I. Report on Colgio de So Jos (CSJ) We spent the last six months in Colgio de So Jos for the preparation of handing over the school to the diocese of Dli. We prepared the students, parents, teachers and staff and wider community through many activities and communication strategies. We also prepare the plan of the hand over, documents, archives, setting up accounting system, and proper report of school account. a. Preliminary meeting with the Diocese of Dli The communication with the Diocese of Dli began in June. The first meeting with the appointed person from Diocese of Dli in the second week of June (14th of June 2011) was about the situation of the school, the numbers of students, staff and teachers, school activities, timetable (recruitment of new students of 2012), and next meeting. The second meeting in the fourth week of June (29th of June 2011) was about administrative matters: teachers and staffs salaries, negotiation on number of teachers and staff who are coming with the SJs and their involvement at CSJ in early 2012 and their salaries, the future of government and institution teachers, the equipment and furniture, the scholarship funds and the scholars, the tuition fees, and the presence of the Diocese during the time of transition and the plan of the hand over of the school in December. Result of the second meeting (fourth of June) were the following: i. The diocese needs to decide on how to pay the government teachers from the salaries and honorarium they have been receiving all these years from CSJ. (The Jesuits paid extra money as honorarium, not salary, to government teachers besides their own salaries from the government). ii. All government teachers will stay at CSJ since they were placed by the Ministry of Education at CSJ. It is not ethical for the SJs to take them to the new school. There will be no honorarium. It will be just salaries from government. iii. The institution teachers, the non-government teachers, will be following the Jesuits, but the Jesuits will have be having a process of recruitment and selection for new school. Those who are not selected will be staying at CSJ or will be placed later on in different Catholic Schools in the Diocese of Dli. iv. All equipment like computers, LCD projectors, music instruments, etc, and furnitures stay at CSJ. SJs will bring only cars since all cars at CSJ are under Society of Jesus name. v. SJs will still pay the tuition fees of the scholars as long as they fulfill the criteria of CSJ scholarship. vi. The person appointed by the Diocese of Dli will be starting to be present once or twice a week at CSJ in September.

Communication Strategies, Celebration and Visit

Communication strategies: we ran 5 times modules: St. Ignatiuss story, Jesuit mission in education, Jesuit presence in East Timor, the Hand over of the school to the Diocese of Dli and the new school in Kasait in Newspaper from early July till after St. Ignatius Feast Day. We also did these modules with the students in tutor group as preparation for St. Ignatius Day. The visit of Australian students from 2nd to 6th of July 2011. We had the privilege to have a visit from Fr. Michael Ryan, SJ who helped us in setting up the process of the selection criteria of the teachers and just being present with us and giving us some advise on the communication strategies and strategies in dealing with teachers and parents of the students. Celebration of Saint Ignatius Day for Jesuits and their family, students and their parents, staff and teachers, and alumni at CSJ. Three teachers from CSJ visited Xavier College in Melbourne for a week in early August. Retreat of the third year students from 11th to 20th of August 2011 (3 groups). We showed a 15 minute video presentation on National TV about the hand over of the CSJ to the Diocese of Dli and the plan for the new school. National Exam for third year student from 24th to 26th of October 2011. Final Exam for first and second year student from 21st to 26th of November 2011. On 17th of November 2011, the representative of Diocese of Dli, Fr. Guilhermino, called for a meeting with the teachers and staff to inform the policies from the Diocese of Dli about the teaching faculty and staff and their salaries, and to inform that there will be no recruitment of new students of 2012 since the bishop intends to close CSJ after the first year students completed their study after graduation. Graduation Day 3rd of December 2011. The launch of Magis CSJ DVD and Cultural Day 10th of December 2011. Recruitment of Teachers and Staff for new school (CSIL) End of July, Fr. Plnio Martins, SJ, had communicated to all teachers at CSJ that the Jesuits will only be taking the full-time institution (CSJ) teachers for new school for the reason mentioned by Fr. Guilhermino above. Early August, Fr. Plnio Martins, SJ called these full-time institution (CSJ) teachers to explain to them about the selection criteria, application and requirement. From our part, we gave them time to think and make decision about it. Six full-time institution (CSJ) teachers applied for teaching position at CSIL. They submitted their application and documents on the 10th of September

Then, we distributed their application and documents (CV, essay, certificate, etc) to the examiners: Sr. Guilhermina Maral, FdCC a canossian nun who has been involved a long time in the area of education. He was the president of Canossian Foundation for education and the president of board of trustee. He examined the competent and professionalism of our teachers in terms of method of teaching, preparing the lesson plan, classroom management, strategies in teaching, vocation as teacher, etc. Fr. Dibyawiyata, SJ Jesuit priest and Delegate to the regional superior and socius to the Novice Master. He examined the spiritual and religious life, their understanding of Ignatian Spirituality and values of living Christian life. Ms. Amelia Hapsari She was the director of CPA (Casa de Produo Audivisual). She examined them in their professionalism as employees in an Institution, their commitment, their priorities, etc. The three examiners submitted their recommendation to school team (Fr. Plnio Martins, SJ, Fr. Roy Ragas, SJ, Sch. Domingos Savio, SJ and Sch. Sidelizio Pereira, SJ) on the 19th of September 2011. The school Team discussed about their recommendation and made decision upon recommendation and our knowledge of the teachers in school. The applicants were called individually to discuss about the decision and the criteria required after being accepted to this teaching position. Out of the six full-time institution (CSJ) teachers, we accepted four of them. We started the process of informing them about teachers professional development from that on. Fr. Roy Ragas, SJ worked with them with the documents required to attend the English Course and IPP in Manila. The four teachers left for Manila in the 5th of January 2012 (3-month English course and 3 weeks IPP course in April to May). Unfortunately, one of the teachers returned after a month for some personal reasons. But, after having conversation with her two weeks ago, we decided to ask her to return. She is happy with that decision. Four staff working with us now did not go through the selection criteria. These four staff have shown their loyality and commitment all these years. They also decided to leave CSJ and join us at CSIL. He had an agreement with CSJ administrator that he can keep three staff at CSJ since we only need them in April 2012. While three staff working for four months at CSJ, we paid their salary. Preparation for Handover and the celebration

Hand over Day with Mass 14th of December 2011. The director of CSJ went to invite the Bishop of Dli, Dom Alberto Ricardo da Silva for the hand over day. He thanked the Jesuits for doing a good work in education all these years. He is very happy with our work in education. He kept saying that the church in East Timor needs support

from the Jesuit especially in education and spirituality. He kept repeating the message of Fr. Danny Huang, SJ, who went to visit him and said that the Jesuits is here to help the local church. Unfortunately, he could say the mass of the hand over since he had meeting with the other two bishops on the same day. He delegated the Vicar-General to say mass and to be with us on the day. The vicar-general said mass on the hand over with the present of most of the Jesuits, the director of St. Paul Foundation, the new director of CSJ, Fr. Guilhermino and some other religious priest. The teachers and staff and their family were present as well as Jesuits family, friends, collaborators, students and their parents and the alumni. Dinner with teachers and staff at Residncia Loiola 15th of December 2011. During this dinner, all Jesuits who reside in Dli were present. We had simple dinner and word of thank you from the Delegate of the Region, Fr. Dibyawiyata, SJ, and the forer director of CSJ, Fr. Plnio Martins, SJ and after the dinner Fr. Roy Ragas had a convesation with each teachers (the full- time teachers) to give them, not compensation, but gratuity package of USD 1,000.- School finance and scholarship When we left the school, we completed all our obligation in terms of school finance. In our 2011 annual school budget, we proposed at the beginning for a subsidy of USD 43, 954.86, from the Society of Jesus Independent Region of East Timor for operational expenses which in the end we did not spend. We ran the school only from the tuition fees of the students, subsidy from the government (USD 2,898.00) and donations for scholarship (Mark Whites scholars, Australian Federation for Graduate Women, Karim and Dewanto Scholarship from Xavier College, Melbourne and Riverview students donations). We increased 3% of our students fee (2011 new students only), we raised the salaries of the teachers (through transportation subsidy, overtime pay and honoraria for tutors and extra-curricular activities coordinators), and we did the same students activities and extra-curricular with extra activity of Cultural Day and production and launching o CSJ DVD. We handed over the school to the Diocese of Dli with a surplus of USD 3,214.89 in the school budget and not to mention school facilities. And we have no debts. We, the Jesuits, committed ourselves to pay the tuition fees of the students who get scholarship from Karim and Dewanto Scholarship, Riverview students and also from the funds of the CSJ Magis DVD because of their school and leadership performance and Charity. Last month, April, we paid all the tuition fees of our scholars at CSJ until they finish their study at CSJ. We have so far ten scholars who are now in their final year, year 12, and two scholars, who are now in year 11. Report on Colgio de Santo Incio de Loiola (CSIL)
