Optiset E Standard (New Digital Telephone) This guide is designed to assist extension users on a Siemens Hicom 300 Communication

System to use all authorised features. Your extention may not be authorised to use all features. The features which will be explained are the following. 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. 11. 12. There are three keys on the bottom of the fone, a right mark (), left triangle () and a right triangle (). 1. Call Transfer You may transfer an internal or external call from your extension to any other extension or to the switchboard ( 9 and not 3111). 1.1 Transfer to a free extension (Announcing the call). Press the key to confirm CONSULTATION option. Now Dial the required extension. Announce the call and replace the handset. 1.2 Transfer to a free extension (Call is not Announced). Press the key to confirm CONSULTATION option. Now Dial the required extension and replace the handset when ring tone is heard. The call has now been transferred. 1.3 Transfer to an engaged extension. Press the key to confirm CONSULTATION option. Now Dial the required extension and replace the handset when engaged tone is heard. The call has now been transferred to the engaged extention. If the engaged extension terminates the call within a predetermined time, the transferred call will ring the extension. 1.4 Return to caller If no reply or engaged tone is received, you may return to the caller without transferring the call. Scroll to RETURN TO HELD CALL option using the or keys. Press the key to confirm RETURN TO HELD CALL option and you are reconnected to the caller.

If the extension remains engaged or unanswered the call will automatically be transferred back to your extension. 2. Enquiry call. This feature allows you to hold an existing call, dial another extension or an external number, conduct a conversation without the original caller overhearing, and then return to the original caller. 2.1 Activate Enquiry Call. Press the key to confirm CONSULTATION option. Dial the required extension number or dial 0 and the required external number, conduct a conversation. Press the key to confirm RELEASE AND RETURN option to return to the holding call. You may use the TOGGLE option to switch between the original and third party calls. In each case the other party is automatically placed on hold. 3. Toggle Between Calls. You have a call on the line and wish to make a second call and want to toggle between both calls. 3.1 Activate Toggle. Press the key to confirm CONSULTATION option. Dial the required extension or external number. Once you have the second call on the line, scroll to TOGGLE option by using the or keys. Keep on pressing the key to confirm TOGGLE option each time you wish to speak to the holding caller. 3.2 Use Call Pickup. You have a call on the line and wish to answer a second call and want to toggle between both calls. Press the Call Pickup key. You may use the TOGGLE option to switch between the original and third party calls. In each case the other party is automatically placed on hold. 3.3 Disconnect either Party Toggle to the party you wish to disconnect. Scroll to RELEASE AND RETURN option, using or keys, press the key to confirm RELEASE AND RETURN option. You will now be connected to the remaining caller. 4. Call Pickup. The Call Pickup feature allows you to answer any ringing extension in your pickup group from your telephone. 4.1 Activate Call Pickup. An extension within your pickup group is ringing. The Call pickup LED flashes and a ping ring will also alert you to an incoming call. Lift the handset, listen for internal dialing tone, press the Call Pickup key and you have now answered the call.

5. Second Call Camp-on. This feature allows a second call to camp on your extension when you are busy with a call. The caller will receive ringing tone instead of engaged tone. 5.1 Activate Second Call Camp-on. Press the Service Menu key. Scroll to SWITCHES option by using the key. Press the key to confirm SWITCHES option. Press the key to confirm the CAMP-ON option. Press the key to confirm the ACTIVATE CAMP-ON option. When you are busy on a call and a second call arrives it will be signalled by the flashing of your Call Pickup LED and on all other digital instruments in your Pickup Group. A ping ring will also alert you to the next call. If you do not use the Call Pickup feature to answer the second call then it will be routed to your Fixed Call Forward destination. 5.2 Deactivate Second Call Camp-on. This is only necessary if the Second Call Camp-on is not working for your Department. Press the Service Menu key. Scroll to SWITCHES option by using the key. Press the key to confirm SWITCHES option. Press the key to confirm the CAMP-ON option. Press the key to confirm the DEACTIVATE CAMP-ON option. 6. Transfer a Second Caller. 6.1 Answer Second Call. If you are busy on a call when the Call Pickup LED flashes and you wish to answer the waiting call. Ask existing caller to hold. Press Call Pickup key. (First call is placed on hold and second call is now on the line) 6.2 Transfer Second Call. Pres the A key to confirm CONSULTATION option. Dial the required extension. scroll to TRANSFER option, use the key, and press the key to confirm TRANSFER option. This call is now transfered and the first call is on the line. 6.3 Return to Second Call. If you receive no reply or engaged tone, you can return to the second call by scrolling to RELEASE AND RETURN option, use the key. Press the key to confirm RELEASE AND RETURN option. The second call is now on the line. You can either TOGGLE between the two remaining calls or disconnect the second caller and return to the first call. 6.4 Disconnect Second Call. Scroll to RELEASE AND RETURN option, use the or key. Press the key to confirm RELEASE AND RETURN option and the first call is now on line. 7. Call Park. Calls may be parked on your optiset E for retrieval from your telephone or any other digital telephone in your Call Pickup group which is equipped with a Park Key. Only one call per pickup may be parked at a time. 7.1 Park a Call.

During a call, press the Park key. The Park LED flashes, replace the handset or press Speaker key. The Park LED remains flashing. 7.2 Retrieve a Parked Call. The Park LED is flashing. Lift the handset and listen for internal dial tone. Press the Park key, the Park LED is now off and the call is now on the line. 8. Call Back. Call Back requests can be left on extensions which have been rung and not answered or engaged. 8.1 Activate Call Back Engaged. Called extension is engaged. Press the key to confirm CALL BACK option and replace the handset. The system will automatically call you back when both your extension and the called extension are free. 8.2 Activate Call Back No Answer. Called extension does not answer. Press the key to confirm CALL BACK option and replace the handset. When the called party returns to the office and has used the telephone the system will ring your extension. Lift the handset and ring tone is heard as required extension is rung. If the called extension is a screen based digital telephone with a Mailbox key a message will be left in the users mailbox to call your extension. Should you fail to answer a Call Back that you have activated, the system will automatically cancel the feature after ringing your extension for a predetermined time. 8.3 Cancel Call Back. Press the or Key to scroll to DISPLAY CALL BACK option and then press the key to confirm DISPLAY CALL BACK option. Scroll to DELETE with the or key and press the key to confirm DELETE option. 8.4 Call Back Message Request. In your absence a caller has left a Call Back request on your extension. The Mailbox LED is on. Press the Mailbox key. Scroll with the key to OUTPUT option. Press the key to confirm OUTPUT option. The caller appearing on display will be called. By scroll to the DELETE option, the call back will be deleted if the key is pressed. When the CANCEL option is used, the call back wil not be deleted but only canceled for the time. There will be an announcement You have a message until the OUTPUT or DELETE option is used. 9. 8 Way Conference. This feature allows you to bring up to seven parties into an existing conversation on you extension. The seven parties could be external, internal or both. 9.1 Activate Conference. You are engaged on a call. Press the key to confirm CONSULTATION option. Dial the required extension or 0 and external number. With the or key scroll to CONFERENCE option and press the key to confirm CONFERENCE option.

Conference tone is heard and all three parties are connected. 9.2 Add more parties to the Conference. Press the key to confirm CONSULTATION option. Dial the required extension or 0 and external number. With the or key scroll to ADD TO CONFERENCE option and press the key to confirm ADD TO CONFERENCE option. Conference tone is heard and all four parties are connected. Repeat the procedure to add more parties to the conference. 9.3 Disconnect one of the Parties. Press 2/3/4/5/6/7/8/ to select the party you wish to disconnect. With the or key scroll to RELEASE PARTNER option and then press the key to confirm RELEASE PARTNER option. The party is now disconnect from the conference. 9.4 Transfer the Conference to Another Extension. Press the key to confirm CONSULTATION option and dial the required extension. With the or key scroll to TRANSFER CONFERENCE option. Press the key to confirm TRANSFER CONFERENCE option. You have now transferred the conference to the extension. 9.5 Consult with an Extension or External Party when you are Busy with a Conference. Press the key to confirm CONSULTATION option. Dial the required extension or 0 and external number. Consult with the party. Press the key to confirm RETURN TO CONFERENCE option and you are now reconnected to the conference. 10. Fixed Call Forwarding. Your line can be forwarded to a fixed destination for answering. This can be either a Digital, analogue extension or external number. 10.1 Programme Fixed Call Forwarding. Press the Service Menu and then press the Call Forward key twice. Now press the key to confirm NEW ENTRY option and dial the required extension number or 0 and external number. Press the key to confirm the SAVE option. The Call Forward LED is now on. The Fixed Call Forward destination has now been permanently programmed. Calls will now go to the Fixed Call Forward destination immediately. 10.2 Deactivate Fixed Call Forwarding. Press the Call Forward key, the Call Forward LED will go off. When the Fixed Call Forward destination has been programmed but is deactivated, it will serve as Call Forward No Answer, i.e. if your extension rings for longer than 20 seconds it will automatically divert to the Fixed destination. 10.3 Reactivate Fixed Call Forwarding. Press the Call Forward key and the Call Forward LED will come on. Calls will now go to the Fixed Call Forwarding destination immediatly.

10.4 Change Fixed Call Forwarding Destination. Press the Service key and then the Call Forward key twice. Now press the key to confirm NEW ENTRY option. Dial the extension number and press the key to confirm the SAVE option. The Call Forward LED is now on. 11. Variable Call Forwarding. This is a temporary Call Forwarding feature which allows you to divert all your calls to a destination of your choice and will override your Fixed Call Forwarding destination. 11.1 Programme Variable Call Forwarding. Press the Service Menu key and then press the Call Forward key Once. Dial the extension number and press the key to confirm the SAVE option. The Call Forward LED is now on. 11.2 Cancel Variable Call Forwarding. The Call Forward LED is on. Press the Call Forward key and the Call Forward LED will go off. Calls will now ring as normal on your extension. Your Fixed Call Forward destination will be restored . 12. Mailbox. In your absence a caller has left a Call Back request (*22) on your extension. The Mailbox Led is on. With the handset down, Press the Mailbox key. The call information is displayed on the screen. Press the key to scroll to OUTPUT if you want to phone back. Press the key. The called number will be dialed and the mailbox entry will be deleted. When you do not want to phone back, Press the key to scroll to DELETE. Press the key and the call will be deleted. There can be more than one call in the mailbox.
