Contact Information

Without this information, especially

if this is a new customer, the
estimate cant be logged into
Saradex. If I cant put this estimate
into Saradex I cant schedule the
estimate to get completed.
New customer or old, it is best to
have this information completed
fully to ensure we have the most up
to date contact information in the
system.
Contact Information
This information on the customers
estimate gets transferred from
the heating request form. This
information is so important. It
needs be complete and correct.
The estimate we give a customer
e
needs to be flawless. We are

Structure Information

Type of Construction
We cant start a heating system design
without knowing if it is a new system
or an existing system. A new system
leaves most of the design and layout
up to us but working with an existing
system present design limitations.
When adding on to an existing system
or retrofitting we are bound by the
existing pipe sizes and layouts. When
expanding or retrofitting, detailed
drawings/photos with pipe sizes will be
needed to integrate the new system
into the existing system.
Structure Information

Crop Type and Temperatures

The temperature information is
vital to the heatloss calculations.
Without this information we cant
proceed.
Knowing the type of crop is
important for two reasons; we can
determine the required indoor
heating temperature and we can
determine if the type of heating
system being requested is the
ideal system for the crop being
grown.
Structure Information
While we will usually
use the indoor
temperature the
customer supplies we
rarely use the
customers supplied
outdoor temperature
instead determining our
own based on the local
historical heating
temperature standards
from Natural Resources
Canada Energy.

Shown is an example of
the type of data that
Example Regional Heating and Cooling Data can be retrieved.
Structure Information

Style of Structure
The style of structure is also so
important when calculating the
surface area of the roof, gables
and sidewalls. Without this
information we will never be able
to calculate an accurate heatloss
for the greenhouse.
If the house is a venlo be sure to
note the number of peaks in the
notes section.
Structure Information
Structure Details
This is where you input the
details of the structure. The
length, width, under gutter
height and covering material all
effect the heatloss.
Multiple lines are available for
different zones if required.
Be sure to use the drop down
menus when selecting the
covering material.
Structure Information
Existing Equipment Details
This is where you input the details of
any existing equipment.
Good practice is to document any
existing equipment whether it will be
included or not.
Again photos and notes are vital here.
Structure Information
Fuel and Electrical Details
It is vital to know what type of
electrical service or fuel is
available to power any new
equipment. We cant specify a
boiler without knowing what fuel
is available and we cant size a
pump without knowing what
voltage/phase is available.
Again in this section is a spot to
note anything you think might be
important or to identify anything
unusual. Use this section, make
notes!
Heating System Information
Specific System Details
This is where you document
what is requested to heat the
greenhouse. Note what is
existing as well.
If existing heat is present in the
greenhouse you will need to
determine as much as you can
about the system (pipe sizes,
supply and return temp, number
of pipes, etc.). Use the notes!
This would also be the place to
note the type of boiler the
customer is looking for and
whether redundancy is required.
Use the notes section!

Use the space provided to note the

requirements of the different zones.

System Installation Obstructions
To finish off the information
gathering portion of the
heating request form there is a
section for listing obstructions.
This is where you would list
anything that would stand in
the way of running our heating
pipes in a straight line; doors,
vents, roll-ups, height changes,
etc.
The locations of these
obstructions should be shown
on the sketch that you will
provide with the heating
request form.
Site Sketch
The last thing required is a sketch of
N the floor plan.
It must include the number of
houses, width, length and under
gutter height. Indicate zones and
mark north as well.
It must also include all other
buildings attached to the structure
we are heating.
If bench heat is requested note the
bench sizes and quantity.
The walkway, all doors and boiler
location must be included. If this is
an existing boiler room then as much
detail as possible must be included
(dimensions, ceiling height,
construction material and floor
layout of existing equipment and
other obstructions.
Site photos to go with this sketch
would be great if it is an existing
structure.

Photos
There is no such thing as taking too many photos.
Equipment Photos

This photos shows a leaking boiler that needs to be replaced.

This a good information but not the critical information
required to replace it.
Equipment Photos
Equipment Photos

The information on these rating

plates is vital to ensuring we know
what we are working with. They
need to be clear and readable.
Equipment Photos
I cant do anything with a
photo like this. Make sure
your photos are readable.
Equipment Photos

These photos shows pumps that needs to be replaced. This is

good information but not all the information required to
replace it.
Equipment Photos

When gathering information for a pump it is important to get

the information on the motor rating plate and the information
on the pump body itself.
Equipment Photos
These photo and note taking practices apply to any
and all pieces of equipment.
Boilers
Pumps
Mixing Valves and Actuators
Expansion Tanks
Heat Exchangers
Etc...
System Information - Photos

Close up detail photos are important but a

photo that shows the context of those
components is equally important.
Photo Submission
Beau will be contacting you shortly if he hasnt
already with a link to a Pictures folder on the
Niagrow network. This is where you will copy all
the site photos. Be sure to note in your heating
request email that there are photos to
accompany the request. Follow this method when
copying the photos to this area of the network:
1. Create a new folder for that customer if one
doesnt already exist.
2. Inside the customer folder, create another
folder with the date of the site visit.
3. Copy the photos inside this dated folder.
Estimate Request Submission
All heating requests for estimates must be
submitted by email to GGS quotes. This email
must include the following:
1. The completed heating request form.
2. The site sketch with all the details required.
3. An indication whether related photos are
available.
4. A request for install to be included with the
estimate if required.
5. The time frame of when material will be
expected to be delivered.
6. Any other material or information you think will
be helpful or important to create this estimate.
Conclusions
Having the correct information is paramount to
creating estimates. If you want a well priced estimate
within a reasonable time frame then supply all the
information required.
Completely filling out the heating request form is the
first step in getting all the information required.
Creating a quality sketch is the second step to ensuring
the proper information is delivered to estimating.
The third and final step is to include any other
information you gather in the email that accompanies
the heat loss request form and the sketch.
A follow up phone call wouldnt hurt either if you feel
there are some unique criteria for this project that we
should discuss.
