What are the benefits of ISO 9001?

Customers today demand and expect Quality products and services, provided on time, at the right cost. With the rapid Globalisation of markets organisations have to compete on an international basis, as well as within domestic markets also. Many major companies and governmental organisations now insist on its suppliers achieving ISO 9001 certification, before any contracts are awarded Only those organisations that can consistently provide Quality to their customers will survive and prosper in the long term The benefits of an effective Quality Management System such as ISO 9001 include: Enhanced market reputation and customer satisfaction Improved market share Better relationships with customers and suppliers / sub-contractors Access to export markets Improved internal communications Improvements in efficiency due to the reduction in waste, repair, rework, delays, lost orders, customer complaints etc Increased profitability through cost reduction Continuous improvements through feedback and prompt corrective action to any concerns arising

And Finally..
Money spent on implementing ISO 9001 should be seen as an investment and as with all investments, should provide your organisation with some measurable payback. With this in mind the choice of Certification Body, (and any Consultants employed), is crucial in helping the organisation achieve its objectives for success and profitability. While there are exceptions to the rule, Quality System developed with Lowest Cost in mind do not provide the organisation with any long term benefits, and result in any ISO 9001 Certificate awarded being just a piece of paper (albeit an expensive piece of paper) It is Moody International philosophy to play an active, long-term role in assisting our clients to pursue continuous Quality and Business improvements

How do we achieve ISO 9001?

The ISO 9001 certification process consists of 5 phases or steps, outlined below:

STEP 1: Where are we now? (Gap Analysis)

A review of existing systems and procedures should be conducted against the requirements of ISO 9001; this may be performed internally, or through an external consultant / certification body. Any shortfalls or omissions should be identified, an action plan established

STEP 2: Document the system (say what you do)

The Quality Management System must be documented, as required by ISO 9001. This documentation shall consist of:

QUALITY POLICY MANUAL

This document should contain or refer to the organisations policies and measurable objectives for quality, together with the mandatory procedures (or references to them) required to implement the organisations policies and objectives, and a description of the business processes employed.

PROCEDURES
These documents define how those activities that affect Quality will be performed, and must include all of the ISO 9000 clauses that are applicable to the organisation concerned Procedures should be written in conjunction with those personnel responsible for the activity concerned, and reviewed and approved by the Organisations senior management before release The above documents can be prepared internally, or the services of an external consultant employed, to provide advice and guidance during the documentation phase

PROCESS FLOW DIAGRAMS

These describe the key business processes operating within the organisation, including process inputs and outputs, activities to be performed, an the interrelationships between them.

WORK INSTRUCTIONS
These documents define how a particular task or activity is to be performed, and must be available where the absence of such instructions will affect Quality Examples of Work Instruction may typically include: Drawings / Specifications (internal or external) National and International Standards Test Methods Processes Instructions Photographs / Models / Representative Samples

FORMS AND RECORDS

These documents provide the objective evidence that the requirements of quality have been satisfied.

All Quality System Documents should be formally reviewed, approved and issued to all concerned personnel

STEP 3: Training
During this stage, Quality Awareness training should be provided to ensure that all personnel fully understand their roles and responsibilities for Quality. Personnel from within the organisation should be trained as Internal Quality Auditors, in order to conduct planned Internal Quality Audits as required by ISO 9001 Moody International will provide Quality Awareness training as well as IRCA registered training courses.

STEP 4: Implementation (do what you say)

Once the system has been formally issued, the organisations Management must ensure that the procedures and controls are effectively implemented At this stage, regular Internal Quality audits should be conducted to ensure that full compliance with the procedures is demonstrated, the results of any non-conformances documented and reviewed by Management, and the necessary corrective and preventive actions identified and implemented. Where an external consultant is employed, they should be able to provide expert advice and guidance during this critical phase ISO 9000 certification bodies normally require documented evidence that the system has been in place for at least 3 6 months, prior to certification.

STEP 5: THE CERTIFICATION PROCESS

At least 2-3 months prior to the planned assessment date, the certification body should be selected. While price and cost are important factors in this decision, the following guidelines should also be taken into account, during selection of a suitable certification body. Do they possess auditors with expertise in your industry? Are auditors based locally? Do the costs quoted include travel and accommodation (where applicable)? Are the certification body accredited by any International body, if so is this accreditation recognised throughout the industry? Is the certification body independent from the consultancy organisation? This is important in order to demonstrate no Conflict of Interest Obtain references from their existing clients

Your consultant should be able to provide a list of recommended certification bodies. Having selected a suitable certification body, the process of assessment commences, which can be divided into three stages:

1. Document Review: The Quality Manual and Procedures should be submitted to Certification Body approximately 6-8 weeks prior to the chosen assessment date; the purpose of this review is to ensure that these documents comply with the requirements of ISO 9001:2008

2. On/Off Site Audit Visit / Stage 1 / Pre Certification The stage1 / Pre Certification audit verifies the documented QMS and its implementation and companys preparedness to face final certification audit for ISO 9001:2008 Standard. As a result of this audit, where no concerns / deviation are found, stage-2 audit is recommended; otherwise if there are any deviations, necessary action has to take before the final certification.

3. On-Site Audit Visit / Stage 2 / Final Certification On the chosen assessment date, the on site audit will be conducted to ensure that the procedures are effectively implemented. The length of time spent on site and the number of auditors employed will be dependent on the size of the organisation concerned, and the nature and complexity of the processes involved. As a result of this audit, where no major non-conformances are found, recommendation is made for certifications to ISO 9001 Where Major non-conformances are found, recommendation for certification is deferred until a separate Verification visit is made to ensure that corrective actions are effectively implemented.

4. Surveillance Visits These visits are conducted at periodic intervals (i.e., 6-Monthly / Annual), in order to ensure on going compliance to the requirements of ISO 9001.
