CHAPTER -1 Introduction:

ERP is an acronym that stands for Enterprise Resource Planning. ERP is a package software solution that addresses the enterprise needs of an organization by tightly integrating the various functions of an organization using a process view of the organization. It is a package software and not a custom made software for a specific firm.It gives a company an integrated realtime view of its core business processes. The term ERP originally implied systems designed to plan the use of enterprise-wide resources.Although the initialism ERP originated in the manufacturing environment, today's use of the term ERP systems has much broader scope. ERP systems typically attempt to cover all basic functions of an organization, regardless of the organization's business or charter. Businesses, nonprofit organizations, nongovernmental organizations, governments, and other large entities utilize ERP systems. ERP is an acronym that stands for Enterprise Resource Planning.ERP includes in its breadth all the resource planning for the enterprise including product design, information warehousing, material planning, capacity planning and communications system, to name just a few. ERP integrates the functional modules tightly. It is not merely the import and export of data across the functional modules. It integrates all data and processes of an organization into a unified system. A typical ERP system will use multiple components of computer software and hardware to achieve the integration. The integration ensures that the logic of a process that cuts across the function is captured genuinely. This in turn implies that data once entered in any of the functional modules is made available to every other module that needs this data. This leads to significant improvements by way of improved consistency and integrity of data Comaparing to its previous softwares, ERP uses the relational databases, fourth generation languages, integrated computer-aided engineering tools such as product data managers(PDM), and open-system portability to integrate systems such as advanced planning and scheduling(APS), finite scheduling systems, and manufacturing execution systems(MES).The APS tools that are part of a fully integrated ERP system provide excellent what if scenarios for the manager to determine the most beneficial mix of orders and customers.

ERPs are often incorrectly called back office systems indicating that customers and the general public are not directly involved. This is contrasted with front office systems like customer relationship management (CRM) systems that deal directly with the customers, or the eBusiness systems such as eCommerce, eGovernment, eTelecom, and eFinance, or supplier relationship management (SRM) systems. Modules in ERP Ideally, ERP delivers a single database that contains all data for the software modules, which would include: Manufacturing: Engineering, Bills of Material, Scheduling, Capacity, Workflow Management, Quality Control, Cost Management, Manufacturing Process, Manufacturing Projects, Manufacturing Flow. Supply Chain Management: Inventory, Order Entry, Purchasing, Product Configurator, Supply Chain Planning, Supplier Scheduling, Inspection of goods, Claim Processing, Commission Calculation. Financials: General Ledger, Cash Management, Accounts Payable, Accounts Receivable, Fixed Assets. Projects: Costing, Billing, Time and Expense, Activity Management. Human Resources: Human Resources, Payroll, Training, Time & Attendance, Benefits. Customer Relationship Management: Sales and Marketing, Commissions, Service, Customer Contact and Call Center support. Data Warehouse: and various Self-Service interfaces for Customers, Suppliers, and Employees. Why ERP? Corporations go for ERP either to solve the existing problems or to explore new opportunities. Actually these two approaches are negative & positive approach respectively. One aspect of the negative approach forces some corporations to go for ERP to solve their Y2K

problem. This is particularly true of those corporations that are heavily dependent on legacy systems running on old main frames. The second aspect of the negative approach is to get over the problems of islands of heterogeneous and incompatible information systems that were developed over the past several years in many organizations. Functional IS modules representing areas such as Finance, Marketing, HR, and Production in these organizations would be running on diverse hardware and software platforms leading to nearly insurmountable problems of reconciling data locked up among the diverse systems. From a positive perspective many organization look at the great opportunity provided by ERP software that lead to almost instant access of transactional information across the corporation. Such an information rich scenario permits organization to reduce inventory across multiple units/ departments/ plants; reduce cycle times from weeks to hours; and improve customer satisfaction by orders of magnitude. All these translate to increased profitability or increase in market share and in turn much larger market capitalization. However ERP is only means and not an end by itself. ERP provides an opportunity for a corporation to operate as an agile entity to improve production / operation, customer service and customer satisfaction. The creative ingenuity of an organization to drive towards these corporate goals determines the extent of success an ERP implementation can deliver. Prior to the concept of ERP systems, departments within an organization (for example, the human resources (HR) department, the payroll department, and the financials department) would have their own computer systems. The HR computer system (often called HRMS or HRIS) would typically contain information on the department, reporting structure, and personal details of employees. The payroll department would typically calculate and store paycheck information. The financials department would typically store financial transactions for the organization. Each system would have to rely on a set of common data to communicate with each other. For the HRIS to send salary information to the payroll system, an employee number would need to be assigned and remain static between the two systems to accurately identify an employee. The financials system was not interested in the employee-level data, but only in the payouts made by the payroll systems, such as the tax payments to various authorities, payments for employee benefits to providers, and so on. This provided complications. For instance, a person could not be paid in the payroll system without an employee number. But after the introduction of ERP, the ERP software, among other things, combined the data of formerly separate applications. This made the worry of keeping numbers in synchronization

across multiple systems disappear. It standardised and reduced the number of software specialities required within larger organizations. An ERP software package matures over time with additions of new modules and functionality by the software vendors. The continuing developments in ERP software, including web-enabled modules and e-business software suites,have made ERP more flexible and userfriendly, as well as extending it outward to a companys business partners. Evolution of ERP ERP (Enterprise Resource Planning) is the evolution of Manufacturing Requirements Planning (MRP) II. From business perspective, ERP has expanded from coordination of manufacturing processes to the integration of enterprise-wide backend processes. From technological aspect, ERP has evolved from legacy implementation to more flexible tiered clientserver architecture. Advantages of ERP: There are a number of powerful advantages to Enterprise Resource Planning. It has been used to solve a number of problems that have plagued large organizations in the past. 1. Efficiency: It should first be noted that companies that fail to utilize systems such as ERP may find themselves using various software packages that may not function well with each other. In the long run, this could make the company less efficient than it should be. 2. Design process There are a number of processes that a company may need to integrate together. One of these processes is called design engineering. When a company is in the process of designing a product, the process of actually creating it is just as important as the end result. ERP can be useful in helping a company find the best design process. 3. Order tackling Another area where ERP can be useful is order tracking. When a company receives orders for a product, being able to properly track the orders can allow the company to get detailed information on their customers and marketing strategies. If different software packages are being used, this data may not be consistent. 4. Accounting application:

Perhaps one of the most important advantages of ERP is its accounting applications. It can integrate the cost, profit, and revenue information of sales that are made, and it can be presented in a granular way. 5. Manufacturing: Enterprise Resource Planning can also be responsible for altering how a product is manufactured. A dating structure can be set up which can allow the company to be informed of when their product should be updated. This is important, because it will allow the company to keep better track of their products, and it can allow the products themselves to be produced with a higher level of quality 6. Security: Another area where ERP can be an indispensable tool is the area of security. It can protect a company against crimes such as embezzlement or industrial espionage. Disadvantages of ERP: However, with all the advantages that ERP offers, there are a number of disadvantages as well. 1. High investment One of the biggest disadvantages to this technology is the cost. At this time, only large corporations can truly take advantage of the benefits that are offered by this technology. This leaves most small and medium sized businesses in the dark. A number of studies have shown that the biggest challenges companies will face when trying to implement ERP deals with investment. 2. Cost of training: The success of the system is fully dependent on how the workers utilize it. This means they must be properly trained, and a number of companies have attempted to save money by reducing the cost of training. Even if a company has enough money to implement ERP, they may not be able to successfully use it if they do not have enough money to train their workers on the process of using it. 3. Alteration: Most ERP vendors will not allow the structure of the software to be altered. One advantage to ERP is that making the necessary changes to use it may actually make a company less competitive in the market. In addition to the costs involved with implemented ERP and

training workers to use it, the ERP vendors may charge additional license fees, putting a strain on companies that do not have enough resources to pay for them. Trends in ERP: ERP is still evolving adapting to development in technology and the demands of the market. Four important trends are shaping ERPs continuing evolution: improvements in integration and flexibility, extensions to e-business applications, a broader reach to new user and the adaption of new technology. Flexible ERP: First, the ERP software packages that were the mainstay of ERP implementations in the 1990s and were often criticized for their inflexibility, have gradually been modified into more flexible products. Companies who installed ERP systems pressured software vendors to adopt more open, flexible, standards-based software architectures. This makes the software easier to integrate with other application programs of business users, as well as making it easier to make minor modifications to suit a companys business processes. Web-enabled ERP: This is the second development in the evolution of ERP. The growth of the internet and corporate intranets and extranets prompted software companies to use internet technologies to build Web interfaces and networking capabilities into ERP systems. These features make ERP systems easier to use and connect to other internal applications as well as to the systems of a companys business partners. Interenterprise ERP: The Internet connectivity has led to the development of interenterprise ERP systems that provide Web-enabled links between key business systems of a company and its customers, suppliers, distributors and others. These external links signaled a move towards the integration of internal-facing ERP applications of supply chain management and companys supply chain partners. E-business suites: All the developments have provided the business and technological momentum for the integration of ERP functions into e-business suites. The major ERP software companies have

developed modular, Web-enabled software suites that integrate ERP, customer relationship management, supply chain management, procurement, my SAP. decision support, enterprise portals, and other business applications and functions. Examples include Oracles e-Business Suite and SAPs

DEPARTMENTAL STUDY PRODUCTION DEPARTMENT:The department is headed by the production manager; under him there are supervisors to look after each activity in the production process. The production department is divided into the spinning section, weaving section, yarn processing section and winding section. PURCHASE DEPARTMENT:The purchase division consists of two sections; one is exclusively for cotton purchase and other for stores and spares purchase. Orders are made according to the stock position. Every supplier of LAKSHMI MILLS COMPANY LIMITED should be a member of South Indian Cotton Association (SICA) or East India Cotton Association (EICA). STORES DEPARTMENT:In the organisation there is a separate stores department under the control of the store keeper and he is assisted by one supervisor. The store keeper is in charge of maintaining proper stock level. FINANCE DEPARTMENT:The finance department of LAKSHMI MILLS COMPANY LIMITED takes care and maintains the of books of accounts and preparation of day to day vouchers for each transaction. All the accounting process is computerized and interpreting the economic situation of the company. EXPORT DEPARTMENT:The Export department at LAKSHMI MILLS COMPANY LIMITED takes care of all the exporting activities of the company. The company exports its products all over the world. The company is the member of "Federation of Indian Exports Organisation" (FIEO) and it is also the members of systematic and rayon textile export promotion council. TIME OFFICE DEPARTMENT:-

The time office department keeps a record of in-time and out-time of the workers. They also calculate the number of working days and prepare the absentees list. EDP DEPARTMENT:The EDP department controls and maintains all the information required for the performance of various departments. It monitors the production activities and keeps records of personnel data, accounting data, inventory details etc. SECURITY DEPARTMENT:At LAKSHMI MILLS COMPANY LIMITED the security personnel consist of one chief security staff under him there are 3 senior watchmen to control 60 security guards. HR DEPARTMENT:The principal resource of an organisation is the people. Managing its people is the most important aspect of managing an organisation. Scope of personnel management has also increased considerably in recent years. The work of a HR Department deals specifically with procuring, hiring, training, placing, utilizing and maintaining an effective work force that will aid in the accomplishment of the firms objectives. FUNCTIONS OF HR DEPARTMENT:Employee development is the most important mechanism of human resource, systematic development of managerial talent is vital for effectiveness of the organisation. Since the quality of managerial personnel determines to a large extent of the performance of the organisation. The 3 main functions of HR Department are: Recruitment and selection Training and development Performance appraisal.

SHIFT SYSTEM:-

The workings hours are divided into shift system. There are 3 shifts in the company. They are as follows: 7.00 am -3.30 pm 3.30 pm-12.00am 12.00am-7.00am

The company works 24 hrs a day through out the year except for the 9 national festival holidays. PERSONNEL CATEGORIES:The employees at LAKSHMI MILLS COMPANY LIMITED can be broadly categorized as follows: Workers - 1230 Staffs - 70 Managers

TRAINING AND DEVELOPMENT AT LAKSHMI MILLS COMPANY LIMITED:LAKSHWll MILLS COMPANY IMITEQ tea designed a format in which the divisional head identifies training needs of the employers working under him. The training is provided according to the format. The tra\n\ng Is a\so provided to a\\ the employees of the company. The training provided includes both theoretical as well as practical sessions for both operators and non operators. Experimental works inhouse training programmes and the training are also given re-training about new technologies. The HR Department prepares a training calendar for the year based on all annual is done at different training agencies. All the employees who are attending the training programmes are required to furnish a training report. This is taken as a basis for the assessment of the training programmes.

GRIEVANCE HANDLING:Grievance is a sign of employee's discontent with job. EX-GRATIA PAYMENT:All the employees who are not eligible for bonus are being paid Ex-gratia payment/goodwill amount once in a year. ATTENDANCE AWARD: Employees who attended all the working in a calendar year will be awarded attendance award. Attendance bonus will be paid to employees who attended all the days in a month.

PERSONAL COUNSELING:Personal counseling will be extended to the employees and their family members by an outside counselor for their personal / family problems and as well as the problem in the work spot, such as, absenteeism, low efficiency/productloa, insubordination etc. CULTURAL PROGRAMMES FOR FAMILY MEMBERS:The management, credit society and co-operative stores jointly organise cultural events and sports meets to the family members of the employees, periodically. SUGGESTION BOX:The introduction of suggestion box at LAKSHMI MILLS COMPANY LIMITED is used for receiving suggestions from employees for betterment of both employees and the organisation. MEDICAL RE-IMBURSEMENT:Six percent of the annual pay is being paid as "medical re-imbursement" to the staff members who are not covered under ESI scheme, for getting the reimbursement of medical expenses for self and family members. LEAVE: Workers are being paid rupee 1/- for every working day as leave travel concession. Staff members are being paid one month basic pay as leave travel concession ,every year Unavailed leave of staff members will be enchased up to 24 days in a year Workers are being sanctioned additional leave /casual leave other than statutory entitlement. Staff members are entitled to avail leave up to 36 days per annum. Staff can avail maximum of 20 days leave for their marriage during the service.

HOLIDAY TRIP:Holiday trip will be organised every year to staff members and their family members.

INCENTIVES:A production incentive is being paid to the employees who produce more than efficiency assigned as per the settlement. UNIFORM:Jobber category employees are being issued uniform three sets for 2 years and one pair of shoe will also be issued. SUPERANNUATION FUND:Management is contributing for superannuation fund to the executives.

SCOPE OF THE STUDY This study contains relevant and useful data and analysis regarding Awareness of ERP System. This study throws much light on the sensitivity analysis .Though the study is not exhaustive this study might be the basis for future research in this area.

RESEARCH The study of research method provides you with the knowledge and skills you need to solve the problem and meet the challenges of the fast- based decision. Marketing environment we define Business Research as a systematic inquiry whose objective is to provide information to solve managerial problem. It seeks to find explanation to unexplored phenomena to clarify the doubtful facts and to correct the misconceived facts.

TYPES OF RESEARCH: DESCRIPTIVE RESEARCH


Descriptive study is a fact- finding investigation with adequate interpretation. It is the simplest type of research. It is more specific than an explanatory study, as it has focus on particular aspect of the problem studied. It is designed to get her descriptive information and provide information for formulating more sophisticated studies. Data are collected by using one or more appropriate method, observation, interviewing and mail questionnaire.

LIMITATIONS OF THE STUDY Method of data collection was through personal interview and therefore personal bias becames a major limitation. The major constraint of the study was the availability. The respondents were less interested in answering the questionnaire, as they felt that it was an interruption to their regular work.

The number of respondents was limited to 50 only. The scope of study is restricted only to Coimbatore & palladam.

INTERPRETATION From the above it has been observed that 86% of the respondents were involved in Decision making while 14% of the respondents were not involved in Decision making.

INTERPRETATION From the above table it has been observed that 48% of the respondents were involved in the initial stage of Decision making while 38% of the respondents were involved in the final stage and 14% of the respondents were involved in both the stages.

INTERPRETATION From the above table it has been observed that 82% of the respondents are being motivated by the management to give creative ideas while 18% of the respondents are not being motivated by the management.

INTERPRETATION From the above table it has been observed that 64% of the respondents feel free to communicate with Top management in their organization while 36% of the respondents does not feel free to communicate with Top management.
