VENDOR INSPECTION

(TPI)

Third party Inspection

Vendor Inspectioninvolves inspecting items at their place of


manufacture before delivery. This is the most convenient and
cost-effectiveway to determine whether
aproduct,service,process,piece of
equipmentorinstallationcomplies with expressed needs,
customer expectations, applicableregulationsor other
specificrequirements.

Why Third Party?

In purchasing and procurement projects the sellers and vendors are


first parties. The second parties are purchasers or buyers.
In fact first party is seller and second party is buyer. So when you
say second party inspection, it means that an inspection and quality
control activities that are done by a buyer and when you say first
party inspection, it means that an inspection and quality check that
are done by a vendor in its construction shop.
The Third Party Inspection refers to independent inspection activities
that are done by aThird Party Inspection Agency either hired by a
buyer or seller.
The ISO 1720; - Requirements for the operation of various types of
bodies performing inspection- specifies characteristic of these kinds
of inspection agencies.
Based on these requirements, these agencies must be impartial and
independent in their inspection activities and in their inspection
reports and results.

THE CYCLE

Submission of Inspection Notification by Vendor


to Contractor
Submission Of ITP, IN, Purchase Order & other
relevant documents to TPI agency by Contractor.
TPI coordinator instructs the above mentioned
details to TPI inspector
TPI inspector attends the inspection as per ITP
Signs Material reports, prepares Inspection
Reports & Release notes if required or issues
Non Conformance if there is any Noncompliance observed.

totestingasystemorproduct(e.g.material,component,machine,package,software,etc)such
asavisualinspection,dimensioninspection,weldinginspection,functiontest,factory
acceptancetest,etc.andparticipationofallparties.

ARequestforInformation(RFI)isastandardbusinessprocessusedbycustomerstocollect
writteninformationregardingthecapabilitiesofvarioussuppliers,whichwillbetterinformbuying
decisions.OVERVIEW.Businessrequestsareusedtodeterminewhichsupplierscanbestmeet
abuyingorganization'sneeds.

InspectionReleasenoteisaformalnotificationtovendor/sub-vendorofthattheitemsupplied
arereleasedfordespatchorshipment.Itshouldstateclearlytheitemsfoundacceptable
includingthematerialpartnumber,uniquetraceability,ifpractical.Inaddition,excludeactivities
orareaofresponsibilityinwriting.Inclusionofastatementindicating"Itemsdescribedhereinare
nowreleasedfordispatch-awaitingforload-out"OR"Releasedsubjecttosatisfactoryreviewof
MDRatthetimeofdelivery",maybenecessary.
ANon-ConformanceReportisaformalnotificationtovendor/sub-vendorofnon-fulfilmentof
specifiedrequirementatanystageofinspection.Itshouldstateclearlytheitemsfound
unacceptableincludingthematerialpartnumber,uniquetraceabilityofotherdetailsphysically
identifiable.Describethereason(s)fornon-conformityandwhatactionsareproposedtorectify
thesituation.
