What is Management? Defining the Managers role.

Abstract: We often think of what management really Is and what is a managers role in it Manager needs to possess various skills & techniques to tackle and adapt to various situations and problems. As the functions of a Manager differ from organization to organization, its nearly impossible to have a single perfect definition for Management and its Role in an organization. In this case a General Manager and his Assistant, who is to take on the post of a manager now, try to narrow down upon the role of a Manager in an organization, his function, his Skills, Duties and how should he sketch out the policies and procedures governing an organization. Introduction: Now what management really is? Management has been defined from being responsibility for and control of a company or similar organization to being Trickery; deceit But as far as the definition of Management from Business point of view is concerned management is defined as process of getting activities completed efficiently and effectively with and through other people and organization and coordination of the activities of an enterprise in accordance with certain policies and in achievement of defined objectives. Similarly defined by Gaynor Management is the implementation of policy to achieve company aims and objective to which Adam added with the application of modern management and Human Behavior tools and technique Management is both art and science. It is the art of making people more effective than they would have been without proper management. The science is in how manager does that. A manager's title reflects what he/she is responsible for. An Accounting Manager supervises the Accounting function. An Operations Manager is responsible for the operations of the company. But regardless of title, the manager is responsible for various roles and functions that are discussed below: FUNCTIONS OF A MANAGER

Planning: Deciding what needs to happen in the future (today, next week, next month, next year, over the next 5 years, etc.) and generating plans for action. Organizing: (Implementation) making optimum use of the resources required to enable the successful carrying out of plans. Staffing: Job Analyzing, recruitment, and hiring individuals for appropriate jobs. Leading/Directing: Determining what needs to be done in a situation and getting people to do it. Controlling/Monitoring: Checking progress against plans. Motivation : Motivation is also a kind of basic function of management, because without motivation, employees cannot work effectively. If motivation doesn't take place in an organization, then employees may not contribute to the other functions

ROLES OF A MANAGER

Interpersonal: roles that involve coordination and interaction with employees. Informational: roles that involve handling, sharing, and analyzing information. Decisional: roles that require decision-making.

MANAGEMENT SKILLS

Technical: used for specialized knowledge required for work. Political: used to build a power base and establish connections. Conceptual: used to analyze complex situations. Interpersonal: used to communicate, motivate, mentor and delegate. Diagnostic: ability to visualise most appropriate response to a situation .

And one of the most important function of the MANAGER is to formulate the Business Policy FORMATION OF THE BUSINESS POLICY

The mission of the business is the most obvious purposewhich may be, for example, to make soap. The vision of the business reflects its aspirations and specifies its intended direction or future destination. The objectives of the business refers to the ends or activity at which a certain task is aimed. The business's policy is a guide that stipulates rules, regulations and objectives, and may be used in the managers' decision-making. It must be flexible and easily interpreted and understood by all employees. The business's strategy refers to the coordinated plan of action that it is going to take, as well as the resources that it will use, to realize its vision and long-term objectives. It is a guideline to managers, stipulating how they ought to allocate and utilize the factors of production to the business's advantage. Initially, it could help the managers decide on what type of business they want to form.

Policies and strategies in the planning process

They give mid- and lower-level managers a good idea of the future plans for each department in an organization. A framework is created whereby plans and decisions are made. Mid- and lower-level management may add their own plans to the business's strategic ones.

CASE DEFINITION: This case is a conversation, between Charles Gaynor (Managing Director of Gaynor Hotels) and Adam Smith( General Assistant to Gaynor). Adam has been working at Gaynor Hotels from last 12months and has been acting as an Advisor, Councilor, Internal Consultant & Therapist in the organization. He had investigated problems, developed concepts, established principles and generally contributed to the decision-taking process which took place in the mind of his employer, Gaynor. Adam and Gaynor have been acting as a two men managing team for the organization. In this case Hedges, the manager of Zypher ( A hotel under Gaynor Hotels) is fired by Gaynor due to display of Irresponsible and Unethical behavior by him. Thus Gaynor offers Adam to take the position of Hedges at Zyphers as he is the best option available to him but before Adam joins the office at Zypher, Gaynor wants him to define What Management is & what managers really do. Adam Smith, general assistant of Charles Gaynor (managing director of Gaynor hotels) sitting on his desk and reflected that It was now exactly twelve months since had been appointed general assistant to Gaynor. During this time Adam smith had worked as Advisor, Counselor, internal consultant and therapist. He had investigated problems, developed concepts, established principles and generally contributed to the decision-taking process which took place in the mind of his employer, Gaynor. Adam on his desk thought that he and his Assistant had created a two man management services activity since they had concentrated on looking at, and solving old problems in new ways. Adam was thinking about management-what it is, when his thought was interrupted by the door opening and Gaynor appearing with a benevolent smile. Then a discussion starts between them about a manager started with the Gaynor who says that he has to fire a manager of his hotel- Mr. Hedges, at the Zephyr due to less responsibility and unethical behavior. Gaynor says that he was doing a good job for him, now he has to find a new manager in place of him. He adds that good managers are very difficult to find as if they grew on trees! They are such rare animals; they take such a great deal of finding, such a great deal of raising. Gaynor says Adam to take over as manager at the Zephyr for next month or so, during that time He will find a new manager as there is nobody suitable to the post in the company at present. But Adam says that he had never actually managed a hotel. The Gaynor says him that it will be an excellent experience for him and also he has no doubt about his management abilities. Then the discussion goes on with the question what actually is management? Adam says that it is obviously to do with the profits and its equally to do with concern for people and creating a climate where they can grow and develop. To this Gaynor says its rather vague. They start discussing things and went through that what kind of Policy Mr. Hedges offended. They go on with the discuss that whether a policy should be there in a company or not. What if a policy is made in the company that the employees should abide by, whether there should be a document of rules and regulations in the company that employees should follow. Adam says that he has good enough knowledge about management and has found the exhortation to have such a written policy and has never actually seen one in a hotel. Adam thinks it is comparatively easy to spell out some policies in the financial areas. Gaynor also thinks that it can be done in the operating area too. Gaynor asks Adam whether they should produce such a policy document or not to which Adam says that existence of such a document represents failure of management at unit level and indeed at the company level. Adam says that a manager is who manages effectively and if he is ineffective, he is not a manager. Then they start discussing about technicians and tacticians. Adam says managers are tacticians and others like supervisors and all are technicians. The discussion goes on with whether communication is part of managing or not. Then Mr. Charles Gaynor who has a lunch appointment has to go finally says to Adam that you have a chance to find out what has to be done, tell me about it when you come back from Zephyr!

CONCLUSION This case is all about what is management and about the managers role. The case talks about Charles Gaynor, M.D of Gaynor Hotels and Adam smith, general assistant to him Adam smith is a person with new ideas because of which he had investigated problems, developed concepts established principles and generally contributed to decision taking process. Charles Gaynor is a person with high experience in management and decision making. He manages the hotels with his traditional thoughts and experiences In this study the discussion between Gaynor and Adam talks about what they think of management and what actually are managers role in the organization Adam was depressed because some progress was made but company was not progressing as a whole. Gaynor hotels was still making a profits its managers were still managing but problems are continued to abound like is the company actually progressing? Are the managers effectively managing the departments? And so on. Gaynor tries to get the answer about what is management and what are the key roles of managers in an organization through his traditional ways of hotelkeeping and experiences and the new ideas of Adam smith. Adam smith is making him aware of what actually is management and the key roles of managers because he had worked at different levels in management and he is well aware of the environment or ethos of management. According to Gaynor, the management is having same traditional meaning that it is the process of getting things done through others and management is the implementation of policy to achieve companys aims and objectives. But Adam is not satisfied with this traditional view to management. He is not criticizing it. But he is giving his view to this question. He says, management is the process which involves achieving business goals while at the same time providing the meansof satisfaction for the individual goals or means of the employees. Hence this case defines the management and managers role in an efficient way.
