BANQUET TERMS & CONDITIONS MELI HANOI Guaranteed Attendance: The client will advise the Hotel of the minimum number of guests attending the e vent 01 week 7 working days prior to the function. Final number of guests must be given the Hotel no later than 2 working days prio r to the function date. The Hotel will cater and charge for at least this number of guests guaranteed. G uests in excess of this figure on the day of the function will be charged for ac cordingly. The Hotel cannot be held responsible for service to more than 5% over the guarantee. If the number of participants increases or decreases in relation to the original reservation, the Hotel reserves the right to transfer the function to a room si ze, which accommodates the revised number of guests. Deposit: In order to confirm your reservation a deposit 50% of your total payment is due together with your signed contract. No space will be confirmed until such time y our deposit is received. Cancellation Fees: 20 days or less, prior to the function forfeited the initial de posit 10 days or less, prior to the function 50 % of total estimated amount 3 days or less, prior to the function 100 % of total estimated amount Pricing: All prices are quoted in US Dollars and are subject to 5 % Service Charge and 10 % VAT unless otherwise stated. Any amounts not pa id after said term shall be consider DELIQUENT and shall bear interest at the ra te 2% per month on the unpaid balance, from and after the first day become delin quent until paid, but the DELIQUENT amount shall not over 30 day. Validity of Proposal: This proposal is valid one week from the date stated on the proposal, after whic h the proposal automatically expires. Signage: No items are to be attached, pinned or glued... to the wall of any function room , pre-function area or hotel room. Signage in hotel public areas must have the p rior approval from the management of the hotel. Outdoor contractors: For all exhibitions and staging set-ups performed by outside contractors, plans must be approved by the hotels Chief Engineer a minimum of 30 days prior to the e vent. The outside contractor will be responsible for liaising directly with the hotels Chief engineer regarding all relevant details.

Outdoor Banners/Backdrops: Outdoor banners or backdrop are not allowed to be hung anywhere around the hotel premised, except for the designated area which is above the hotel entrance porc h. The client is advised to order outdoor banners or backdrops which measure 8 m eter by 1.5 meter if they wish to display them for the functions. The outdoor ba nners or backdrops must be removed immediately at the end of the function. Liability The Hotel shall not be liable for any claim, demand, proceedings, cost, charges and expenses whatsoever for personal injuries (including death) to any person in vited or employed by the patron. The hotel will not assume responsibility for th e damage or loss of any merchandise of articles left in the Hotel prior to, duri ng or following the function. The Client will be responsible for all damages of hotel equipment caused by his guests during the event and consequently will be liable to pay the costs of repa irs and losses accordingly, whether this was caused by the Client or by a subcon tractor working on the clients behalf. The Hotel reserves the right to exclude or reject any person from the function o r the Hotel premises. In the event of force majore, government requisitions or a ct of God, the Hotel will not be liable for loss of profit of other similar or d issimilar collateral or consequential damages whether based on breach of contrac t warranty or otherwise. Deliveries: Entry to loading dock is via Ly Thuong Kiet Street. The operating hours for the loading dock are between 9:00am to 11:00 am and 14:00-16:00. Vehicles under 2.3m heights is allowed to drive straight up by the Spiral Stairs to the back of the hotel ballroom to deliver documents, goods for the banquet function Attitude & Grooming: The organizers, constructors and suppliers attitude and grooming must be in good co ndition during function. No smoking, loitering, takes off the clothes and shoes in the hotel (banquet pre -function area, ballrooms, function rooms) Prohibition of outdoor food and beverages: The Hotel doesnt allow the constructor or organizer to bring in any kind food to the hotel, especial is ballroom & function room area before, during, after funct ion. The hotel sells coupons for lunch or dinner at the Staff Canteen. Beverages brought in will be charged accordingly based on hotels tariff Menu Confirmation: For Functions with meal arrangements, the Hotel will send the client several Men u proposals for their selection. The client has to select and confirm their pref erred Menu with the Hotel at least 1 week before the event in order to guarantee the availability of the ingredients, otherwise the Hotel will choose the Menu o n behalf of the client. Final Details: All the final details as: menu, Beverage arrangements, Room set up, Audio-visual requirements, entertainment, starting and finishing timesmust be confirmed 7 day s prior to the function date. Further adjustments to this confirmation will be accepted, but are subject to av ailability basis.
