SPRING CONVOCATION2012

Dear Graduand: This document provides important details regarding this year=s Spring Convocation. Two Convocation ceremonies will be held on Monday, May 14th, 2012. We are pleased to be celebrating the completion of your degree and look forward to your involvement in this important event in the life of the University. Details as to which of the two ceremonies you will attend, how you will obtain gowns and hoods, and other logistics are covered below.

Outline of Ceremonies and Events:


1. The Baccalaureate Service of worship for graduands and their families will be held on Sunday, May 13th, 7:30p.m. in Convocation Hall. (Further details below.) Convocation (graduation) ceremonies will take place on Monday, May 14th. (Further details below.) Students receiving the M.Sc., B.Sc., and B.Comm. degrees will graduate in the morning Convocation which begins at 9:30 a.m. Students receiving Honours Certificates for the B.Sc. degree and/or Certificates of Bilingualism with the B.Sc. and B.Comm. degrees will receive these at the morning Convocation also. Students receiving the B.A., B.Mus. and B.F.A. degrees will graduate in the afternoon Convocation which begins at 2:30 p.m. Students receiving Honours Certificates for the B.A. degree and/or Certificates of Bilingualism with the B.A., B.Mus. and B.F.A. degrees will receive these at the afternoon Convocation.

Please note that students who wish to attend the Aother@ ceremony to participate in the graduation of their friends and colleagues will need to obtain a ticket for admission. It will be necessary to acquire a ticket from a fellow student who is graduating at the other ceremony. 3. Immediately following each Convocation ceremony, there will be a reception for graduates and their families in Gracies (Caf) and adjacent area of the Wallace McCain Student Centre (lower level). Please enter the reception area from either the south (football field) side of the building or from the main entrance on York Street. Please wear your gown, hood and cap to this reception so we can join in celebrating the success of Mount Allisons newest graduates!

Academic regalia and order of ceremonies


1. Caps and gowns are required for the Baccalaureate Service, and caps, gowns and hoods are required for Convocation. These will be available for rent in Room 130, Bermuda Wing, main floor of the Wallace McCain Student Centre. In order to avoid a rush, graduates are urged to collect these items as early as possible. Hours for rental will be Friday, May 11th from 9:00 a.m. to 4:00 p.m., Saturday, May 12th and Sunday, May 13th from 12 noon to 4:00 p.m. On Monday, May 14th, last minute rentals for graduates arriving late Sunday or early Monday morning will be available at 8:00 a.m. The cost of rental will be $40.00 for the weekend - $20.00 will be refunded when gowns are returned. All items should be returned to the gown return in Room 130 in the Wallace McCain Student Centre as soon as possible after Convocation. Returns will be taken until 6:00 p.m. on Convocation Day. Thereafter returns must be made to the Bookstore location. Inquiries concerning the above items should be directed to Ms. Judith VanRooyen (364-2437).

Baccalaureate Service: you are requested to assemble with cap and gown (no hoods needed) in the basement of Convocation Hall at 7:00 p.m. on Sunday, May 13th in order to form the procession for this service of worship. Parade marshals will organize the procession. Please enter Convocation Hall by the side door (ASwan Pond@ side) from the parking lot; move to backstage, then downstairs to the basement. Please be on time! Parents and guests should be in the Hall by 7:15 p.m. The service will begin at 7:30p.m. and conclude by 8:30p.m. Convocation: The Graduands= section of the Convocation procession will form up at the Athletic Centre at 8:30 a.m. and 1:30 p.m. respectively, depending on the degree you are receiving. You are again requested to be on time and to be in academic dress of cap and gown. Hoods must be folded and carried by each graduating student. October Grads are to wear their hood since their degrees have already been conferred. The Secretary of the Senate and the Parade Marshals will be on hand to organize the procession. The ordering of graduates for the procession is crucial (please refer to the Guide to Convocation at http://www.mta.ca/administration/sas/mydegree.htm#grad) and your punctuality and attention will be necessary. Upon arriving at the Athletic Centre please pick up a program with the list of graduates so that you can anticipate your place in the double line which will be organized in the Gymnasium. In the event of inclement weather, the organization of the procession will take place in the basement of Convocation Hall--please enter by the side door from the parking lot and descend to the basement, if this is the case.

Tickets, Accommodation and other details


1. Convocation Tickets: No reserved seating is arranged for the Baccalaureate Service. Admission to Convocation is by ticket only. Each student will have four reserved tickets for their Convocation ceremony that will be available with gown rental. Additional tickets may be requested, on a first-come first served basis by completing the Extra Convocation Tickets Request form at http://www.mta.ca/administration/sas/mydegree.htm#grad You should inform your guests that you cannot expect to acquire unlimited numbers of tickets. Any enquiries about further ticket availability should be directed by email to graduation@mta.ca or by phone to 364-2269 after April 24th. Convocation Tickets must be picked up at the Gown Room, Room 130, Bermuda Wing, on the main level of the Wallace McCain Student Centre between Friday, May 11th from 9:00 a.m. to 4:00 p.m., Saturday, May 12th and Sunday, May 13th from 12 noon to 4:00 p.m. If special circumstances prevent you from picking up your reserved tickets during this period, please email graduation@mta.ca or phone 364-2269. Otherwise any tickets not picked up by 4:00 p.m on Sunday, May 13h will be distributed on a first-come, first-served basis at Convocation Hall on Monday, May 14th. Accommodations: Graduating students wishing to stay in residence (Edwards House) over Convocation weekend should make reservations on the forms provided. Accommodation in Edwards House will be offered beginning on May 10th with departure on May 14th. Reservation and payment information is included in the Graduation Information Package or can be found at the Housing Office. Accommodation will be available for parents and family of graduating students at a rate of $34.00 +HST per night for single rooms, $57.00 +HST per night for double rooms and $44 +HST per night for single ensuites. Requests for parents' accommodation should be made to the Conference Office at 364-2247 or at reservations@mta.ca. Upon arrival, parents should check in at the Conference Office in Campbell Hall. Special Needs: Any student or guest who may require wheelchair accommodation or have other special needs in Convocation Hall should discuss these needs well in advance with Ms. Cindy Allan, Convocation Hall Manager. Please call 364-2250 and leave your name and phone number. Financial Accounts: Please note that in order to graduate, whether in person or in absentia, all students are expected to have cleared their outstanding financial accounts with the University (for example, tuition fees, residence charges, library fines, etc.). Graduating >in absentia=: If you are expecting to graduate in absentia, please email graduation@mta.ca to inform the Registrars Office of this before May 11th. Arrangements will be made for your diploma to be mailed to you after Convocation.
