Introduction
Purpose

The purpose of this Installation Planning Guide (IPG) is to provide a structured process for Xerox representatives to collect and distribute the information needed to ensure a successful installation of a networked DocuColor 7002/8002 Digital Press product. The information in this guide will be used during the sales cycle to determine if the product will perform to the customers expectations and if the customers site meets specification requirements. A secondary use of the information in the IPG will be during and after the actual installation of the digital press for problem solving and support purposes.

Chapter 4. Overview of the CRIF document This chapter provides information on the Customer Requirements Input Form (CRIF) document. Chapter 5. CRIF document This chapter contains all the worksheets that comprise the CRIF document. Chapter 6. FreeFlow Scanner 665E (optional) This chapter general information on the various roles and responsibilities involved in the preinstallation, the installation, and the post-installation processes for the optional FreeFlow Scanner 665E. This chapter also provides information about the FreeFlow Scanner 665E space, electrical, environmental, and power receptacle requirements.

Develop requirements analysis: Gather customer requirements, including network (Using Customer Requirements Input Form (CRIF) document). Develop and validate solution. Write technical section of proposal:

Assist the Analyst in conducting the site inspection and verifying site readiness. Call customer to maintain relationship and satisfaction.

Conduct the site inspection and verify site readiness. Manage implementation/ installation plan: Manage schedule and plan. Resolve issues. Deliver analyst billable services as documented in implementation plan. Validate communication between the Color Server and the Client Workstation by printing a PDF file from a Client Workstation.

Carrier: Deliver and position product. Service Representative: Install machine and accessories. Install electronic options and upgrades, and software as required. Install product to network (Levels 1 and 2 installs *). Ensure network connectivity from the Color Server to the Digital Press by printing a PDF file through a Web Browser.

Deliver training as required: Key operators/ print/ production managers. Network users (client). Administrator training courses.

Post-implementation & on-going support (Steps 9-10)


Evaluate solution and implementation, follow up on any concerns and new opportunities. Visit customers on established basis to expand relationship. Manage and provide on-site resolution of software, network, and applications problems, if dispatched by the Customer Support Center. Identify applications, volume building, addon business, etc. Customer Support Center: Own problem management. Escalate problems according to the call escalation process. Service Representative: Resolve hardware issues. Propose and deliver incrementa l billable training as required.

The product strategy is that customers are responsible for network configuration and software/ drivers installation. Xerox assistance, if required, is provided as billable services. * Level 1 installs can be completed by a Service Representative. Level 2 installs can be completed by a Service Representative with Technical Specialist assistance. Level 3 installs require both a Service Representative and a Xerox Analyst to complete.

Faultless install
Overview

The Customer Trainer and the Customer Analyst should review the entire Installation Planning Guide so that a faultless install will occur. Physical site checks and site drawings should be repeated until the processes are completely understood. Local policies require specific considerations for each product installation. Ensure that you are aware of the local policies before going to the customer site.

Definition
A faultless install is the outcome of the process, order to invoice. A faultless install is accomplished when the digital press and its accompanying modules (and optional accessories, if any) are delivered and installed in a prepared site without any problems for the customer, the delivery personnel, or the Xerox Service Representative. It is the job of the Customer Trainer and the Customer Analyst to work with the customer to ensure that the physical site where the customer intends to place the digital press is acceptable in terms of the delivery route and the space, electrical power, and environmental requirements.

Pre-installation customer interview and physical site check


After the order of a digital press has been placed, the Customer Trainer or the Customer Analyst must visit the customer site to complete a physical site check. Arrange for a meeting with the decision maker at the site and explain that it is your job to ensure that nothing interferes with the delivery and installation of the equipment. This manual contains the requirements for the delivery and the installation of the digital press. Discuss the installation requirements with the customer and explain the installation process. Show the space requirements for both movable and stationary installations. Determine with the customer whether a movable or a stationary installation is required. Determine if Mobility Plates are required. Mobility Plates are required for all installations on carpeting, if the floor flatness specification can not be met, or if the roughness of the floor surface will restrict the movement of the digital press and its feeding and finishing equipment. Mobility Plates may also be used where a customer wants to distribute the weight of the digital press over a larger area vs. the single weight points of the wheels. Refer to the Mobility Plate Ordering Configuration chart in this document for the correct part

numbers to order. Stationary installations are generally acceptable on hard wood or industrial linoleum over concrete, or concrete floors that meet the flatness specification. Ensure that the site meets electrical power requirements for all modules of the press and, if required, for a Color Server, and other accessories that may have been ordered. Determine if the environmental conditions meet specifications for the press. Measure the intended digital press site to ensure that it meets space requirements. Follow the instructions in the Site Planning section of this chapter to make a site drawing. The site drawing is used to ensure that the space is adequate for the digital press. Make a copy of the grid sheet. Draw the walls and other objects in the installation area on the grid sheet, using a scale of .25 inch to represent one foot (6.35mm to represent 304.8mm). Accuracy is essential in order to determine whether the proposed site meets minimum space requirements. Walk through the delivery path. Measure the doorways, stairways, and the hallways for the physical site check. Make note of any problem areas, such as tight doorways or turns. Ask the customer if there are any questions about the process at this point.

When drawing the installation specifications on the grid sheet, draw a clearly labeled diagram of the room. Indicate the exact location of the digital press. It is very important that this drawing be easy for the delivery crew to understand. Ensure that you give very clear and very specific instructions about where the digital press is to be placed. Ensure that all drawings meet the following requirements: The drawing must have clearly labeled references to fixed objects in the room. For example, the drawing should show a clearly labeled left wall or back window rather than a desk or table as a reference point. Drawings must show exact measurements. For example, a correct drawing must show the digital press to be located a minimum of 29 inches (738mm) from the right wall, rather than just positioned in that area. Indicate all measurements to the left rear corner of the digital press. The drawings must indicate the location of all the power outlets to be used. Refer to the Power Cord Requirements table and the Electrical Service Outlet Worksheet in the Site Planning section of this document. Make two copies of the completed Installation Footprint drawing. Leave one copy with the decision maker. Keep one copy. Leave the actual drawing in a prominent place at the installation, such as taped to the wall in the room where the digital press is to be installed. Verify the items on the Pre-installation Checklist in the Site Planning section of this chapter.

If there are any problems that cannot be resolved, report them to the responsible team in the district.

Follow-up
Visit the site and verify that all requirements have been met. If the site is not ready, attempt to resolve any readiness conflicts. Perform ongoing site check updates until the site is ready. When the site is ready, begin the installation process used in your district. Ensure that any optional letters of agreement concerning space requirements are processed properly in your district. Schedule the training for the same time as delivery and installation of the digital press, or as soon as possible after installation.

The digital press consists of individual modules that can be moved independently. Some modules are palletized together, but once removed from the pallet, they can be moved as a separate module. The Basic Configuration consists of the Digital Press, First Feeder Module (Trays 1 and 2) which includes the Transport Module, the Electrical Module, the Ecology Module, the Exit Module and the Offset Catch Tray. An installation is defined as non-moveable when the printer is installed without Mobility Plates. An installation is defined as moveable when the Digital Press and feeding / finishing devices are installed on hard flooring or mobility plates. Examples of hard flooring include but are not limited to the following: industrial linoleum, concrete and industrial strength hard wood flooring. Mobility plates can be ordered using the part numbers in the Mobility Plate Ordering Configuration chart on the following page. The Fiery color server and the FreeFlow Print Server controller can be installed at the right or left side of the digital press. Any shelf, immovable object, wall decoration, or ornament which is located with the space envelope must be at least 75 (1905mm) above the floor. Mobility Plates are required for all movable installations on carpeted floors. All components will fit through door openings of 30 (762mm) or greater.

Site planning
How to use this chapter

Save the enclosed Installation Footprints and Grid Sheet for use as originals. Make 100% copies, as needed, for proposed press installations. Keep your copies and the originals in a convenient place. Determine if the customers proposed installation space is adequate. After determining the configuration the customer requires, prepare a site drawing using the copies. Fully measure the proposed area and draw the walls and other objects in the installation area. For increased accuracy, use a copy of the Grid Sheet for the drawing. The Grid Sheet uses a scale of 1/4 inch to represent 1 foot (6.35mm to represent 304.8mm). It is important to determine whether the proposed site meets minimum space requirements. Refer to the Faultless Install section of this manual for more information about preparing a site drawing. Determine whether a stationary or a movable installation is required. See the Installation Footprint diagrams later in this chapter to determine the area needed for each proposed installation. If a stationary installation is chosen, the indicated space envelope must be maintained at all times. This eliminates the need for Mobility Plates. Space requirements for a right or left side Color Server installation will vary according to the Digital Press configuration and the server. The customer must decide whether to place the server to the right or to the left of the press.

Note There must not be any barrier such as a wall or room divider between the Color Server and the press. Choose a movable installation if the customer does not have adequate space for a stationary installation or if the customer requests that the press be placed as close to a rear wall as possible. Movable installations must also be used if the press is to be placed on carpeted floors. Mobility Plates are required for installations on all carpeted floors. Ensure that there are no obstructions within the required space envelope, such as shelves attached to a wall, that are less than 75 inches (1905mm) above the floor. Determine the number and location of the electrical outlets to be used. Four or more outlets are required for basic press installations; more are required depending on the optional equipment included in the configuration. The following chart indicates the number of electrical cords for each device and the length of the cord. There is also an Electrical Service Worksheet located further on in this document for you to use when determining power outlet positions.

Electrical service outlet worksheet for stationary or movable installations


Tip Ensure that the power outlets are within reach of the radius of each power cord required. Refer to the example below. The DocuColor 7002/8002 Digital Press requires a sole use 20 Amp, 200-240V, 50hz, or 30 Amp, 200-240V, 60Hz outlet. Color servers have multiple power cords (refer to the Power Cord Requirements chart) and cannot share the same outlet with the digital press. These units usually require 110V/115V outlets. If desired, a customer can supply a power strip with a surge protector that is designed for use with 110V/115V, 10/15 amp. Refer to the Color Server documentation for specific requirements and to determine if a dedicated circuit is required.

Pre-installation checklist
The purpose of this checklist is to verify that the installation site meets Xerox standards and requirements for the safe operation and service of the press. Verify the following items prior to the installation: Ensure that the installation site meets space requirements. Ensure that the correct Mobility Plates have been ordered, if needed. Ensure that the required electrical service is available. Check the unloading site and passageways to ensure that the space is adequate for movement of the press to the installation site. Check the delivery path for special requirements for the Carrier, such as stair crawlers. Note any site problems and report any issues to the responsible team in the district. Schedule training. Collect typical sample jobs from the customer. Note any competitive activity, and provide this information to the sales organization.

Post-installation and callback checklist


Verify the following items after the installation: Check the press operation and the print quality. Check the supplies inventory and encourage the use of Xerox products. Check to ensure that an operator training session has been scheduled with the Customer Trainer. Review the billing procedure with the customer. Check the level of customer satisfaction. Note and report any problems to the responsible team in the district.

The Customer Requirements Input Form (CRIF) document is comprised of various worksheets that are completed and signed by either the Analyst or the Sales Person or both. Stair climbing/Upending Checklist: Part 1 - Stair climbing


1.Will the equipment be delivered to any location other than the street level floor? If the answer is no, no need to stair climb. If the answer is yes, continue with this form. 2.Is there an elevator that will accommodate the weight and dimensions of the IOT and delivery personnel? If the answer is yes, no need to stair climb. If the answer is no, please continue with this form. These tasks are necessary to ensure a successful installation of the FreeFlow system, and a smooth transition for FreeFlow users. Make copies of the Complete Installation Checklist. Site selection and preparation


This section describes the recommended procedures for protecting the FreeFlow system from virus contamination. This portion of the chapter contains guidelines to select and prepare the customer site to enable the installation of the Xerox FreeFlow Scanner 665E hardware and software components. Part of this section will assist in selecting an appropriate site for the scanner. Included is a list detailing the required hardware and the function of each hardware component. The physical, environmental, space, electrical, and consumable requirements are described in detail. Finally, a checklist is provided for tracking the site selection progress. As with any new equipment, the site must be prepared before the equipment can be installed. This section also provides information and a checklist for monitoring the progress of the sites preparation. Finally, this section provides information and a checklist which outlines the tasks necessary to complete the delivery and installation of the FreeFlow hardware and software, and ensure a smooth transition for the customers personnel.

FreeFlow Scanner 665E

Overview
Xerox FreeFlow allows users to scan, print, and save images and to store documents online. The basic FreeFlow configuration consists of both hardware and software components. The FreeFlow software can only run on a Xerox specified hardware platform. At this time, the current platform which will ship with the Freeflow Scanner 665E product is the following: Dell OptiPlex GX520 - This platform is used for the FreeFlow scanner software applications including Scan and Print, Production Printer Settings, Quick Print, File Manager, and Security Certification.

Figure 1 displays all the required hardware for the FreeFlow Scanner 665E. The FreeFlow system functionality is divided into two main elements: The PC client element - provides the end user with the ability to create documents, merge scanned objects at the PC client, and catalog individual objects (files and directories) for mass storage. The network connection element - enables the use of different protocols to connect to multiple printers or the network publishers.

Production Scanner
FreeFlow provides the end user with the ability to scan objects at the PC by using the high speed Xerox FreeFlow Scanner 665E in Black and White or Color.

Environmental requirements

Space requirements
The Scanner requires a minimum of 6 inches (152.4 mm) on each side and a minimum of 6 inches (152.4 mm) to the rear for proper ventilation and to allow the scanner to operate most efficiently. Note The SCSI cable used to connect the scanner to the PC is 9.8 ft. (3 meters) in length. The Workstation and Server require 3 inches (76.2 mm) of clearance front and back for proper ventilation. Note Avoid having any warm/hot exhaust from other equipment entering the scanner ventilation area. Workstation table An optional, special purpose-designed table is available with the FreeFlow product. This table will house all the FreeFlow required hardware. Tip If the customer does not want to use the optional table, the furniture on which the FreeFlow system is placed must be able to bear at least three times the weight of the system. The optional workstation table requires a minimum of 6 inches (152.4 mm) of clearance on all sides. Figure 2 displays the dimensions of the workstation table (Part Number 498K07990). This table can be used with the new FreeFlow Production Scanner-based workstation.

Electrical requirements
The customer is responsible for providing the appropriate number of 15-amp or 20-amp, 115 VAC circuits in the United States and Canada (10 amp, 220 VAC for European installations). All devices come with power cords that are a minimum of 6 feet (1.8 meters) in length. Table 6 lists the power requirements and number of outlets for the hardware components. Note It is recommended that the scanner has its own dedicated line. There should be a separate outlet (wall outlet or power strip outlet) for each of the hardware components listed in the Table 6. Extension cords and multi-plug connectors do not meet the safety requirements for these hardware components. If you are not sure whether the customers site meets these requirements, consult with an electrical contractor. A FreeFlow station requires a minimum of three outlets. Table 6. Site preparation
The site must be prepared completely before the delivery of the FreeFlow Software product can be scheduled. The site preparation process includes ensuring that the following tasks are completed: Environmental requirements have been met. Space requirements have been met. Electrical requirements have been met. Cabling requirements have been met (see Cabling on page 100). Storage for documentation and software is included in plan.

Third party software


Based on the configuration being installed, several third party software packages may be delivered with the hardware. Store this software, as well as the FreeFlow software, near the FreeFlow system, in case it is required at a later time. Installation and delivery


This section describes the activities the customer and Xerox must perform during the installation and delivery of the FreeFlow Scanner 665E Software. Before installation can take place, all the site preparation tasks must be completed. Xerox is responsible for the delivery and physical installation of the FreeFlow hardware components and software. The customer is responsible for providing the right personnel, ensuring that the site is accessible and that the necessary network information is available. The customer should perform the following: Ensure that there is unobstructed access to the installation site so that all the hardware components can be delivered. During the installation, ensure that the Customer Installation Worksheets are available and all the information is correct. Network connection diagram


The network connection diagram define the cabling connections recommended by Xerox to support the FreeFlow system. Xerox is responsible for all connections that appear inside the dotted line, and the customer is responsible for all connections outside this line. Note The Xerox Service Representative is not permitted to work on the backbone of a customers network. Installation of this equipment is required prior to the Xerox Service Representative sign-off on the Site Preparation Checklist. For any common thick-net connections, the customer must install the tap block, the transceiver, and the drop cable. The installed drop cable must terminate with a plug or a transceiver.

Optional hardware descriptions


Scanner footswitch kit The scanner Footswitch provides the ability to scan documents using a footswitch rather than the Scan/Next button in Scan and Print application or the Start button on the scanner. The Footswitch will work with the FreeFlow Scanner 665E. Makeready table The optional Makeready Table can accommodate the base FreeFlow Scanner 665E hardware. Note If the customer does not choose to use the Makeready Table, the furniture on which the FreeFlow system is placed must be able to bear at least three times the weight of the system.
