Problems and pitfalls of Traditional Time Management


Now Im going to tell you about some of the problems and the pitfalls with the time-centered approach of Time Management. Here are the things that you are going to face when youre dealing with time-centered time management. Youre going face overwhelm, stress, anxiety, and pressure. All of these things are going to come at you and youre going to experience these emotions because youre working harder and faster at breakneck speeds because as the day goes by and youre trying to do more and more stuff, you get tired and you get cranky and anxious and overwhelm creeps in. Youre on this treadmill. The treadmill is speeding up and youre running as fast as you can and sometimes thats just not fast enough but the problem is, it gets faster but youre not moving anywhere. Its like a hamster on a wheel. The harder, the faster the hamster runs - it doesnt go anywhere. Now heres the thing. We have anxiety, stress, overwhelm, pressure. All this stuff, and when youre faced with having to do something in a short period of time, thats what overwhelm is. Overwhelm is basically youve got stuff to do but you cant get it done in a certain period of time, so you feel overwhelmed. Okay? Now, with all these emotions youre feeling overwhelm, anxiety, stress, pressure everything. What is human nature? Human instinct is to protect you from all of that. Its a self-preservation mechanism to protect you from that. So, what do you start to do? You naturally start to think of how to get out of that situation.

Okay? So instead of your mind focusing on completing that task and how you can figure how to get that task done, your minds actually thinking how you can get out of doing that. And that leads you down a path towards procrastination and as we know procrastination is really deadly for time management. You see, with the time-centered approach, traditional time management teaches things like time-debt, time-famine where there isnt enough time to do everything so youve got to work faster and harder and more efficiently. You see, and unfortunately, this approach fosters competition. So now, youve got two people on two treadmills and theyre both trying to outdo each other by trying to get more stuff done in a shorter period of time. And its a very stressful, anxiety-ridden approach to time-management. You know, this isnt how it was hundreds of years ago. You know, a thousand years ago, it wasnt like this. It was much less stressful. Five hundred years ago, it wasnt like this. It was much less stressful. Okay? These are modern problems that didnt exist in the past.

Why is Traditional Time Management represented as a baby? Traditional Time Management is young. Its just over two hundred and thirty years old. The Quest for Better Time Management:


For years, I struggled with time management. I read the Traditional Time Management books. I went to the Traditional Time Management seminars. I listened to the Traditional Time Management audio cassettes and watched their videos but it never brought me any better results than before. I mean very little improvement. I always felt stressed out. I always felt like I overestimated my abilities. It was a very frustrating experience and I spent thousands and thousands of dollars. I mean I was really trying to improve my time management. I took this thing very seriously. So after spending all this money and all this time and effort in trying to improve my time management ability, I figured it must be ME. I must not be capable of doing this. I must be a time management failure. I mean if everyone else can do it and I cant, then it must be me, right? So I got very frustrated. I got down on myself. I blamed myself and I decided to throw in the towel. What else are you going to do?

Being a couch potato led to the discovery of the Great Time Management Secret!

So there I was Im depressed Im bummed out Im sitting on a couch and Im doing what most people that are bummed out and depressed do which is, watch TV but I wasnt really watching TV. I was just sort of flipping through the channels. No show was really catching my attention until I stumbled across a documentary on the History channel. Now, keep in mind that I have never liked history. I was the guy in the history class who sat in the front row because he wanted to get good grades but fell asleep because it was so boring. I never was into history. The idea of having a date and an event just didnt make a whole lot of sense to me. So, after I finished school, I never went back and pursued any history. So, I was watching this documentary, and it was sucking me in. It was getting me interested. I was like wow! This is pretty interesting. And they started talking about how you can learn lessons from these ancient civilizations.

And I thought wow! These lessons must have been pretty good if they still hold true till today. Now common self-help gurus of today - they tell you that the best way to learn is to model peoples behavior. If theres somebody thats doing something successful that you want to do, you model them. Well, thats what I had been doing. With the gurus of Traditional Time Management but it wasnt working for me. So, I thought to myself, as I was watching this documentary what if I went back in history as far as I could go, and see what I could find about time management. So thats what I did. And at first, I didnt even know what I was looking for. But then slowly, faintly, it started to emerge. I began to see a pattern common to all successful people a time management pattern that I named The Great Time Management Secret. Why did I give it this name? Because what they were doing was so great that the achievements, the accomplishments they were doing were so great and everybody was using this secret. So, thats why I named it the Great Time Management Secret. I became so excited because I had discovered something truly profound that at that time I didnt know how it had gotten lost because I had never heard of it. It had never been taught. So I got really excited. And to think, it was because I was watching TV that the answer finally came to me.

Well the problem with deadlines is that we set so many of them and the thing with deadlines is the way I understand deadline to mean is if you dont reach a certain line, you are pretty much dead. Traditional Time Management teaches you to set all kinds of deadlines but the problem is that you become de-sensitized because you have so many deadlines that the power of the deadline has lost its meaning. But if you have fewer, fewer deadlines those external deadlines imposed by your work or school, then you are better able to get those done. So now that you know that the Great Time Management Secret is a taskcentered approach, in one sentence, let me tell you the Great Time Management Secret.

The Great Time Management Secret is to focus exclusively on completing high importance tasks. Now let me say that again: The Great Time Management Secret is to focus exclusively on completing high importance tasks.

Now dont worry if you dont understand it right away, because Im going to explain it in detail. Traditional Time Management sells a dream that you can do everything that its just a matter of managing your time. The end result of buying into this pipe dream is that you end up with a pregnant to-do list. Too many things to do. I mean you cant do everything. But you can choose to do some things.

I am only one but still I am one. I cannot do everything but still I can do something. I will not refuse to do the something I can do.
- Helen Keller So you see theres no way that we can get everything done but in Traditional Time Management, you focus on more and you actually achieve less. The way you start to focus on less is by simplifying the things you do and your life. Focusing on less is not easy, especially living in a world where more is better. So, youll need to actively work at simplifying things. But the benefits of focusing on less gives you peace of mind. Less stress. No overwhelm and a feeling of fulfillment and satisfaction. So simplifying. Its not easy to focus on less - youre still going to have to actively, continuously simplify as youll always be presented with more and more and more things than you can actually do. Especially when everybody else is using Traditional Time Management and you are using the Great Time Management Secret.

Now when you simplify your to-do list to only your most important tasks, you will feel much, much better. Youre less overwhelmed because you look at a small list. Its much less overwhelming than a large list. Always try to simplify what you have to do and how you plan to do it into its most basic form. It will be much easier to think about and to handle it. For example, which is easier to mentally deal with? 22310 / 44620 or 1/2 The answer is obvious. 1/2 is a lot easier to mentally deal with. But heres the thing. They both mean the same thing. 1/2 is just a simplified form of 22310/44620. Even though they both mean the same thing, it is much, much easier to think of it and to work with 1 / 2. So, the more difficult and complex the task, the more this is going to become important and because we are only focusing on completing high importance tasks, simplification is going to be a big part of the Great Time Management Secret.

You wont feel the pressure of time because you are not constantly looking at your watch. When you focus on a task completely and you are not so concerned about watching the clock, you are able to do a better job. You can lose yourself in the task and actually finish with less effort and better quality.

Thomas Edison understood that a time-centered approach is ineffective if you want to achieve important things. So it will train your mind to focus on the task instead of the time. Now, when you are at work, its a different story. But at home, if you are completing a task, try not to look at the watch too much. Try to get - focus absorbed into completing that task. The

Great Time Management Secret is to focus exclusively on completing High Importance tasks. Im saying it again because it bears repeating. Now, lets talk about the high importance part for a minute. A high importance task or high priority task is the same thing as a task that you complete that has a big, big benefit. Think of a task something you need to do, as money. A $100 bill and a $1 bill. Each of them is like one task. Which would you rather take? A $100 bill or a $1 bill? Now this is US currency, of course, if youre overseas watching this. But a $100 bill anyone would take. Even a small child would take a $100 bill over a $1 bill.

Why? Because the value of that $100 bill is worth a 100 times more than the value of the $1 bill. Even though, its one for one. Its the same thing. If the value of that $100 bill, and thats what we are trying to get. We want to go after those big payoff tasks and go after those $100 bill tasks. Now, heres another example. Lets say you need to catch a fish to feed your family. With all things being the same in terms of resources and ability, is it better to get a small fish or a big fish to feed your family? Its better to get a big fish, anyone would say, because a big fish is a big payoff task which will feed your family, and your neighbors and your friends. Before, youve probably heard of the 80/20 rule. Well, the 80/20 rule doesnt apply to today anymore because weve so much stuff, even more stuff to do than ever before. With the internet, with cell phones and everything. Weve almost doubled the things that we have to do. So, Im taking the 80/20 rule - Im making it the 90/10 rule. So, basically, the way you apply it to your to-do list is basically 9 out of those 10 tasks are garbage tasks. You want to focus - look for that one task that is the highest priority task the highest importance task and eventually, youll be able to create a to-do list of just high importance tasks because you automatically filter out the garbage tasks. So, now we know that we have to focus on high importance or high priority tasks exclusively, it is important to know that we must fully complete the task. Traditional Time Management results in many, many incomplete tasks.

Task completion. Lets talk about task completion for a minute. Task completion means to complete the task all the way so there is nothing at all left to do. Imagine running a race. Thats the task. Task completion only occurs when you cross that finish line because once you cross that finish line, there is absolutely nothing left to do.

To finish a work? To finish a picture? What nonsense! To finish it means to be through with it, to kill it, to rid it of its soul, to give it its final blow the coup de gras for the painter as well as for the picture. - Pablo Picasso When you strike at a king, you must kill him. - Ralph Waldo Emerson Thats a great quote because striking at a king is considered it would be like a high priority task and if you are going to work on a high priority task, you must complete the task or kill the task because there are negative consequences when you dont complete certain high priority tasks, high importance tasks. There are certain dire consequences that go along with that. So, if youre going to go after the big guys, you better complete the job. Nothing is so fatiguing as the eternal hanging on of an uncompleted task. - William James Now let me talk to you about the difference between task completion versus task management. Traditional Time Management talks a lot about task management. Why? Because you have so many things to do that all you can do is manage them. Task management is like juggling. Juggling it looks like youre doing something it looks like youre busy. But youre really not getting anything done.

Multi-tasking is a new concept because of all stuff in history, nobody multi-tasked. They only single-tasked. Single-tasking is a term that I use to describe intense, focused, concentration on one task. Concentrating single-mindedly on one task. Single-task. Single-minded. We focus exclusively on completing that task. Single-tasking is like eating an ice-cream cone. Basically, when you start to lick an ice-cream cone, if you dont keep working on it, the ice-cream cone is going to melt and get all over your hands. So, youve got to keep working until you finish it.

Single-tasking really, really becomes important when youre dealing with important huge-result tasks. This is why people have difficulty with high importance tasks because with low importance tasks - it doesnt really matter so much whether you single-task or not. So, if you just jump around and do different things, then you eventually might finish the task. But the thing is when you come to these big, giant tasks, since you dont single-task, you end up not completing the task. You need to be able to concentrate single-mindedly on the task. Its the difference between listening to three songs at the same time instead of focusing and listening to only one song. What is the origin of the Great Time Management Secret? I say that the Great Time Management Secret is about five thousand years old. Its actually much, much older. It actually goes back to the time of caveman.

If a caveman wanted something to eat; if the caveman wanted a saber-toothed tiger for dinner; the caveman would have to go out and spear the animal. Spearing the animal is a task to be completed. Now caveman understood the difference between task completion and task management. Task management is looking good. Task completion is coming back home with dinner. We are here today, we have survived because cavemen understood task completion. High Importance task completion - they understood that. You see task management would be - running and saying - hey look at me - trying to look good for the girls and not spearing the animal and bringing it back to eat. See, so even cavemen understood this important property of the Great Time Management Secret, which is high importance task completion. Why do I say five thousand years? Because at around five thousand years ago, is when the ancient Egyptians got hold of the High Importance Task Completion. Ancient Egyptians built the pyramids. Now in my opinion, the pyramids are the ultimate example of High Importance Task Completion. I mean theyre just amazing. The great pyramid was the largest man-made structure until the Eiffel Tower was built. That means that for thousands of years, it was the tallest manmade structure. Did you know that it took twenty years to build one pyramid? Each pyramid consists of about two to two and a half million stones. Now, these are not small stones. These are five thousand pound block stones. I mean thats huge. Okay? See, theres so much mystery involved with they pyramids because theyre such magnificent things. Its hard to fathom that they were built by man. Its true that they were built by man. But some people would claim that

they were built by aliens. Why? Because they dont want to admit that that can be done. That a task like that could be completed. So they say Oh! Aliens built the pyramids. You know, but if you look at it theres a progression you can see a progression from when the ancient Egyptians started with different types of pyramids before they ended up with the true pyramid that we know of today.

You see if an alien can conquer space, its not going to come to Earth and play around with different types of stones until he finally comes up with the true pyramid. No. The ancient Egyptians created the pyramids. And, slaves didnt make the pyramids, either. Some people would say that the slaves did it. But, no, the ancient Egyptians themselves were the ones that made the pyramids. They rotated their work schedules around the annual flooding of the Nile. Well, we can learn a lot of lessons from the ancient Egyptians and how they could complete High Importance tasks. So thats why I used five thousand years as the number for the Great Time Management Secret. People have continued to marvel at the accomplishments of the ancient Egyptians. It wasnt just the pyramids. They created these amazing temples, obelisks, the Sphinx, all kinds of things. Its just amazing. So, we can learn a lot. How was the Great Time Management Secret lost?


How did the Great Time Management Secret get lost? The Great Time Management Secret was lost towards the end of the eighteenth century, during the birth of the factory system, at the time of the Industrial Revolution. Before this point, before the Industrial Revolution, it was mainly an agrarian society. We had a lot of artisans, a lot of craftsmen. All of these people understood that task completion is important. No ones going to buy a half-finished item that an artisan or a craftsman made. No one is going to buy a crop a produce, or something that wasnt properly taken care of. These people understood that task completion was important. But when the factory system came about, now suddenly you had large numbers of people going into this big factory, where they would work for twelve hours a day, and they would be doing a small part of an overall larger task. Now, this larger task is what they were making in the factory.

Now, the mentality that was over and over again reinforced was Work as fast as you can within a certain amount of time. Get more stuff done in less time. Sounds familiar? Thats the mentality, because its good for the factory owner. Its good because more products get made in a shorter period of time. So, you had to work to get more stuff done in less time. This was the mentality that slowly was beginning to permeate. And, not only that, but children worked in the factories too, and the hours were long twelve hours a day, doing the same thing hearing the same thing. In fact, you know, they wanted you to just totally get as much stuff done in the shortest period of time. Even if you were whistling, they deducted a shilling from you. Thats how they wanted to get more stuff done in less time. Okay? So, this is what created assembly-line thinking. Assembly-line thinking is the idea that everything is on assembly-line, that you only do one part your part on the assembly line. So, you dont complete the whole task, you just focus on your part. Now, this is bad when you have to complete other tasks because youve been trained to think about only completing one part of a larger task. So now, all these other tasks that you might have to do it may mean that youre not completing them. Before, a person really understood that they had to complete

the task all the way through. So, now what happened is assembly-line thinking really started to permeate, and then it was handed down in a tradition from generation to generation, and thats why I call this line of thinking Traditional Time Management a time-centered approach to time management. More stuff done in less time. You see, we still have factory systems to this day. I mean, its good that we have factories because its responsible for our growth and technology. But, just understand that the factory system is what caused the Great Time Management Secret to get lost, because of its shift in thinking. The Great Time Management Secret was kept alive by the most powerful people because most of them were not involved in the factory systems. Also, if they were they were involved in overseeing the overall structure of the factory, making sure that it was the most efficient way to get the product manufactured from start to finish. So, you see, they were not involved in the actual working in the factory on that small part of the task. So, it was kept alive by the most powerful people. And they continued to teach other people. But for the most part, the vast majority of people would live out their entire lives, during the past two hundred and thirty plus years, never even really understanding the Great Time Management Secret because of this new shift in thinking which I call Traditional Time Management. Because of the tradition aspect of it.

Task completion requires skill:


Task completion is a skill. Traditional Time Managements thinking is to get as much stuff done, in a shorter period of time. So you end up doing the small, lower importance tasks first, and those tasks dont even really need to be done anyway, and they dont require much skill. The skill is required when youre completing High Importance tasks. You see, and in the Great Time Management Secret, thats what you focus on. High Importance tasks. The problem is tasks can involve skill sometimes, they can involve a lot of challenges, difficulties, obstacles that need to be overcome. So, you need to learn the skill of completing High Importance Tasks. Now, let me give you a historical example: Im sure youve heard of the name Michelangelo. He is probably most famous for his sculpture David. The sculpture David is perhaps the most famous statue in the history of Art.

Let me tell you about the story of David. Michelangelo wasnt the first to work on the sculpture. This was a seventeen foot piece of marble that was quarried in Italy, and two sculptors before Michelangelo, tried, but they couldnt do it. It was too difficult. There were flaws in the marble, they lacked the experience, and it was a very imposing thing. Seventeen feet is quite a large piece of marble. Michelangelo felt confident he could do it. So, he petitioned and they gave the contract to him. Michelangelo worked incessantly for three years on this project. Night after night, day after day, he worked and he finished it. It took forty men, five days to move the finished statue to its final resting place. So, heres what I want to tell you about this story. See, Michelangelo didnt quit half way through. He completed the statue. It wasnt easy because a couple of people had already tried. Even back then task completion was a skill. Even those artisans who quit they knew about task completion but they didnt have the skill that was required. So, what Im trying to tell you is that High Priority, High Important task completion is a skill. Thats a skill that Im going to teach you. You see Traditional Time management theres too many things to teach. So they dont even bother with that. Theres a lot to learn about completing high Importance tasks and thats what Im going to teach you after this movie is over. In continuing lessons. Im going to be teaching you this.
