CHAPTER I Introduction

The world has changed largely because of science and technology. It brought us modern and high-tech devices that in the past seemed to be impossible to attain. Undeniably, through mans intelligence we have reach a modern world where technology reigns and everything seems to be possible. It proves that mans aptitude is vast and powerful, that even the most mind blogging problem could be solved and even the minutes of details could be discovered. It provided man much convenience and luxury in life. In our modern world, gone are the days where we have to commute and do the exhausting routines. With the progress the world has made with the internet, where with just one click youll have what you want while sitting at the comfort of your own home, cellular phones, which made the communication easier for people on the go, and most especially computers where in all means of operation allow users to create different applications, designs, layouts, etc.

Communication technologies including email, SMS, instant messaging, and blog are rapidly becoming inescapable tools for e-business success in a digital era. Electronic mail and Short Message Service are important tools that have been long employed to improve organizational performance and support marketing activities in a business sector. In today's world, most people communicate through the use of cellular or mobile phones. It's hard to believe that fifteen years ago cell phones were a rarity.

SMS (Short Message Service) is a service for sending messages of up to 160 characters (224 characters if using a 5-bit mode) to mobile phones that use Global System for Mobile (GSM) communication. GSM and SMS service is primarily available in Europe, U.S and Asia. SMS is similar to paging. However, SMS messages do not require the mobile phone to be active and within range and will be held for a number of days until the phone is active and within range.

The system that will be introduced is about the Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service).

Background of the Study: Since the text based technology is one of the popular ways to access information, it provides the opportunity to save time in acquiring grades, and in addition it improves the way of communication. It also helps the students access the information in anytime-anywhere basis at their own convenient time.

The proposed system is offering the SMS service which can be used by all mobile phones. The user only sends the SMS to the system and the system will reply the answer back to the user as an SMS also.

(Previous system of the registrar in terms of releasing the grades)

These are the reasons why the proponents conducted a study, entitled, Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service), in LPC. This

chapter consists of the following: Background of the Study, I.T Innovations, Rationale, Objectives of the Study, Hypothesis, Scope and Delimitation, Significance of the Study and Definition of Terms.

I.T Innovation:

Technology innovation plays an important part in strengthening the ties between science and
production, and it presupposes the active application of all theoretical and practical knowledge developed in any given field and in all related fields. Innovation provides the material from which new theoretical knowledge is worked out and promotes the development of science, technology, and production.

Cell phones are a hidden indicator of emerging market performance. They open new markets by reducing distances and by increasing access to information. This in turn stimulates efficiencies in productivity and amplifies commerce which improves local economies. Increased wealth creates independence and leads to a more educated population which in turn, drives market-driven policy making and other reforms.

SMS or Short Messaging Service innovations have made possible for the operations of the computer easy enough in processing record systems such as, creation of data records, storing, filing and retrieval of data.

As might be expected, the proposed system is more suitable in all aspects. Visual Basic

6.0 of Microsoft Studio 6, Macromedia Flash 8 and Microsoft Access are the programs that were used to develop the systems software and a hardware device the biometric fingerprint scanner for more efficient work. The used of the proposed system cannot only speed up tasks but also make transactions faster, effective and much secure.

RATIONALE:

The primary goal why the proponents are greatly motivated to pursue this study using Visual Basic 6.0 and Microsoft Access is to computerize the old system of the Limay Polytechnic College registrar in terms of inquiring of grades and also to broaden and impart the proponents knowledge in database management and to apply the things they have learned in computer science education.

The developers intended to conduct the study for the proposed system Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service) in order to speed up the inquiring of grades. For this will serve as a great help and assistance for the needs of students in terms of fastest searching, and delivering summary of grades of their grades. By the use of mobile phones and modems, the proposed system is possible to provide clear description of the concepts that underlie the transactions made, designed and constructed to meet the users satisfaction and can be easily determined all the necessary information of a certain transactions. The proposed Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service) through Short Messaging Service provides efficient and accurate

grade reports. On the other hand, it intends to perform the following operations; study and develop the manual operation of the office of the registrar; find out what are the circumstances causes the delay of releasing of grades; and minimize the time consumed in searching for the grades of the students in the filing cabinets.

STATEMENT OF THE PROBLEM

Systems cannot consider as fully free from errors. One of the responsibilities of the registrars office is to keep the students grades data secured for their academic records and purposes.

General Problem:

There is always a delay in releasing the results of grades and usually there are some errors find in the given results.

Specific Problem:

When the students ask for their grades in the specific subject, the registrar couldnt automatically give the results of the grades because theyre going to search it first in their records and if they cant find it in their database, they will look on the files on their cabinets that causes the delay of presenting the asked grades.

General Objective:

The proposed system aims to computerize the old system of the registrar of Limay Polytechnic College that will make the inquiry process of grades fastest and accurate.

Specific Objective:

Study and develop the manual operation of the office of the registrar. Find out what are the circumstances causes the delay of releasing of grades; and Minimize the time consumed in searching for the grades of the students in the filing cabinets.

HYPOTHESIS OF THE STUDY The proposed system entitled Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service) aims to computerize the current system of the registrar in terms of inquiring/releasing of grades and to minimize the time consumed in getting the results of the asked grades. Through this, the proponent comes up with this hypothesis:

1. That the problem with regards to the process of inquiry of grades in the current system of the registrar can be eliminated when the system will be computerized and also with the use of mobile phones and modem. It is because SMS technology is a powerful, flexible application that enables the user to send/receive SMS messages to mobile devices with

their computer. And with that, the inquiry process of grades will not consume days or weeks before the students get the results.

SIGNIFICANCE OF THE STUDY

EDUCATIONAL SIGNIFICANCE SMS is a communication service using standardized communication protocols allowing interchange of short text messages between the computer and mobiles phones devices. This study gives knowledge to the proponents when it comes to the importance of SMS technology in todays IT innovation. This will also serves as a future reference for the students who will conduct future studies with related topics. TECHNOLOGICAL SIGNIFICANCE The system entitled Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service) will be a great help for the inquiry process of grades in the Registrar Office of Limay Polytechnic College. The inquiry process of grades will become faster, more accurate and advance compare to the existing system. SOCIAL SIGNIFICANCE Society itself can interrelate with the system for helping them to understand and analyze some problems and help them to lessen the process or task. This system makes the inquiry process of grades more accurate, faster and secured.

DEFINITION OF TERMS To be able to understand the study well, following terms that have a special or unique meaning are define operational and as brief, clear and equivocal as possible.

1. SMS Allow the exchange of short text messages between fixed line or mobile phone devices.

2. Data is a representation of facts, concepts or instructions in formalized suitable for communication, interpretation or process by human. 3. Database

collection of data that provides information.

4. Objective 5. System is a regular interacting or independent group of elements forming a unified whole. 6. Software it is the intermediary between the computer user and hardware. Is a good toward which efforts is directed.

CHAPTER TWO
REVIEW OF RELATED LITERATURE AND STUDIES

This chapter imparts of some of the related literature that had made an influence to the study itself as well as in determining requirements in developing the proposed system. They cleaned some of the assumption generated in the minds of the proponents. Also, through this related literature, it supports the proponents and contributed knowledge to them to produce such diverse and significant study.

FOREIGN LITERATURE

SMS is widely used in the medical field since it is not only instantaneous, accessible and mobile, but also cost effective. Computer and online access is not needed, and given that physicians have to make rapid decisions. SMS provide the brevity and immediacy they need. Urgent medical advice could now then be sought.(A.M. Dykimching, 2000)

SMS has many uses not only in schools but also in medical fields. Its importance nowadays is highly appreciated since they are used as a mean of communication without the use of other devices and also a cost effective one since Telecompany give out affordable cards for use in text messaging.

As a direct marketing tool, electronic Short Message Services (SMS) is likely to surpass internet-based advertising before the end of 2006. Younger consumers higher in social class are

the most willing to accept SMS direct advertising text and respond favorably to SMS-TV integrated marketing communications. (Trappey III & Woodside, 2005)

Teenagers are the ones who use SMS frequently, almost time to time. Since text messaging becomes famous, it happened that this is the most convenient way of communicating to each other.

Although more advance technologies, such as GPRS, allow faster data transmission, it is not always reliable in developing countries, where SMS is predominantly used. It is therefore important to look into the feasibility of using SMS in transporting different types of data. Its nationwide coverage, affordability, security, and compatibility of with future technology upgrades, are some of the many factors why GSM-SMS network has been deemed ideal for information transmission. (J.A.A Lee 2000)

In developing country, they use GSM-SMS network because it is more reliable in terms of data transmission. Nowadays, this kind of network has dominated many countries because of its handiness and most of all, it is ideal in transferring and inquiring information.

LOCAL LITERATURE The advent of text messaging made possible new forms of interaction that were not possible before. A person may now carry out a conversation with another user without the constraint of being expected to reply within a short amount of time and without needing to set

time aside to engage in conversation. Mobile phone users can maintain communication during situations in which a voice call is impractical, impossible, or unacceptable. Texting has provided a venue for participatory culture, allowing viewers to vote in online and TV polls, as well as receive information on the move. Texting can also bring people together and create a sense of community through "Smart Mobs" or "Net War", which create "people power". (PC Magazine, August 2000)

Through the use of SMS we can communicate to other people at no time and anywhere around the globe. As we all know that people just love to say what they think and texting is a means that we can participate in online and TV polls.

Texting has also been linked as a secondary source in numerous traffic collisions, in which police investigations of mobile phone records have found that many drivers have lost control of their cars while attempting to send or retrieve a text message. Increasing cases of Internet addiction are now also being linked to text messaging, as mobile phones are now more likely to have e-mail and Web capabilities to complement the ability to text.

Because mobile phones is widely use, most of the mobile company enhance it where you can surf the internet. That is why we cant stop using it, and it caused a lot of accident because of the irresponsible user.

FOREIGN STUDIES - Davis (1989) uses Technology Acceptance Model (TAM) measure perceived usefulness, perceived ease of use and user acceptance of information technology. Davis et al (1989) compared Theory of Reasoned (TRA) and TAM in terms of user acceptance of computer technology. Both of the studies were conducted in an organizational context. - Nevertheless, Yan et al. (2006) used TAM to measure user acceptance of short message service (SMS) in Hong Kong and China and recommended that in order to formulate a successful business strategy for a specific service in a specific market, a mobile operator has to conduct a comprehensive study and identify the key external factors that will affect the perceived usefulness, perceived ease of use, and subjective norms towards acceptance of that particular service in a specific market. - Baron et al. (2006) indicated the need of further research into the importance of text messaging as a social and cultural practice in everyday lives, with emphases on addictive behaviors, learning and the development of repertoires of communication skills by increasingly sophisticated consumers, and feelings of exclusion by non-participants through qualitative research approach that reflect upon consumer text message (short message service SMS) behavior. - Nysveen et al. (2005) combine various theoretical fields (Information system research, Uses and gratification research; and Domestication research) and indicated that marketing managers should be aware of motivational variables, such as perceived expressiveness, perceived enjoyment, perceived usefulness, and perceived ease of use, in addition to consumers attitude toward use , normative pressure, and behavioral control for future research.

LOCAL STUDIES

SMS or short message service is extensively used in the commercial environment. With its applications varying from financial services such as credit cards debits and account payment notification to advertising. Similarly, municipal governments could create a menu of e-services that citizens will value. This becomes a double proposition with advances in mobile internet technology.

CHAPTER THREE
METHODOLOGY AND SOFTWARE/SYSTEM DESIGN

This chapter discusses the research locale, research design, population sampling or respondents of the study, research instrument, the statistical treatment of the data and the conceptual/theoretical framework of the study.

RESEARCH LOCALE The place or setting of the study was conducted in Limay Polytechnic College and in the Bataan Library. And the data and information was also taken from the said settings.

RESEARCH DESIGN The research mode for the study is true experimental and descriptive or survey research. It is because the proposed system is the product of experimental study of how the existing system can improve by using a mobile phone and a modem. It is also a descriptive or survey research based on the datas and information that was gathered through surveys and interviews.

POPULATION SAMPLING OR RESPONDENTS OF THE STUDY The respondents involved in the study being conducted are the students of Limay Polytechnic College and the person involve in the releasing of grades in the registrars office. They are the ones who extended their considerate response to answer the informal interviews and questionnaires concerning the study. They were the persons who provided the necessary

information for the study to be able to generate appropriate output. (See result of questionnaires, Appendix C.)

RESEARCH INSTRUMENT The proponents used techniques in gathering sufficient information that are presented in this part of the chapter. This includes the observation, interview, questionnaires and surveys. Observation - Direct observation of work performance is an excellent means of gathering data. Observations are usually done in conjunction with another data gathering method that is used to fill in the gaps and answer questions. This technique provides information on how a phenomena occurs. It is a process of investigating the available facts and data pertaining to main and related topics. This also conveys observing the past and future development of computer technology. Interviews Interviews are conducted one-on-one or with a small group (the smaller the better so that everyone has a chance to contribute fully). Interviews can be used throughout the data gathering process, but they are perhaps most useful during the performance analysis stage, when you are trying to determine what the real performance deficiency is. Although the process is time-consuming, it is useful because you can gather specific information and ask follow-up questions to get more detail on items of particular interest.

Through this technique the proponents can have a personal interview with the future beneficiaries and users of the proposed system. And discuss with them the benefits that they could get from our system. (See Appendix A)

Questionnaires This tool refers to the printed-paper, which will be distributed to collect essential information needed to test the functionality of the system. (See Appendix B)

Surveys This is a type of data gathering instrument wherein one who also answer a rate the new system and old process based on the criteria given.

Moreover, analytical tools used are the following:

1. DFD (Data Flow Diagram). 2. VTOC (Visual Table of Contents) 3. IPO (Input Process Output) 4. Program Flow Chart

ANALYTIC TOOLS DATA FLOW DIAGRAM (DFD)

is a graphical representation of the "flow" of data through an information system. DFDs can also be used for the visualization of data processing (structured design).

A DFD provides no information about the timing or ordering of processes, or about whether processes will operate in sequence or in parallel. It is therefore quite different from a flowchart, which shows the flow of control through an algorithm, allowing a reader to determine what operations will be performed, in what order, and under what circumstances, but not what kinds of data will be input to and output from the system, nor where the data will come from and go to, nor where the data will be stored (all of which are shown on a DFD).(See Appendix F)

VISUAL TABLE OF CONTENTS (VTOC) This represents an illustration of the hierarchical process of the system. The chart shows the hierarchy in which its levels of detail increase from top of the chart to bottom. This is the tool being used in the presentation of visual table of contents of the program, which illustrates the hierarchical process in the level of detail, increases from to bottom, moving from general to specific. (See Appendix G.)

INPUT PROCESS OUTPUT (IPO) IPO (Input-Process-Output) is one of the most fundamental design patterns. And it makes perfect sense because it determines input and of what process are involved in the proposed system. (See Appendix G) PROGRAM FLOW CHART A flowchart is a type of diagram that represents an algorithm or process, showing the steps as boxes of various kinds, and their order by connecting these with arrows. This diagrammatic representation can give a step-by-step solution to a given problem. Process operations are represented in these boxes, and arrows connecting them represent flow of control. Data flows are not typically represented in a flowchart, in contrast with data flow diagrams; rather, they are implied by the sequencing of operations. Flowcharts are used in analyzing, designing, documenting or managing a process or program in various fields.(See Appendix H)

STATISTICAL TREATMENT OF DATA The proponents used the following methods in order to establish the solution to the objectives that this study wants to achieve.

Technical Feasibility In this method the assessment is based on an outline design of system requirements in terms of Input, Processes, Output, Fields, Programs, and Procedures. This can be quantified in terms of volumes of data, trends, frequency of updating, etc. in order to estimate whether the new

system will perform adequately or not this means that feasibility is the study of the based in outline.

Operational Feasibility This method measure of how well a proposed system solves the problems, and takes advantages of the opportunities identified during scope definition and how it satisfies the requirements identified in the requirements analysis phase of system development. And considerations of others opinions towards the proposed system are conveying in this method.

The proponents use the following criteria to evaluate the performance of the system.

Efficiency - The system must perform its intended function. Security - The capability of the system to secure itself includes all the confidential information. User Friendliness- Users can easily adopt .use the system. Content - The overall service that the system provides. Accuracy- Of how the system can give the accurate result.

Sampling techniques and Statistical Tools will be applied to test the operational feasibility of the proposed system.

The proponents will use the following formulas based on the evaluation sheet.

1. Mean (M)

= f(X1, X2.Xn) N

Where: f= refers to the frequency or the nos. of times that the given number(X) was chosen by the respondents. X1,X2,.Xn- represents only numerical ratings 1, 2, 3, 4 and 5 representing the evaluators rating for a given criterion. n= refers to the total no. of respondents

2. Weighted Mean (WM) = f(X1,X2,Xn) n Where: f(X1,X2,Xn) represents the sum of all means (M) of each criterion n- Refers to the total no. of criterion for evaluation.

3. T Test = _____X1 X2______ [SS1 + SS2] [ 1+1] [n1 + n2] [n1 n2] Where: T = refers to the t-computed value of the given numbers. X1 = refers to the mean of sample 1 X2 = refers to the mean of sample 2 SS1 = refers to the sum of squares of the first group. SS2 = refers to the sum of squares of the second group. n1 = size of sample 1 n2 = size of sample2 (See Appendix E)

CONCEPTUAL/ THEORETICAL FRAMEWORK OF THE STUDY

1.

CONCEPTUAL FRAMEWORK OF THE STUDY

A. Conceptual Framework of the Existing System (FIGURE 1.0)

The students fill up a form for inquiring grades.

The registrar or the clerk will look for the grades of the students on their records.

Student will get the results after a week.

B. Conceptual Framework of the Proposed System (FIGURE 2.0)

Student will just type their ID number, password, and the subject then send to the mobile number provided by the registrar.

System will process the request and will reply to the students mobile phone with the accurate information.

Student will receive the requested grade automatically.

CONCEPTUAL FRAMEWORK OF THE STUDY The figure 1.0 and Figure 2.0 further demonstrates the difference between the existing manual system of Registrar office against the proposed system Academic Inquiry of Grades in Limay Polytechnic College through SMS (Short Messaging Service). It shows that with the

implementation of the new system, information and the process of grades will be more secured, faster and advance compare to the existing manual system. THEORETICAL FRAMEWORK

The theoretical framework consists of theories, principles, generalizations and research findings which are closely related to the present study under investigation.

Text messages are short written messages that can be sent between electronic equipment such as cell phones and web sites. Also known as SMS (short message service), text messages are a common and quick form of communication and is the most widely used data application in the world. 74% of cell phone owners engage in text messaging. Whilst originally, an SMS referred to only text, they can now include video, photo and audio files. The keys on a cell phone are used to type messages using the letters of the alphabet.

The concept of being able to send and receive text messages via a cell phone was first thought of in the 1980s. Various companies played around with the idea, but the SMS concept was developed in the Franco-German GSM cooperation in 1984 by Friedhelm Hillebrand and Bernard Ghillebaert. They came up with a way to transmit short (128 byte) text messages using the existing cell phone signaling format. New programming was included into cell towers to allow for this new service when it began to be used. The main GSM group approved the use of SMS in 1985 and began to work towards this service being available to all cell phone users. Different sections of the GSM group worked on different aspects of SMS such as the specifications, implementations and integration protocols.

Not only has text messaging had an impact in schools, but also on police forces around the world. A British company developed, in June 2003, a program called Fortress SMS for Symbian phones. This program used 128 bit AES encryption to protect SMS messages. Police have also retrieved deleted messages to incriminate cult member Sara Svensson after confessing to murdering the wife of Pastor Helge Fossmo and having shot his lover's husband Daniel Linde in Knutby, Sweden. They traced the messages, because she said she had acted anonymously on text forwards received in her phone. Police in Tilburg, Netherlands, started an SMS alert program, in which they would send a message to ask citizens to be vigilant when a burglar was on the loose or a child was missing in their neighborhood. Several thieves have been caught and children found using the SMS Alerts. The service has been expanding rapidly to other cities. A MalaysianAustralian company has released its Crypto for Criminals multi-layer SMS security program. Boston police are now turning to text messaging to help stop crime. The Boston Police Department has established a program in which one can text in a crime tip anonymously to help stop crimes. A Malaysian court had ruled that it is legal to divorce through the use of text messaging, as long as one is clear and unequivocal.

Customer loyalty and retention are central for increasing business revenue. Studies have shown that by increasing customer retention, a companys profits can grow dramatically. A study

by the global business consulting firm, Baines and Company concluded A 5% increase in customer retention can increase a companys profitability by 75%.

One way companies can encourage customer loyalty and retention is by using Business SMS to communicate with them. Businesses are realizing SMS is the ideal to communicate with customers as its immediate, discreet, has high readership (over 98%), is cheaper than the phone and direct mail, and it encourages an immediate response. Moreover, the mobile phone is one of the best devices for contacting with people, as they tend to have it with them at all times.

A few competitions have been held between expert Morse code operators and expert SMS users. Several mobile phones have Morse code ring tones and alert messages. For example, many Nokia mobile phones have an option to beep "S M S" in Morse code when it receives a short message. Some of these phones could also play the Nokia slogan "Connecting people" in Morse code as a message tone. There are third-party applications available for some mobile phones that allow Morse input for short messages.

As wireless communication technologies increased in the late 1980s, the Pager service providers created a subscription service offered in a variety of plans and options to meet the needs of a subscriber and the type of device used. In general, all pagers are given unique telephone numbers so that callers could dial in and send a numeric message, such as their callback number or a numerically coded special message, such as room numbers to report to, etc. However, alphanumeric pagers could only receive text messages when the message sender had installed software on their PC to dial in to the publicly-accessible modems operated by the

paging service provider to then transmit their message over-the-air through the network of radio towers.

Text messaging has had a major impact on the political world. American campaigns find that text messaging is a much easier, cheaper way of getting to the voters than the door-to-door approach. Mexico's president-elect Felipe Caldern launched millions of text messages in the days immediately preceding his narrow win over Andres Manuel Lopez Obradr. In January 2001, Joseph Estrada was forced to resign from the post of president of the Philippines. The popular campaign against him was widely reported to have been co-ordinate with SMS chain letters. A massive texting campaign was credited with boosting youth turnout in Spain's 2004 parliamentary elections. In 2008, Detroit Mayor Kwame Kilpatrick and his Chief of Staff at the time became entangled in a sex scandal stemming from the exchange of over 14,000 text messages that eventually led to his forced resignation, conviction of perjury, and other charges.

Text messaging has been used to turn down other political leaders. During the 2004 U.S. Democratic and Republican National Conventions, protesters used an SMS-based organizing tool called TXTmob to get to opponents. In the last day before the 2004 presidential elections in Romania, a message against Adrian Nstase was largely circulated, thus breaking the laws that prohibited campaigning that day. Text messaging has helped politics by promoting campaigns. Furthermore, on January 20, 2001, President Joseph Estrada of the Philippines became the first head of state in history to lose power to a smart mob. More than one million Manila residents assembled at the site of the 1986 People Power peaceful demonstrations that has

toppled the Marcos regime. These people have organized themselves and coordinated their actions through text messaging. They were able to bring down a government without having to use any weapons or violence. Through text messaging, their plans and ideas were communicated to others and successfully implemented. Also, this move encouraged the military to withdraw their support from the regime, and as a result, the Estrada government fell. People were able to converge and unite with the use of their cell phones. "The rapid assembly of the anti-Estrada crowd was a hallmark of early smart mob technology, and the millions of text messages exchanged by the demonstrators in 2001 was, by all accounts, a key to the crowds esprit de corps."

CHAPTER FOUR PRESENTATION OF THE DATA, THE SOFTWARE PRODUCT, ANALYSIS AND INTERPRETATION This chapter reviews the analysis of the existing system, the need to develop the proposed system, components of the proposed system. The system and the software development, evaluation and implementation of the proposed system.

THE EXISTING SYSTEM SOFTWARE The existing system is the manual inquiry of grades wherein there is a need to create new system that will lessen the consumed time in inquiring of grades.

THE NEED TO DEVELOP THE PROPOSED SYSTEM The proponents need to develop a system that will fasten the process on inquiring of grades in the registrars office.

THE PROSPECTIVE USERS The prospective users of this system are the students of Limay Polytechnic College whom will be using a mobile phone to inquire their academic grades.

THE COMPONENTS OF THE PROPOSED SYSTEM The general and presentation of the system, its function inputs and outputs will be discussed in this part.

General Function The proposed system was designed in order to make the process of academic inquiry of grades faster and efficient through the use of mobile phone.

Security The proponents intended to use the mobile phone so that the students will have a secure access on their grades through SMS. And also, the security password will be the privileged for the authorized student to access their grades.

User Friendliness This system will allow the users to feel more comfortable, because most of people use their phones to text others, so theyll know how to use the system. They just need to text or send SMS to access their grades, even if theyre not in the vicinity of the school.

Back-up Facilities It is inevitable that the data would accidentally be lost due to hardware failure so there are no assurances in the safety of the files. To ensure that if the software fails to run, theres always a safety back up that will compact disk and hardcopy containing the whole system.

System Function Through the use of the proposed system, it can make the existing system free from errors and more secured in accessing the academic grades.

System Inputs and Outputs The system input and outputs can be explained using the input-process output, visual table of contents and program flow chart, which will present the outlook of the proposed system.

SYSTEM AND SOFTWARE DEVELOPMENT In order for the proposed system to be useful, the following specification must be accomplished.

Specification At a time of the development of the proposed system, the proponents need suitable software and hardware in designing and making a feasible system is the Visual Basic 6.0. And the mobile phone device for accessing their grades.

Design The proponents developed the system using the Visual Basic 6.0, which shows the necessary information regarding the system.

Programming The programming was set in the computer to give a solution in the problem of existing system. The system was programmed through the use of Microsoft Visual Basic 6.0, the coding part of where the entire design was translated into a programming language to meet the demands that will switch over the executable system.

Testing The proponents conducted a test with the system to check if there are any reasonable data errors.

Security Back-up It is inevitable that the data would accidentally be lost due to hardware failure so there is no assurance in the safety of the files. That is one reason why the proponents always back up the software program of file or make a software installer through installation disk as to have an installer once and hardware fails to work. Back-up facilities will include compact disc, flash drives and hardcopy accommodating the whole system and program code. Hardware Specification The proponents used a computer hardware that is enough to meet the condition of the proposed system. Microsoft Windows XP Professional Intel Pentium 4 512 of RAM *Note that this is the minimum requirements for the system to run. Microsoft Windows XP Professional and higher version of Operating System AMD Athlon X64, Intel Dual Core and above 1GB of RAM *The requirements for the system to run effectively.

Hardware Device Smart Bro (internet stick)

EVALUATION OF THE PROPOSED SYSTEM The proposed system should be evaluated to prove its feasibility for implementation. The evaluation of this will focus on its technical feasibility (can it be built) and operational feasibility (can it be implemented).

Technical Feasibility The proponents can say that the proposed system does not need very complex hardware specification. The system only demands typical computer that will meet its hardware specification. And also the skills needed to operate the system are easy to learn. Since the hardware and software requirements need to develop and operate the proposed system can be obtain, the proposed system is said to be technically feasible.

Operational Feasibility The operational feasibility comprises projecting whether the system will operate and be use once installed. With surveys and written interview conducted with the students of Limay Polytechnic College and the Registrar, the proposed system was designed to satisfy the express needs of the prospective.

IMPLEMENTATION OF THE PROPOSED SYSTEM The software was designed to know how each module of the system works, it was made through coding. The proponents assured that the system will run normally and free from errors.

CHAPTER SIX SUMMARY, CONCLUSION AND RECOMMENDATION In this chapter, the proponents will discuss the summary of previous chapters that was instrumental in order to develop the proposed system completely. Based on the findings and concrete facts, the proponents have concluded that the proposed system will help the prospective users in the process of inquiry of grades. SUMMARY The main goal of this study is to improve the manual system of inquiry of grades in the registrars office. And provides a solution to the problems that was arises during inquiry process. In order to do so, the proponents needed to follow the following objectives as their guide. First was to analyze and describe the process of the manual inquiry of grades, second, was to point out problems encountered during the inquiry, and third was to develop a system that will solve the problems of the manual system. There are methods of research that were used by the proponents in this study. The research locale, wherein it provides the proponents a great help concerning the needed information about the study. The research design, wherein the proponents used their own way of interpreting and analyzing gathered data. Also the proponents used several research instruments such as observations, interviews and questionnaires. And the use of statistical treatment data, wherein the performance of the system is determined based on the criteria used in evaluating the system, namely efficiency, user friendliness, content, accuracy and security.

CONCLUSION The proposed system is the ACADEMIC INQUIRY OF GRADES IN LIMAY POLYTECHNIC COLLEGE THROUGH SMS. Based on the study conducted the proponents found out that the proposed system for the registrar office provide credible solution to solve the problems that being encountered in the manual system. And by using the SMS to inquire for the Academic grades the result would be faster and convenient or hassle free for the students of Limay Polytechnic College, because they can inquire their grades even if theyre not in the vicinity of the school. RECOMMENDATION The proponents would like to suggest a positive response to implement the proposed system, the ACADEMIC INQUIRY OF GRADES IN LIMAY POLYTECHNIC COLLEGE THROUGH SMS. The main goal objective of the said system is to make the inquiry of grades a convenient or hassle free for the students. The system is feasible in terms of technical, economical, time and operational feasibility studies.
