WHAT IS WRITING STYLE?


Writing style refers to the manner in which an author chooses to write to his or her audience. A style reveals both the writer's personality and voice, A style also shows how she or he perceives the audience. The choice of a conceptual writing style molds the overall character of the work.

Use simple and short sentences Use jargons when required Make it scannable Spelling and grammatical errors should be avoided The 4ps should be followed -be polite -be positive -be personal -be proffesional

BUSINESS STYLE
Business writing includes a wide range of different formats and writing jobs. These jobs include both internal communication within the company and external communication interfacing with the public and organisations. Business writing include the development of the following documents: newsletters, memos, letters, proposals, reports, power point presentations, press releases, marketing brochures, copywriting, technical writing, web copy, blogging, resumes and job applications etc.

EMAIL WRITING STYLE


SUBJECT-Always have a subject line that summarises briefly and clearly the contents of the message. for example, Re: Summary of Our Meeting with ABC corporation SHORT AND SIMPLE SENTENCES-Long sentences can often be difficult to read and understand BE CAREFUL WITH CAPITAL LETTERS-USE ALL CAPS in your email or message board posts, you will immediately make yourself seem inexperienced or ignorant.

BE POSITIVE Look at these words: helpful, good question, agreed, together, useful, Id be delighted, mutual, opportunity. Now look at these: busy, crisis, failure, forget it, I cant, its impossible, waste, hard

The words you use show your attitude to life so choose your words wisely.

FORMAL LETTER
Your Address Date The Address of the person you are writing to Different people put the date on different sides of the page. You can write this on the right or the left on the line after the address you are writing to.

SALUTATION
Sir or Madam, If you do not know the name of the person you are writing to, use this. It is always advisable to try to find out a name.

2) Dear Mr. If you know the name, use the title (Mr, Mrs, Miss or Ms, Dr, etc.) and the surname only. If you are writing to a woman and do not know if she uses Mrs or Miss, you can use Ms, which is for married and single women. Ending a letter: 1) Yours faithfully If you do not know the name of the person, end the letter this way.

2) Yours sincerely If you know the name of the person, end the letter this way.
3) Your signature Sign your name, then print it underneath the signature.

Content of a Formal Letter


First paragraph The first paragraph should be short and state the purpose of the letter- to make an enquiry, complain, request something, etc.
The paragraph or paragraphs in the middle of the letter should contain the relevant information behind the writing of the letter. Keep the information to the essentials and concentrate on organising it in a clear and logical manner rather than expanding too much. Last Paragraph The last paragraph of a formal letter should state what action you expect the recipient to take- to refund, send you information, etc.

MEMORANDUMA
memo is a written proposal or reminder that businesses, organisations, companies and people in general use to communicate a message from one person or group to another. For instance, an organisation will post a memo on its notice board in the office or through the employees companys email addresses, proposing or informing them of the new company targets for the financial year.

MARKETING BROCHURE
The term "marketing brochure" refers to a small document, or pamphlet, which describes and promotes various products or services to be marketed Credibility: People expect a "real" company to have printed sales literature. Know What Your Reader Wants You must write your brochure or leaflet from the reader's point of view. That means the information must unfold in the right order. Motivate your reader to look inside Should be creative and crisp!

PRESS RELEASE
A press release is a written statement to the media. It can announce a range of news items, including scheduled events, personnel promotions, awards, new products and services, sales accomplishments, etc. It is a fundamental tool of PR work.

FORMAT

Headline: short and simple. Summary Paragraph: the main point of the release is, including why the information provided is relevant and newsworthy. Location & Date Body: Each paragraph should be focused on a single idea and have only a few sentences.
Company Information: This section should be a standard paragraph that contains a short, factual overview of the business or organization.

Contact Details: Include information about how readers can contact the appropriate person for additional information. This section should include the name of the appropriate person along with his or her telephone number; email address; Twitter, Facebook, and LinkedIn.

CIRCULAR
A circular letter is one which is sent out to many people at the same time. Used both within organization and for sending out information from organizations. Contains a heading, date, circular number and signed by the authorized person. Keep it brief, otherwise it may not be read. Ensure the letter is informative and direct. Must be worded in a personal style- Use individual terms, e.g. you and not all of you or you all Use of singular expressions. Persuasive approach-Tone of the circular is always in the form of a request instead of a command.

NOTICE
A notice is written by an individual , group , an organization or a body to draw the attention of the readers to c certain issue that needs immediate attention . All the information must be given in a simple, concise , attractive manner so that people notice it. A well-written notice must inform the readers about the 5 Ws: What is going to happen, (that is, the event) Where it will take place When it will take place (that is, the date and time) Who can apply or is eligible for it Whom to contact or apply to (that is, the issuing authority)
