true destination for the arts.

PARTICIPATION ACTIVITIES
1. You and your organization agree to fulfill and promote organizational specials, discounts and possible arts bingo
card offerings.
2. You and your organization agree to present at least one event, performance and/or special event to be included
as a Heart of the Arts event.
a. You agree to register your events using the online form and provide one prize for a special drawing.
3. You and your organization agree to participate in meetings, promote the events, utilize marketing materials and
train staff to execute the event at your site.

PARTICIPATION PLEDGE
This October, Polk Arts Alliance will present the Heart of the Arts Month. As a collaborative marketing and promotional
event, PAA is asking each cultural organization in Polk County to participate. In order to participate, organizations are
asked to supply PAA with special events listing, reciprocal membership privileges, admission specials and staff support to
execute the month’s activities. By signing the bottom of this page, you acknowledge and pledge that you are the point of
contact for the Heart of the Arts Month and your organization will be an active, supportive member of this event.
