The Assima Change Management Suite (ACMS) is a web-based, collaborative and integrated system designed for driving end-user adoption, and helping projects deliver new systems and processes. It combines Knowledge sharing capabilities (documents, content, communication) with Training and Performance support, and ensures the right flow of information between users according to their role.

User Roles and Collaboration


A Role-Based Environment Any end-user is able to contribute in the system, pending approval of his / her Moderator
Roles are created in the system, grouping the employees to be targeted with communications, content and training. Members of a role can then become both the receivers and/or contributors of the information that is pushed out through the content repository and learning component. Moderators, allocated to each role, control this push and pull of information by deciding what content is appropriate for their members and in this way targeted, role-valid information is made available The collaborative, knowledge sharing environment is made possible by the creation of roles, which play a major part at every level of the system.

Access, Collaboration and Control


Information flow is promoted within the company by allowing users to access the system in different capacities.

End Users
Normal system users belonging to a particular role can: Navigate through the Content Explorer and access content targeted specifically at their role. View and download documents, interact with lesson or other training content, leave feedback.

Contributor
An end user whose role has been given the permission to contribute to the content held in the system can: Upload and edit source documents, ask for feedback, get approval on content, publish a document and ask for an item to then be made visible to others in the role. View statistical information on who has accessed their documents.

User Set Up
Users are imported and set up in the ACMS, when the new change project emerges and is defined within the organisation. Administrators can import users (csv import or Active Directory synchronisation), manage roles and rights.

Named members within a group with the responsibility of deciding if content is appropriate to be viewed by other members of the role are: Required to set the permissions for an item as part of the standard document lifecycle. Able to view statistical data relating to their role in the My Reports section.

Perform all the tasks listed for end users, contributors and moderators above. Are responsible for setting up the system, including customisation of templates, country/city setup, interface language configuration, time zones / calendar.

A role-based access and collaborative document management system

Learning and Performance


The Learning component is used to store and generate training content, and report on user training activities.

Learning Assessment
Pass marks and assessment criteria set in the system are used to assess end users and attendance, proficiency and completion of training content are tracked through the system. Inbuilt certification management allows for diplomas to be awarded for successful learning attempts.

Course Creation
Courses can be built rapidly via a wizardlike interface to integrate any type of content together. A course viewer with quick content access facility, such as content browsing, searching and gloassary, is provided as part of the end user interface.

Interoperability
ACMS is built on interoperable standards to allow fast integration into any system. It can be either hosted within your IT infrastructure, or accessed as a software as a service. An extra integration with the suite of all Assima products can transform the ACMS into a project repository with full check-in / check-out capability. ATS and APS greatly benefit from additional functionalities when used in conjunction with ACMS.

Reporting and Analysis


The success of content adoption by the end user can be closely monitored via the statistics and reporting tools built into the system. Different levels of feedback are able to be analysed by administrators, role moderators and document owners to view data such as: Documents viewed per user Which users are taking advantage of the information available? Which documents are being used? How can I use this information to tailor the document content further? Best ratings Which documents did users feedback on and what feedback / ratings did they give? How can we use this information to improve the content available? Documents available per role Which documents can people in my role view? Documents viewed per role - Which documents have people in my role accessed, how many times, for how long? Are they using the content that I have provided for them? Who has acquired particular skills (attended and passed some particular lessons)? What skills has a particular user?

Performance Support
ACMS can host performance support type of material. It is also tightly integrated with Assimas APS to provide further tracking and reporting on EPSS content usage.

Custom reports will give data on specific users, items, roles with particular filtering criteria (time, date, score) applied and can be store in the system for regular monitoring.

Content Production
Content can be created in the ACMS or imported as external resources. ACMS is fully SCORM compliant, both as a placeholder (acting as a LMS) and as a publisher (acting as a content producer).

SCORM publish and SCORM imports


The ACMS acts as both a SCORM content host and a SCORM content publisher. SCORM lessons can be uploaded into the Content Explorer. SCORM courses, made of any document or lesson, can also be packaged directly from within ACMS. Lessons or courses accessed by end users are traced and scored within the system and the data measuring attendance, proficiency, or completion status, can be used to analyse end user adoption of the specific system tasks being targeted.

Rapid Learning Content Creation


ACMS also gives you the capability to create rapid learning type of content, such as converting PowerPoint presentations to HTML, creating quiz, multiple choice exercises, building sentences exercises, and so on The creation of such content is done via a very simple Wizard type interface, with predefined templates to allow for easy, quick and professional development. All these exercises can be played back within ACMS, with dedicated HTML based (no plug-in) players, or exported as SCORM objects to be played in other types of Learning Systems.

Document Management
The ACMS implements a dual layer document architecture, designed so that for each resource there is a source level file (editable at any point) and a published level file (visible in the system), meaning no disruption to access time is incurred while content is updated, and new version of content can be under review in the system whilst the current published content is still available. Both new and renewed content is handled via versioning, and a full audit trail showing history of actions and dates allows a user to rollback to a specific version of a document at any point. An integrated Document Centre is designed to allow direct access to resources at a source level. From here the user can manage both their own content, as well as monitor items currently under workflow control and items that they have been assigned and require action.

Collaborative Workflows
Workflows map out a pre-defined development process for creating content. Such workflows ensure the quality and appropriateness of content before it is made available to end users. ACMS users are assigned to the workflow stages, and form a collaborative chain to produce and review new content. Collect Feedback workflow A user can get feedback on a document from named users. Share Request workflow Enables a user to request that an item be available to certain roles. The moderator(s) ensure that the content is appropriate for their users and then set the permission to allow people of their role to view it. Collect Signature(s) and Approval workflow Ensures that certain named people agree that the content of a document is correct.

Multilingual Content Management


The ACMS interface includes support for multiple languages which can be configured depending on your global environment. Users can set their preferred language in their profile to control the language the content is presented in. The content itself is linked to a single source but able to be presented in multiple languages as required.
