You have to have the free time needed to do the job and to do it properly. If you are planning to make great money without having enough time to do the job, it simply isnt going to work. You also need to have a positive and friendly attitude and approach. You arent going to become a millionaire overnight, but with friendly, quality service you can build a client list quickly. You will also need persistence and the ability to keep going until you reach the level of success you are seeking. This is all that you need to start a great business. While you may run into more needs as your business grows, this is what you really need to start. In talking to many of our fellow couriers over the past month, we came to learn that quite a few of them work their courier businesses part time. While the advantages of running your business full time cannot be overstated, we thought wed share some of the benefits that our part-time colleagues love. More Free Time We were delighted to discover that many of our part-time brethren explore dozens of interesting hobbies and other business opportunities. Some simply love the ability to spend more time with their families. Being a courier allows them to work for just a few hours per day and devote the rest of their time to their passions, be that hobbies, family, or other work. Worthwhile Income Its hard to find a business where you can work three to four hours per day and still pull in several thousand dollars per month. Its not that everyone will achieve that much income, but especially in this economy, work that pays double or triple of minimum wage cant be overlooked. A solid business plan will keep you focused and on track, and help you identify potential niches and areas of specialty. If you look at all of the epic battles of history you would note one repetitive fact the winning generals or leaders had decisive battle plans, and even secondary plans, in place long before the day of battle. This sort of consideration is the reason that last-minute adjustments were possible, and why they could yield results. When you are thinking about starting a business of any kind you must make the same sort of exhaustive examination of the field of battle in order to formulate the plans that will help you obtain your goals. For example, unless you assess the viability of the market in the area in which you intend to actually conduct business you will be unable to say with any kind of knowledge or authority whether or not there is interest in your products or services. Additionally, if you dont consider such things as operating costs at periods of six, twelve, and even twenty-four months into the future you might be surprised at how quickly your resources dry up. Even with a business with start up costs as modest as those in the courier industry, this is a vital consideration. A business plan starts with a simple expression of the goals of the business owner or partners. If you cannot express in only a few short sentences the things that the business will do or make then you must pour a lot of effort into gaining a clearer understanding of the main focus. After that, a business plan will create a sort of road map that will allow all of the participants to know where they are going, what they are doing, and what the anticipated outcomes will be.

In the event of some sort of problem or hurtle, the business plan would be able to provide alternative answers. Insurance & Bonding, Part 1: Courier Insurance


5 We get a ton of questions asking us about insurance and bonding in the courier business, so were going to address those questions in a two-part insurance overview. First up, courier insurance. What is courier insurance and why do I need it? Anyone who delivers products or packages for a fee is going to require some form of courier insurance. This is true of massive companies shipping good all around the world as much as it is for the self-employed courier driving documents around a rural area.

Courier insurance protects against theft, loss, and damage to property in the care of the courier. If you are someone who uses your delivery van to bring bundles of newspapers and containers of magazines to dozens of convenience stores in the area, you will need this insurance. If you are a courier transporting legal and financial documents through the streets of a big city, you too will want to have some of this insurance as well. What courier insurance will do is prevent you from being held personally liable if the materials you are carrying and delivering are damaged or stolen during transit. They wont protect the vehicle or the individual, they will only protect the value of the materials being delivered.

Fortunately, a courier service owner will be able to select from a range of policies. For instance, if the courier service is owned and operated by a single person with a single vehicle, and the materials that they frequently transport are not costly or highly valuable then the price of the policy will be quite low. If, on the other hand, the courier service regularly transports things like expensive electronics, controlled substances, or valuable goods, then the policy is going to reflect the risks of the work. It is important to also understand that subcontractors and employees will require coverage too. If a courier service is experiencing some sort of surge in business, which can occur often around the holidays, they might use a few part-time subcontractors. During such a period they will need to be listed on the vehicle policy, but they will also have to appear in the courier insurance coverage too. How do I get a policy? Courier insurance policies are generally inexpensive. The simplest way to get a policy is to call your insurance agent and discuss with them what you need. "Unless you spend the vast majority of your money on advertising (not a good idea!), you are going to get most of your clients by hitting the streets, knocking on doors, making phone calls and building your network of contacts." Many people assume that starting a business means working 16-24 hours a day for the first few years. While some people take this approach (and even think it helps!), it is not necessary. In fact, it might actually be counter-productive. One of our readers, Tony D., raised the question about startup hours, and my response to him turned into a treatise on the basic steps to starting a courier and delivery service business and designing that business to fit your lifestyle goals. After all, what fun is starting your own business if you cant work decent hours and get eight hours of sleep a night? Tony D. wrote: What about my hours, can I make a profit if I dont operate 24hrs a day like the big guys? I mean I have to get some sleep in sometime, At least until I can hire additional help. Here is my rather lengthy reply: Hi Tony, No, you dont have to work 24 hours per day like the big guys to make a profit. In fact, I would think that you would kill your profit if you try to do that and more importantly, you would have no life. I started my courier service 20 years ago and can say that I have maybe received one phone call late at night for somebody who wanted a delivery. It just doesnt happen that often.

My hours are a little longer than typical business hours. I generally work from 7 a.m. to 7 p.m. But this is not constant driving. I have breaks in there. For many years I did all of the driving by myself, and even then it was generally 9 a.m. to 5 p.m. normal-business-hour driving. And these days, I have drivers to help with deliveries, so I drive even less. Of course, I dont live in a major metropolis. Maybe if you are operating out of NYC or LA then all-night delivery may be a profitable niche. For the vast majority of courier service owners, however, you would go out of business trying to be open 24 hours a day, because you would never, ever get any phone calls.

What Your Ideal Clients Look Like


Out of all of my clients, 99.9 percent are businesses that are on a set schedule. Rarely do I ever get calls out of the blue from someone who needs a delivery that day. Rarely do I ever get calls from someone needing a one-time delivery. I have intentionally created my business this way. I dont advertise for express delivery or same-day delivery and definitely dont offer 24 hour per day delivery. I only do scheduled deliveries because that is where the demand is and that is where the money is, at least in my part of the country. When I started my delivery service, I figured most of my business would be from people needing deliveries immediately or within a couple of hours. It just didnt work out that way. The clients that I found wanted someone to pick up their mail at the post office at the same time every day, they needed inter-office deliveries every day at the same time, multiple times per day, or a pharmacy wanted me to deliver its medications every day at the same time. These types of scenarios are what you are more likely to encounter. And frankly, these are the clients that you want. Maybe four or five times a year I get a phone call for a one-time delivery, and I usually refuse to do it. One-time deliveries screw up my delivery schedule, and theres no money in them. You do the delivery and thats it, they may or may not ever call you again. What you want are clients that use you on a regular schedule that way you can organize very efficient routes and maximize your income, while minimizing driving and expenses. I have my schedules so tightly packed that one random delivery is just not worth throwing off the schedule and having to deal with invoicing one delivery and then making sure the client pays me. It may be worth it as a new owner to take anything you can get, but once youre established, you wont want to waste your time with these non-scheduled deliveries. Your delivery schedules, for the most part, are going to be regular business hours because you will most likely be delivering things from one business to another business, during the hours between 9 a.m. and 5 p.m.

How to Find Your Ideal Clients


The other thing I want you to realize is you are not going to get a lot of phone calls, maybe just four or five A YEAR. Unless you spend the vast majority of your money on advertising (not a good idea!), you are going to get most of your clients by hitting the streets, knocking on doors, making phone calls and building your network of contacts. The overwhelming majority of my clients had never used a courier service before and had never even thought about using a courier service until I came to talk to them about what a courier service does and how we can help them in their business. What this means is most of my clients never would have called me or any other courier service because they didnt even know they had a need for a courier / delivery service. This is an industry built on relationships. People dont just pick up a phone and call a random courier service. You are going to have to make contact with your first potential clients and educate them. Once you get some clients set up, then referrals from existing clients will be your best source of new clients. The fastest way to get started is to subcontract work with other couriers in your area, then check out our list of Businesses Most Likely to Use a Courier Service (in Zero to Sixty Documents Kit) and call these types of businesses first. Also, join your local Chamber of Commerce and network with other local business people. You will soon be growing a list of contacts that will refer business to you. Again, let me warn you: If you think that advertising in the yellow pages and the newspaper, putting up flyers, and setting up a website will make the phone start ringing off the hook, think again. That strategy will not work and you will be out of business before you even get started. This is absolutely the worst thing you can do! Dont even think about it! Why? Your first clients are going to come from active prospecting, not from advertising. Prospecting is getting on the phone, going door-to-door, and finding your future clients. Advertising is getting them to come to you. Prospecting is the fastest way to get new clients advertising is the slowest. I know this is probably disappointing news. The last thing most people want to do is to buy a suit and start knocking on doors, but that is the key to startup success.

When I started, sales was absolutely the last thing I wanted to do. I am not the salesman type. I didnt like asking for the sale and was frankly not comfortable even making the phone call to set up an appointment. And not comfortable is an understatement. I was pretty much in full-blown panic attack at the idea of contacting clients and talking to them about my business and then trying to close the deal, but I did it. I did it because I was totally committed to making this thing work. There was no way I was going back to the cubicle life. I was going to make this work if it killed me. That is the attitude you must have, not only with the courier business, but starting any business or any new endeavor in your life. You must not do anything half way. You must be totally dedicated and determined to succeed. That does not mean you will sell every client you talk to or that everything you try will work out. Expect to get far more rejections than not, but remember that it doesnt really matter, it is all a matter of numbers. If you sign only one out of 50 clients, then all you need to do is approach 500 potential businesses to have 10 clients. And remember, each active client you have is a future source of many referrals and much future business. So you wont have to go door-to-door forever. But if you dont, it will mean a long, slow startup for your business. Its all in the numbers. You must keep trying, you must keep making mistakes. Think of each mistake or each rejection as a rung on the ladder to success. We learn through trying and falling and getting up and trying again, just like learning to ride a bike! If you persevere you cannot fail.

How to Determine What To Charge

Determining what to charge is one of the most important steps you will take as you begin your courier service. Luckily, several strategies that you can employ will ensure your competitiveness. The one question we get more than all the others combined is: How do I figure out what to charge for delivery services? The answer is that much of your pricing depends on the answers to several questions:

Where are you? Prices in Kansas are going to be much lower than New York City. How much competition do you have and what are they charging? What are you delivering? Is it an envelope or a big screen TV? Is this a one time delivery or a repeating scheduled delivery? Is the delivery local or out of town? How much is your overhead? Do you have an expensive office or do you work by yourself out of your house? How much profit do you want to make? How much does it cost to operate your vehicle? how much is your insurance? What is the current price of fuel in your area?

These are just some of the many variables to consider when you are figuring out your rates. What you charge will be tailored to the very specific requirements of each and every client. I have owned my courier service for over 20 years and every one of my clients is charged a different fee because their delivery needs are unique and diverse. I have clients who pay me less than $100 per month and I have clients who pay me more than $10,000 every month. The client who pays me $100/month is charged a much higher per delivery charge than my $10,000 per month client (who is charged one of my lowest per delivery charges). While it would be nice if there were standard rates that were competitive everywhere, these variables will affect the pricing in your area. Luckily, there are several simple strategies for figuring out what you should charge your clients. Strategy One: Determine Competitors Rates Find out what other courier and delivery services in your area are charging. If you charge more than the going rate, you will probably not get many clients. If you charge less than the market rate, at best you are leaving money on the table. At worst, you may go out of business because your profit margins will be too thin. The most important factor is what are people in your area used to and willing to pay for delivery services. In other words, you need to determine the market price for your services in your area. Strategy Two: Determine What You Want To Make

Set a target revenue goal and then work backwards. If I want to make $60 per hour, then that means each minute of my time is worth $1.00. So, if a delivery takes me 10 minutes, Ill charge $10. If a delivery takes me 25 minutes, Ill charge $25 for that delivery. This strategy can provide an easy way to provide quotes, but its only effective so long as the prices you are quoting are still competitive in your area. So, Strategy Two must be used in conjunction with Strategy One. Also, it should be pointed out that you should be sure to factor your expenses into your target income goal. Even if I am earning $60 per hour, Im going to have to subtract my expenses from that income. Strategy Three: Survey Your Target Market Similar to Strategy One, Strategy Three involves actually asking prospective clients what they are paying, what they are willing to pay, and, essentially, how much your services are worth to them. Now, rather than simply asking them How much do you want to pay me? which is not likely to provide you with useful information, you can instead ask questions to ascertain the amount of convenience that you will be providing to them. Simply put, you can ask them how many employees they have, who generally makes the deliveries, where the deliveries are going, what time of day their deliveries go, etc. Gathering this type of information should give you clues to how much you can charge.
