Objective
This document provides steps to the users to migrate to the Exchange mail server facility migrate hosted in India.

Backup of existing mails


Before we configure the new mail account, lets ensure that we have a safe copy of the existing mails.

1. Login to your current mail account.

2. Right click on the Personal Folders and then Click on Properties for Personal Folders Properties

3. Click on Advanced.

4. Take a note of the Filename field. This is the path where your exist Filename . existing mail FILE resides

Select the full path in the Filename field before the last backslash (\). ( Now right click on this field and click on Copy Example: Select till the bold characters only

C:\Documents and Settings\test5 test5\Local Settings\Application Data\Microsoft\Outlook Outlook\Outlook.pst


The characters after the last backslash in the unbold is the filename itself.

Open My Computer to double check if this file exists by pasting the path you copied into the Address Bar and press Enter.

Note: Ensure you have selected text as presented in bold below:

C:\Documents and Settings\test5 test5\Local Settings\Application Data\Microsoft\Outlook Outlook\Outlook.pst


The characters in the unbold is the filename itself. 6. The PST file should be present in this location. The name of this file should be the same as you might have noted above. Close Outlook and copy this PST file to another drive or folder as a means of backup.

Note: There might just be other files present but our focus is on PST file for now. If you keep the Outlook open you might come across an error during the copy.

Setup for Exchange


We will now configure the Exchange mail account. Connect to the internet to perform the following. following Perform the steps as

1. Open Control Panel and locate the Mail applet.

The above is visible in Control Panel Classic View

Note: If you are unable to locate this applet then you are probably in Control Panel Category View.

Click on the Switch to Classic View On the Upper Left Hand corner. View This will bring you to the Classic View where you can notice the Mail icon.

2. Now Double click on the Mail applet and click on Show Profiles
Your existing mail profile should be visible.

3. Click on Add to add a new profile. Give a name to your new Exchange Mailbox Give
Profile as below and click OK. Profile name as: <username_ex>, where username is your current IN domain <username_ex>, login name

4. You have the following box.

Click on the Manually configure server settings or additional server types Click Next.

5. Choose Microsoft Exchange in the new box, click next.

6. Fill in the Microsoft Exchange server filed as: kksvrex01.in.corp.connectivasystems.com Fill in the username field as your first part of your existing email address as depicted in the example below: username@connectivasystems.com @connectivasystems.com

Now click on More Settings

7. You might get the following box.

Click Cancel. You will get the following message. Click OK.

8. You will get another screen as

Click Cancel.

9. You will get the following box.


Click on Connection Tab

Connect HTTP 10. Click on Connect to Microsoft Exchange Using HTTP checkbox and the click on the Exchange Proxy Settings button. Exchange Settings

11. In the new box fill in nywebmail.connectivasystems.com into the nywebmail.connectivasystems.com Use this
URL to connect to my proxy server for Exchange Exchange Choose Basic Authentication from Proxy authentication settings Basic Authentication Proxy settings Click Ok.

12. You come back to

Click Ok.

13. Click Next and then click on Finish

14. Your new profile is created and is highlighted in blue.


Click ok.

15. Open outlook, selecting the profile just created.

16. Enter your password when prompted as:


IN\username Users who have not logged in before, your default password is asdf@1234

17. You might be prompted for the password once again.


Enter once again.

18. You will notice the following response in a moment

19. Notice a message at the right hand side, bottom Waiting to update the Waiting
folder

20. After sometime the message changes to All folders are up to date.
Please give a moment for this message to show up.

21. Close the Outlook window and we open the Mail applet once again and select the
Exchange profile just created clicking on the Show Profiles

Click on Properties

22. Click on Data files

23. Click Cancel on the authorization box.

24. Click on Settings

25. Click on Connection and then Click on Exchange Proxy Settings

26. Change the nywebmail.connectivasystems.com webmail.connectivasystems.com


to kkwebmail.connectivasystems.com webmail.connectivasystems.com

27. Click on ok twice. Please click on close twice Click on ok, in that order to finish your configuration.

28. Open Outlook to connect and use the new mail services.

Configure access to old mails


We will now configure Outlook so that we have access to old mails.

1. Click on The File Menu and go to Open and click on Outlook Data File

2. In the Open Outlook Data File box, using the Look in, locate your PST.
The location of this PST file will be the same which you copied in STEP 4 of Section, Backup of Existing mails. mai Find and Select this file and click on OK.

3. Your PST will be imported and will be showing up as Personal Folders.

Click on the + to open and check your old mails.
