Welcome and Review of Agenda - Mia


- - - - Andre will lead the roles and responsibilities discussion Vass added an update on mock interviews to the agenda Kaleb absent, therefore we will defer finance to next meeting Dipal requests to defer corporate sponsorship discussion to next meeting

Alumni Network Vision Exercise - Viola


Short-term vision: What will we have achieved by September 2012? Establish an open and inclusive process for collaborative problem- solving and where decisions are made by those who actively and consistently participate in activities and meetings Engage alumni in Ottawa in at least one activity such as Newsletter Feature Reach out to new alumni to expand the scope and reach of the network through communications and organizing regular social events Promote fruitful relationships with the School Administration and Faculty through consistent communication Introduce the network to graduating students , perhaps at the graduation in June 2012 Who All When Ongoing

Put into place a financial and fundraising plan in place: Raise at least Finance /All $1,000 towards a gift to the school Ensure there is a variety of engaging, entertaining activities for current alumni and students Organize a major social event to launch the new class of alumni Events / All Events / All

Organize at least one community charity event, such as a Habitat for Community Events Humanity build or Scotiabank run Organize professional development activities for current student such as: Student Alumni Library 10 check outs at least; Mock Interviews for students class of 2013 Develop a plan for ensuring that the website and alumni library can be sustained and maintained in 2013 Mentorship/Library

- - - - - - - We promote a diversity of ideas, activities and perspectives We respect each others values and points of view We create a safe space for everyone to share ideas and contribute to the work We appreciate that we are all volunteers we respect each others time We promote continuous learning and self-assessment We value an open decision-making process: meetings will are always open to all alumni that wish to participate and we will value the input of all that participate To ensure we make decisions in a timely manner, we agree that reaching complete consensus is not always possible

Revisiting Roles and Responsibilities - Andre


Reviewing how are decisions made by the Network council & reviewing the document tabled by Andre Cote regarding the role, responsibilities and accountability of the Point Person, the rotating chair and secretary: Alumni members expressed concern/confusion and requested establishing greater clarity o Especially regarding the overlap and coordination between different alumni committees/groups Goal: ensure clarity Moving forward: - Trust people will communicate and be open, assume the best intentions with each other - Clarify that roles and responsibilities outlined are to be used as guiding principles instead of hard rules - Reaffirming the importance of accurate minutes

- Allow flexibility to amend minutes as a way to include developments that may occur in between meetings. Members agreed that we would make sure we post important development to our web site to bet transparent and allow others to contribute/comment

Mentorship and Alumni Library Update - Vass


1. Update from Sam She will leading mock interviews for first year students in preparation for their internship interviews - Event will take place Feb 13 - We will ask alumni to perform mock interviews, matching people by sector 2. Andre reports on the Mentorship Program - Goal: It will be launched next fall - Next step: Getting word out in April, including preparing an entry for the Newsletter

Finance Fundraising Kaleb absent, discussion deferred

- Kaleb will try to send out in next week a document for review via email and request feedback before next meeting to move conversation along -We will discuss this document & finance issue at our next meeting

Community Events: Soup Kitchen, 5km Run - Sonja

- Sonja has found an appropriate Soup Kitchen option in The Junction - The Stop - possibility will be further explored and discussed at next meeting - Group physical activity/fundraiser: - Scotia bank run It has a connection to 30plus charities, we could choose which our fundraising would support. $35 to join now, price rises as time passes - Other possibility: Create a fun SPPG run that could act as a fun activity & a fundraising and/or charity event. - Timing? We decided to wait for financial discussion and discuss possibility further at next meeting

Corporate Sponsorship, Volunteering for Habitat for Humanity Dipal


1. Habitat for humanity a. $75 pp on Saturdays only, includes tshirt, materials and lunch b. We decide to include current students to engage student community c. Next steps: Include in newsletter, seek out possibility to organize event this May 2. Corporate Sponsorship discussion deferred to next meeting

Planning a social event for March? - Mia

- Interest in planning a social event this March, seeking options - We decide to start incorporating fundraising into upcoming events - Suggestions made to organize a fun activity: skating and hot chocolate in February or bowling Mia will look into planning of social event
