Communication and Miscommunication Infosys, Bangalore : An employee applied for leave as follows: Since I have to go to my village to sell my land along with my wife, please sanction me one-week leave. This is from Oracle Bangalore: From an employee who was performing the "mundan" ceremony of his 10 year old son: "as I want to shave my son's head, please leave me for two days.." Another gem from CDAC. Leave-letter from an employee who was performing his daughter's wedding: "as I am marrying my daughter, please grant a week's leave.." From H.A.L. Administration dept: "As my mother-in-law has expired and I am only one responsible for it, please grant me 10 days leave.

Another employee applied for half day leave as follows: "Since I've to go to the cremation ground at 10 o-clock and I may not return, please grant me half day casual leave" An incident of a leave letter "I am suffering from fever, please declare one day holiday." A leave letter to the headmaster: "As I am studying in this school I am suffering from headache. I request you to leave me today" Another leave letter written to the headmaster: "As my headache is paining, please grant me leave for the day." Covering note: "I am enclosed herewith..."

Another one: "Dear Sir: with reference to the above, please refer to my below..." Actual letter written for application of leave: "My wife is suffering from sickness and as I am her only husband at home I may be granted leave". Letter writing: "I am in well here and hope you are also in the same well." A candidate's job application: "This has reference to your advertisement calling for a ' Typist and an Accountant - Male or Female'...As I am both(!! )for the past several years and I can handle both with good experience, I am applying for the post.

DEFITNITION: Communication is a dynamic process where there is a COMMUNICATOR. The Communicator communicates some MESSAGE, which is transmitted through MEDIUM (Channel) and reaches the AUDIENCE. But the process of Communication is not complete till the Communicator receives the FEEDBACK.

The fear of mass communication is called glossophobia (stage fright). It is the single most common phobia - affecting as much as 75% of the population. Communication is sometimes considered some of the most importantly valued skills that an individual can possess. This skill can be used for almost anything. Most great communicators have a natural ability to display the skills and effectiveness that can engage and move an audience for whatever purpose.

Know the Room Be familiar with the place in which you will speak.

Arrive early, walk around the speaking area and practice using the microphone and any visual aids.
Know the Audience Greet some of the audience as they arrive. It is easier to speak to a group of friends than to a group of strangers.

Know your Material If you're not familiar with your material or are uncomfortable with it, your nervousness will increase. Practice your speech and revise it.

Relax Ease tension by doing exercises. Take a walk if you like.

Guidelines Your audience is there to hear your message. Relax and deliver that message, instead of focusing on yourself. Make sure that your speech is right for your audience. Take your time. Dont read your speech word-forword and dont rush through it. Be conversational, as if you were talking with a group of friends.

Guidelines Dont stand up there like a stick, clenching the podium at both sides. Be natural and animated. Use hand gestures, drink water, move around a little. But dont rock back and forth - that conveys nervousness.

Keep the speech short and simple.


Make eye contact with the audience. Connect with them. Get them to nod their heads to acknowledge what youre saying. Make them pay attention to you.

Guidelines Practice your speech ahead of time. Take time to pause in the right places to make eye contact and catch your breath. Dont get into a debate if someone disagrees. Talk with him/her after your speech.

Guidelines Ensure your speech will be captivating to your audience as well as worth their time and attention. Emphasize your strong points during your presentation. Be solemn if your topic is serious. Present the desired image to your audience. Appear relaxed, even if you feel nervous. Establish rapport with your audience.

If a microphone is available, adjust and adapt your voice accordingly.

Guidelines Master the use of presentation software such as PowerPoint well before your presentation. Persuade your audience effectively. Speak loudly and clearly. Sound confident. Maintain sincere eye contact with your audience. If what you have prepared is obviously not getting across to your audience, change your strategy mid-stream if you are well prepared to do so. Allow yourself and your audience a little time to reflect and think.

Remember that an interesting speech makes time fly, but a boring speech is always too long to endure even if the presentation time is the same. Check out the location ahead of time to ensure seating arrangements for audience, whiteboard, blackboard, lighting, location of projection screen, sound system, etc. are suitable for your presentation.
