Automated Employee Performance evaluation and management

Background and Motivation


In most of the organizations the annual review process is normally kicked off in the last month of the year, causing a last minute panic all across the organization and creating a hassle for the HR dept/team. Due to the last minute action many errors are caused in many areas of the process, causing a massive setback to the over motivation level of the workforce. Some common mistakes are: 1. Normally employees are evaluated on the basis of last quarter rather than the year. 2. Employees are evaluated and reviewed but most of the organizations do not have a process to review the managers/supervisors. 3. Managers/Supervisors for the review are picked on wish list rather than the actual reporting line. 4. The performance at the beginning of the year is omitted purposefully or felt to be irrelevant. 5. Employees/Managees do not have a real-time feedback for their performance, and everything is learnt at the end of the year.

Objective
To Design and implement an online and automated system to gather, accumulate and prepare Employee performance feedback. To overcome these issues with the Annual Performance Review Process we will be designing a system that helps the organization in carrying out a transparent and robust Review process, keeping the employee motivation level at optimum and reducing the HR teams overhead.

Scope
A Web based application would be produced with limited, and managed, access to all the employees within the organization Following are features and characteristics that the system is expected to display: 1. Online The system would be accessible to all the employees of the organization via intranet at all times for easy access and reviews. 2. Interoperable The system would be Interoperable and integrated with other systems and process of the organization like emails, payroll and attendance systems. 3. Automated The system would be automated to carry out all the tasks related to the Review process independently with minimum supervision. 4. Transparent All the employees would be able to see and provide feedback to their individual reviews, along with automatically consolidated reviews. This feature might not be desirable by all types of organizations and departments so there will be a provision made to keep this feature configurable. 5. 360 Degree All the Managers/Supervisors would be reviewed by their Managees/Team Members to evaluate them as Managers/Supervisors. This feature might not be desirable by all types of organizations and departments so there will be a provision made to keep this feature configurable. 6. Frequent The system would prompt the Managers/Supervisors to provide feedback of all the Managees every month/quarter rather than waiting for the end of the year. 7. Configurable features All the features would be configurable. 8. Nomination of Supervisor/Managers/Managees/Peers All the Employees would be able to nominate their Managers/Supervisors and Managees/Team Members. All these nominations would be reviewed and assigned by the administrator. 9. Real-time All the Employees would be able to view their performance feedbacks and review as soon as they are finalized after every interim review cycle (monthly or quarterly).

Deliverables
The scope of this project is to produce a SRS (Software Requirement Specification) for the above defined Software. The list of the accompanied deliverables is as follows.
