Elementary Transfer Data to Middle Schools: The Office of Data & Accountability will automatically transfer student data from the elementary schools (grades 5/6) to the receiving resident middle schools. The data for matriculating students must be entered into SIS at the elementary school for the electronic transfers on: May 4, 2012 Please review REF-3490.7 (dated February 13, 2012) for specific directions and assistance. Reminder: first day of school on the early start calendar is tentatively scheduled on August 14, 2012. Spring Master Plan Program Differentials: LAUSD and the UTLA Collective Bargaining Agreement provides for differential payments to qualified employees assigned in Waiver to Basic or Dual Language Programs for English Learners. Equipment and inventories are subject to review and examination at any time by Auditors. For specific guidelines, please review BUL-3508.3 (dated March 8, 2011). The following two documents are due to Federal and State Education Programs by June 15, 2012 (new date not reflected in the bulletin): 1. Principal Letter of Certification (original) if school did not purchase any equipment in the current school year (Attachment D/BUL-3508.3) -or- Equipment Inventory for newly purchased equipment (Attachment B/BUL-3508.3) -and2. Categorical Equipment Inventory Physical Check (Attachment E/BUL-3508.3) If the physical check was conducted during the 2010 - 2011 school year and the school submitted the Categorical Equipment Inventory Physical Check (BUL 3508.3, Attachment E) for that fiscal year, a physical check is not required until the 2012 - 2013 school year. Schools that did not complete the document for the 2010 - 2011 school year must conduct the physical check and submit no later than Friday, June 15, 2012, to Federal and State Education Programs, Beaudry Building, 16th Floor or an electronic copy to FSEP@lausd.net. Documentation for Employees Paid from Federal and State Categorical Programs: Federal and State regulations require documentation for all employees who receive compensation from federal or state categorical program funds. This documentation should be retained by the time-reporter at the site along with other payroll time-reporting documentation for a period of five years. At the end of May or beginning of June, the Accounting and Disbursements Division will provide each Principal with a listing of their employees who must complete the required documentation. By the end of the school year, the documentation must be collected at the school site and kept on file. For guidelines, resources and assistance, please review BUL-2643.5 (dated June 17, 2010). The Administrator Assurances form (Attachment I/BUL-2643.5) is due to the Educational Service Center by July 31, 2012.
