Project Proposal

Executive Summary:

INETMS (IIITMK National Entrance Test Management System) is a project which aims to provide a
web based registration and online Entrance Examination system for admission to MS(IT) programme
conducted by IIITM-K.

The present admission system is predominantly manual in all the above mentioned areas, which makes
it cumbersome and difficult to handle, both for the conducting authorities as well as the candidates.

Considering the available infrastructure which greatly facilitates the feasibility of this project, once
completed, it will go a long way in simplifying this annual event for everyone involved.

From a functional point of view, the new system will help to automate substantially, every phase of
the entire admission process of MS IT programme in IIITM-K, starting from the registration of
candidates for the entrance examination to the final selection.

Problem:

In the existing system the interested candidates are required to send money order to the institute for the
application form, which is subsequently sent to the candidates by post. Candidates can also receive the
application form from the institute on paying the fees. The filled-up application forms along with
copies of documents attached are received at the institute. The documents are verified and admit cards
are sent to the candidates with the required details like examination center, date and time of exam.

This procedure has many bottlenecks in terms of time, reliability, convenience etc. Multiple to and fro
communication through post is extremely time consuming and unreliable. There is no way to validate
the correctness of filled-in data or a method to address enquiries.

The institute prepares question paper with the help of professors and conducts examination on the
scheduled date. The answer sheets are evaluated manually and candidates are short-listed based on
their performance in the written test. The short listed candidates are informed about the date of
interview through email. The student details are verified against the original set before the interview.
The final list of the candidates is then published in the website which concludes the admission process.

Most of these tasks put an enormous burden on the members of the institute involved. Evaluating the
results and short listing candidates can be a cumbersome process.

Solution outline:

The INETMS system would be designed to reduce the dependence on the postal system to a minimum,
with a view to substantially reduce the time lag, improve the reliability of the system and to provide
the conducting authorities a greater independence in organising this annual event. Features may be
added for greater efficiency, maintainability and convenience, which are beyond the scope of the
present process.

The system is proposed to provide facilities for online registration for the examination, issuing of hall
tickets to eligible candidates, scheduling date and time of examination, setting sections for a particular
exam, setting question paper by selecting questions from the question database, notifying candidates
regarding exam date, conducting test simultaneously at different locations, evaluating the answers of
the students, conducting interviews and publishing the list of selected candidates.

The users of the system are candidate, administrator, instructor, supervisor and interviewer.

The admission process, using INETMS is proposed to consist of the following major steps/actions to
be taken by its users:

z The interested candidates can register online.

z The information submitted by the candidate can be validated to ensure certain requirements such
as mandatory fields, age limits, minimum qualification etc. before accepting the form.

z Candidate can register for the exam as well as login for details pertaining to the admission
process.

z The administrator is given privileges to manage the various users of the system, authenticate
eligible candidates, generate reports and set test details, and therefore plays the role of the a key
human element of the system .

z The online examination will be conducted at various centers in India through a web-enabled
interface with an examination module.

z Instructor is given the privilege to manage questions in the question database as well as to create
question paper.

z The results can be generated immediately for the objective type multiple choice questions and the
short listed candidates are intimated about the interview through automatically generated email
ahead of the postal confirmation.

z The system provides an interface for interviewers to grade the candidates, and compare the scores.

z The selected candidates may again be notified through email.

z An efficient and prompt query system can be provided where the interested candidates may raise
queries to be answered by the institute authorities.
